Registration Agreement 2025/2026
Tuition is based on the entire season of dance. Our
season runs August 18th, 2025 through June 6th, 2026.
With our season ending the 6th of June, 2026 - 1/2 tuition
will be drafted from your auto pay on June 1, 2026.
Tuition is not based on the number of classes in a month
or on attendance. There is NO refund for missed classes, and no pro-rated
classes. No make-ups for weather closures or closure dates on our Event Calendar; ie. Presidents Day,etc. We follow Madison City Schools inclement weather closures and planned closures on their school yearly calendar for 2025/2026.
*Since we will be starting regular dance the 18th of August as opposed to the 1st of August 2025, we WILL be prorating tuition accordingly for all students beginning on this date.
* This will not apply to Nutcracker participants AND WMS Company Members 25/26. Details will be forthcoming on requirements for these students and announced and emailed to this individiuals.
Payment Options: 10 or 11 equal monthly installments, depending on our
end of the season show date. Tuition installments will be due the 1st of
each month, August 2025 and June 2026, and will be automatically auto
drafted to the card on file/bank account on the 1st of each month.
Monthly tuition installment amount is based on the number of hours
(classes) taken per week.
*When more than one child in a family is enrolled, add the total number of
hours per week. Family discounts apply only to siblings under the same
account
Nutcracker 2025 - Saturday, December 13th (optional participation) for
entire event - by way of audition only @ West Main Studios - Your Dancer
MUST be enrolled in Ballet to be eligible for auditions. This does not apply to you (your dancer) UNLESS your child is participating in "Nutcracker 2025".
Details will be announced via our Parent portal - Save these dates for participation.
Mandatory Rehearsal, December 12th, Show is December 13th - Details
forthcoming. Also expect required in studio rehearsals as well as a
contract for participation (detailed information required for you as a parent
and your dancer) to help you plan and prepare. Your dancer will be issued a contract specific to their performance, rehearsals, in studio dress rehearsal, picture dates and mandatory dress rehearsals. This event (mandatory dress rehearsal and performances) will take place at James Clemens High School. In Studio Dress Rehearsal will be held at our Studio, as well as photo days, all other required rehearsals. There are two shows and your dancer will be in both shows - 1:30pm Matinee' and 6:00pm Evening Show. Our venue for our shows is always Reserved Seating which means you will purchase tickets for your dancer's shows.
In Studio Dress Rehearsal will be Saturday, November 21st, 2025 @ WMS. Mandatory for all Nutcracker Participants.
Venue: James Clemens High School Auditorium - 11306 County Line Rd,
Madison, AL 35756. Both of these dates are mandatory.
30th Annual Recital @ James Clemens High School and Mandatory
Dress Rehearsal June 4th-5th (Thursday/Friday). (No Show - No Participation)
June 6th , 2025- (Saturday) There will be 2 Shows - 1pm - Matinee' and
6pm Evening Show - Your Dancer's show time will be announced in ample
time for you to purchase Reserved tickets for their performance.
Please note: these dates are given to you Months in advance - so please,
plan accordingly for you and your dancer - for both Mandatory Dress
Rehearsals and our year end Recital. We want this to be fun for you and
your dancer, therefore, planning and organization is key. Thank you!
IMPORTANT: The following information pertains to activities, student
registration for Dance Season 2025/2026.
In registering your dancer, this means you agree to all information provided
below. We encourage your questions. Thank you! Your WMS Staff
You must be over the age of 18 to register for an account and as a parent of
a dancer at West Main Studios, agree & acknowledge to all of the
following:
REGISTRATION FEE:
Upon your decision to dance with West Main Studios, a Registration Fee
of $50 will be charged. To register additional siblings, only $25 per child is
charged. The dance year begins in August and runs until the end of May or
the 1st or 2nd week in June, depending upon the end-of-season Recital
date.
TUITION (Monthly/By Class):
West Main Studios DOES NOT prorate tuition. Tuition is divided by equal
months and not by selective times of attendance for any reason. Prior to
performances, extra rehearsals will be scheduled.

*To determine your tuition, add the total number of hours per week that your child or children are enrolled. Please note: tuition is divided equally over the 10,11 month school year (August-June) Depending on the annual recital date. For example - 1 hour per week is $650 per year (10 months) or $65 monthly tuition. This does not include venue fees, costume fees or other additional fees noted throughout your registration agreement.
SIBLING DISCOUNT:
Siblings of 1st Student, take their 1st class for a 2nd Class Amount of tuition.
For Example: If Suzie's takes one class at $65, then her sister may take her 1st
class at $40. So total monthly tuition for both students would be $105. These
would not include any fees (costumes, venues, etc.).
PAYMENTS:
Payments are DUE on the 1st day of each month for classes during that
month. A LATE CHARGE of $15 will be charged after the 5th day of the
month if there is a balance on the account. You are required to be on
AUTO-PAY for Tuition and any owed balance - via Checks, Cash or
Credit Cards (fee to use credit card) are all accepted forms of payment. All Planned Event Payments will be auto-drafted on their due date.
Costume Payments, Venue Payments, any associated fees will be drafted automatically on the due date per our calendar as noted in this registration information. Upon registering for classes - DSP (Dance Studio Pro our Studio Software) will prompt you to fill in the appropriate information. Credit Card fees vary, depending on your chosen credit card company. Currently, associated fees through our merchant account are 2.99% + $0.30 per transaction to 3.05% + $0.30 per transaction. Returned check fees ($35) will be applied to your account. By setting up your account on auto-pay via your Dance Studio Pro Parent Portal Account this enables you to be in control of your dancers account and enables us to communicate with you. You will be emailed a login/password upon registration. There you will have access to your Personal WMS Parent/Dancer Account and may view all important items which are constantly updated via our Dance Studio Pro system.
Auto Pay is Required - IF YOU DO NOT set up auto pay for your account -your account will be removed and considered invalid for registration. Upon registration in the portal, your account will be charged a registration fee and you will be prompted to pay. If you do not pay this fee, your account with your dancer's chosen classes will not be accepted in the system and your dancer will not be officially enrolled. Venue Fees/Costume Fees/Video Fee will all be drafted on the date that they are due. Make sure to do this step!
PRIVATE LESSONS:
Private lessons are available upon request. Please inquire at the studio
office. Costs vary on an individual basis according to the student's
instruction needs.
STUDIO CLOSINGS:
Studio Closings follow the Madison City School Calendar. All Holidays & Fall/Winter/Spring Breaks coincide with Madison City Schools. In addition,
ALL weather related closings will do the same. If your class is cancelled
due to weather, we do not offer make-ups, however; any other absence for sickness and/or Dr.s appointments, etc. we do offer a choice of a comparable class or classes. Please remember, if you do choose to do this, a comparable class might be working on specific performance dances, ie., recital and/or nutcracker. Either way, you dancer is welcome.

If your dancer is not feeling well and test positive for anything contagious, please contact us or email us - westmainstudio@gmail.com or 256-431-0377. Please do not send your dancer to class sick. You may also report an upcoming or sick absence in your Parent Portal. Your dancer's safety and health are our first priority.
EMAIL COMMUNICATION:
You MUST check your email for important updates for your dancer. This is very important and is our major form of communication. These updates contain vital and pertinent information that you and your dancer will need for events. It is your responsibility to check emails, text for information for your dancer. If you are not receiving emails from WMS, please let the office staff know immediately so we may correct any problems. By reading all pertinent emails, you won't miss important dates, events, etc. WMS also sends group texts in the form of important reminders, dates, etc. If you do not want to receive text, please check the appropriate box so you will not receive text information. It is your responsibility to read communications via email and/or text. If you miss important dates or event information via email - always check our website for the most recent, up to date information as we constantly update our website: www.westmainstudios.com - Your PARENT PORTAL also contains a wealth of information individualized for your dancer.
DANCE ATTIRE:
CREATIVE MOVEMENT & STAGE ARTS - Leotard of Choice & Ballet Pink Tights; Ballet/Tap/ Jazz Shoes
Ballet I and UP/TECHNIQUE/POINTE /Pre-Pointe- Black Leotard & Ballet Pink Tights; Ballet/Pointe or Demi-pointe shoes.Our ballet program places our students by skill, level, etc. and is the sole discretion of our Ballet Directors.
JAZZ, all ages - Leotard or Fitted Sportswear Top & Boy Shorts/Leggings; Jazz Shoes - Tan
LYRICAL, all ages - Leotard & Boy Shorts/Leggings if desired; Toe Paws or Pirouettes
POINTE - Pointe Ballet Shoes - Consult with your teachers for this purchase for guidance. Unfortunately, We do not sell Pointe Shoes.
PRE-POINTE - Demi Pointe Ballet shoes are required for ALL Beginner/Pre-Pointe Classes.
TAP, all ages - Leotard & Boy Shorts/Leggings if desired; Tap Shoes-tan (For all tap classes above Combo Classes - you wil need Bloch or Revolution split sole tap shoes. These promote more defined movement for a tapper's advancement in this discipline.
ACRO, all ages - Leotard or Fitted Sportswear Top & Boy Shorts/Leggings; Bare Feet
** All dance wear, tights and shoes are available to purchase or order from the Studio office/store.
WMS COMPANY DANCE - (Competitive Dance Team)
WMS has a Company Dance Team (Competitive Dance). Auditions are held in the spring of each year. Ages 5 & above are invited via invitation, however; if you are a current ballet student, you may audition as well. If you are interested in auditioning, please talk to your dance teacher or inquire at the Studio Office. It is suggested to thoroughly review all information before considering this as it is a commitment for a team.
Year 2025/2026 - we will be implementing our first tiny dancers ages 4 and 5 for a competitive dance program.
***Our Company Handbook is revised yearly for all participating families and is an outline of requirements, events, classes, etc.*** this is all very important guidelines for our upcoming WMS Company Season 2025/2026.
RECITAL PERFORMANCE
Participation in our 30th Annual Recital Performances is MANDATORY for all students. The Dress Rehearsals are also MANDATORY. Missing a Dress Rehearsal means No Recital Performance. Our schedule is set months in advance so please make sure that you mark your calendars.

NUTCRACKER 2025
Participation is by way of auditions only - Tentative Dates: Thursday, July 31st, 2025 4:30-6:30pm* WMS may also have a 4th Annual Nutcracker Audition date as well - this will be announced via email and our Parent Portal.
Mandatory In Studio Dress Rehearsal - Saturday, December 6th, 2025.
Saturday, December 13th, 2025 (2 performances) your dancer will be in both.
Mandatory Dress Rehearsal Friday, December 13th, 2024. No Show means no performance.
Rehearsals/Dress rehearsal - will be detailed in your dancer's Nutcracker Contract. All decisions concerning Nutcracker are under sole digression of our Ballet Directors. Ms. Susan Potts and Ms. Jessie Potts.
Two Shows: 2:30 pm Matinee and 6:00pm Evening - All Seats are Reserved/$12.
RECITAL PERFORMANCES
Please note:
** Announcements with class assignments for recital performances are
made in ample time for purchasing reserved seats for Shows. It is your
responsibility to take note of this and to know and understand which show your Dancer will be performing in. Announcements are made early as to class assignments for each show. It is your responsibility to follow emails, etc. to know your child's show assignments as this will effect YOUR Ticket purchasing.
RECITAL PACKAGE FEES (VIDEO & VENUE):

WMS will provide Video Links/Digital Copy for of your dancer and their performances. This service is provided though Dance Studio Videos. There is also an APP - you will be provided with this for viewing. IF we have multiple shows, you will receive a copy of of all shows. This recital video also consists of a back stage clips and our red carpet experience. This will be sharable with friends and family. It will be a link that you may download, copy or share with friends and family and watch on any device, ie., phone, ipad, pc, etc. You will receive Video information approximately two weeks after our shows. In order to offer this, ALL families are required to purchase this Video Package.
VENUE FEES - Fee is $95, Siblings $55 and DUE on March 1st, 2026.
Nutcracker - Deposit: $80 : Due - August 1st, 2025 - For Teacher/Rehearsal Costs
Nutcracker Venue Fee : $100 due - October 1st, 2025.
These fees assist with show costs to include facility rental, music editing, sound, lighting, tech crew and other production needs. We have a lot of beautiful props and add to them yearly.
Costume Costs are dependent upon your Dancer's assigned piece. For Example: Candy Canes, Snowflakes, Mini-Snowflakes, Sheep,
Some costumes will be purchased and some will be rented, all dependent upon your dancer's role in our Nutcracker for 2025. This will ALL be detailed in your Nutcracker Contract 2025.
ALL FEES ARE NON-REFUNDABLE

Recital 2026 Costume Payments are DUE November 1st, 2025. This is done by way of auto-pay.** If your costume/s are not paid for your dancer will not receive their costume/s.

COSTUME SIZING/RETURNS:
Costume sizing is done in your dancer's class. We measure each child and their measurments are put in the "Robo-Sizer" of our portal. Almost 99% of the time these measurements reflect the correct size to order. If time permits, you may return for another size. Please let us know immediately if your dancer's costume doesn't fit or if something is wrong with your costume. All Returns are $30 each to process for a restocking and shipping fee.
ALL COSTUME FEES ARE NON-REFUNDABLE
TIGHTS FOR PERFORMANCES are NOT included in costume Fees:
If required for the class, ballet pink tights/tan tights/fishnets will be
charged to each dancer’s account to be worn in the Recital pictures as
well as during Recital Performances. Prices vary for tights - $13.50 -
$18.00. Please do not purchase tights elsewhere as we need all colors to be uniform in color for stage performances.
SHOES FOR PERFORMANCES:
Designated shoes must be purchased/worn. Most dancers will already
own these shoes except in special cases, like the Hip Hop Class, for which a specific shoe will be required to be purchased. Our store has all types of shoes: ballet, tap, jazz. We also carry many dance accessories ie., bags, undergarments, leotards, tights, etc. All are sold in our Parent Portal.
PROPS FOR PERFORMANCES:
Occasionally, props for a performance may be required at a minimal cost and will be charged to your dancers account.
TICKETS FOR PERFORMANCES:
Tickets will go on sale prior to the Performances. You will receive an email to notify you of the date. Plan to order early through the Dance Studio Pro Parent Portal for the best seats. If you would like your dancer/s to sit with you during part of the performance, you will need to purchase a ticket for your dancer/s as well. All seats are reserved seating regardless of age. Standard Ticket Price for all is $12 (can change depending on current venue costs, etc.) Depending on our numbers, we may be limiting certain numbers for ticket purchase.
PICTURES FOR RECITAL PROGRAM BOOKS (Mandatory Participation/ Optional Purchase):
A Group picture and individual pictures will be taken. You may purchase photos for yourself if you so choose. Dates subject to change. Tentative Dates: Picture Dates: The week of April 27th-May 30th- Recital 2026 - Photo Days - 30th Annual Recital Pictures - Your Dancer will come to their regular class times, in their Recital costumes with hair and makeup for group and individual photos which are used in our annual Recital Program. There are no regular classes or than photo sessions for each class. *There are no make-ups for photo days - make sure to mark this on your calendar, as you have the dates months in advance!
OPTIONAL ITEMS TO PURCHASE FOR RECITAL 2026:
Program Books, Ads for the Program Books, T-Shirts, Pictures, Rose Bouquets, Concessions, etc., will be available for purchase prior to and at the time of the Nutcracker and Recital Performances. These may all purchase by way of your Parent Portal.
ATTENDANCE:
An excessive amount of absences from weekly classes could mean the
dancer will not be able to perform in the Nutcracker or Recital.
Performances, due to the dancer not knowing the choreography. Please make every effort to have exceptional attendance so your dancer will be able to learn and improve. Special circumstances are decided on a case by case basis by the Teacher/Director.
DISMISSAL:
Any dancer may be dismissed from West Main Studios at any time due to non-payment, unsatisfactory conduct or attitude by the dancer and/or parent/s at the sole discretion of the Owner/Director/Teacher. No refunds will be given.
WITHDRAWAL
Non-attendance does NOT mean you have dropped your classes and/or withdrawn from Studio Dance. If you wish to withdraw, you must email us at westmainstudio@gmail.com - 30 days prior to your withdrawal date. This means : once your email request is received, your account will be charged for ONE month’s tuition of current class enrollment. For any costumes associated with your current classes, there is NO REFUND. Your account will continue to be charged through the 30 days (above) and you will owe that amount as part of your contractual agreement. For example - if you notify us of your withdrawal in December, you will pay for January. Upon payment via auto draft - your account will be deactivated and the student will be removed from registered classes.
ALL COSTUME and FEES ARE NON-REFUNDABLE
CLASS CHANGES (DROP OR ADD)
There is a 6 week period from the time of registration/the first day of our
season - to drop or add a class. After this time (September 29th 2025, you are responsible for ALL costume and related charges to your account. For dropping/adding a class (which is only permitted in January) there is a $30 fee for doing either. Any related costume charges are NON-REFUNDABLE. If your dancer needs a costume for chosen new class or classes - these charges are due at the time the class is added, along with the drop/ add charge of $30. For a dropped class there is NO REFUND for class costume(s) nor will the newly added class costume be in exchange for added class.
COMMITMENT & LEGAL FEES:
In the event that your balance is referred to an attorney for collection, you agree to pay reasonable attorneys fees. You agree to all statements in this registration agreement by your child or childrens participation in class.
HOLD HARMLESS CLAUSE:
I understand and agree that in participating in any dance class, workshop, rehearsal or performance, there is an inherent risk of physical injury. I voluntarily agree, therefore, to assume all risks and responsibility for any such injury or accident, which might occur to me or my child during any of West Main Studios classes, rehearsals, performances or activities. I also exempt, release and indemnify West Main Studios, its owners, agents, volunteers, assistants, contractors, employees, guest artists, faculty members, and/or students from any and all liability claims, demands, or causes of action whatsoever from any damage, loss, injury to me, my children, or property which may arise out of or in connection with participation in any classes or activities conducted by West Main Studios. I further hereby voluntarily agree to waive my rights and that of my heirs and assigns to hold West Main Studios, its owners, agents, volunteers, assistants, contractors, employees, guest artists, faculty members, and/or students liable for such damage, loss or injury. I understand that my child dancer/s and I should be aware of our physical limitations and agree not to exceed them. By signing this waiver for my child/ren, I certify that I am the parent or legal guardian and have the right to waive these rights.
Permission is granted to West Main Studios to use photographs of
students for publicity purposes. I have read, understood and agree to be bound by the above statement. As a member of West Main Studios dance, as a parent of the dancer/s, we agree to abide by the West Main Studios Dance Registration Agreement including all Rules, Requirements, Tuition/Fees, Attendance and Dismissal
Policies as stated in this agreement. Upon Submission of my registration, I am in agreement with all above terms and conditions. Your digital registration means you are in acceptance and compliance of this registration for your dancer - year 2025/2026.
Online Registrants agree to all of the above by accepting this waiver for
2025/2026 and submission of your chosen classes for registration.
