West K Dance - Studio Policies
1. Code of Conduct:
Every member of West K Dance is expected to treat others with dignity and respect. This includes
dancers, parents, teachers, staff, and volunteers. All dancers, teachers, and parents show a
positive attitude towards each other and are expected to work together as a team in unison.
2. Arrival Time & Punctuality:
● All dancers should arrive 10 minutes before their class start time. For safety reasons and to
ensure proper physical warmup, dancers arriving more than 15 minutes late may be asked
to sit and observe class rather than participate.
● Dancers should arrive dressed appropriately, following the dress code, and with their hair
secured away from their face.
3. Costume Requirements & Care:
● Undergarments: If undergarments are worn by students, they must be nude, seamless,
and not visible under any of their costumes.
● Costume Care: Food cannot be eaten in costumes. If there is a lost or damaged costume,
the director must be notified immediately to find a solution before the performance.
● Rehearsals: Students are required to attend all dress rehearsals that will be held in
preparation for our year-end show. This includes an in-studio rehearsal before the year-end
show.
● Parent Volunteers: At times, we may require parent volunteers backstage and help at
events. This includes helping with quick changes and placing props on stage.
4. Year-End Show:
Our year-end show will take place at the end of June. All regular recreational classes, Competitive
Company groups, and Adult classes will perform in the show. More details, including dates, times,
and ticket information, will be provided closer to the event date.
5. Media Consent & Photography:
By registering, students and parents grant West K Dance permission to use photographs and video
recordings from classes, rehearsals, and events for promotional, marketing, and website purposes.
Participation implies consent unless otherwise stated. If you wish to opt out, you must submit a
written request to the Studio Director at the time of registration.
6. Class Scheduling & Changes:
West K Dance reserves the right to cancel, combine, or move classes based on class enrollment.
Families will be notified of any necessary schedule adjustments.
7. Liability & Medical Release:
Dance is a physical activity with inherent risks of injury. By registering, parents/guardians accept
these risks and agree that West K Dance, its directors, staff, and guest instructors will not be held
liable for any injuries, medical conditions, or loss of personal property sustained on studio premises
or at studio-sanctioned events. In the event of a medical emergency, if a parent/guardian cannot
be reached, permission is granted to studio staff to seek necessary medical treatment.
8. Withdrawal Policy:
To withdraw from any program, West K Dance requires 30 days' written notice. Written notice must
be submitted by the 1st of the month to take effect for the following month. If notice is given
mid-month, tuition for the subsequent month is still due in full. Upon formal withdrawal, the
pre-paid last month’s tuition is non-refundable. Eligibility for a Performance Package refund is
determined by the date of withdrawal and the progression of the season; refunds are not
guaranteed once costumes and production logistics have been finalized.
Payment Terms & Guidelines:
1. Due Dates: All tuition is due on the 1st of every month.
2. Late Fees: A $25 late fee will be applied to all accounts with tuition unpaid by the
8th of the month.
3. Payment Methods:
○ Autopay: Set up hassle-free automatic monthly recurring payments through
your studio account portal.
○ E-Transfers: Send to info@westkdance.com (please include the dancer's
first and last name in the notes).
○ Cheques: Must be made payable to West K Dance.
Tuition Payment Options:
Parents may select one of the following payment structures for annual tuition:
1. Lump Sum Payment: Pay tuition in full upfront by September 1st.
2. Monthly Installments: Regular monthly tuition payments automated via auto-pay,
due on the 1st of every month over the 10-month season. Note: Late payments will
incur a 10% fee.
Acknowledgement:
By registering with West K Dance, families agree to abide by all the policies, financial commitments,
and codes of conduct outlined above.
