ON POINTE DANCE ACADEMY ENROLLMENT T&C
Terms and Conditions of Enrollment at On Pointe Dance Academy (OPDA)
This agreement is entered into between the student, or the parent/guardian of the student (if under 18 years old), and On Pointe Dance Academy (OPDA). This agreement remains valid at all times while the student is enrolled at OPDA and until terminated in accordance with Clause 2 below.
1. Fees and Payment
1.1. Fees are invoiced termly and are payable via auto-pay. All members are required to enrol in the auto-pay system, as bank transfers will no longer be accepted. This policy has been implemented to improve efficiency of the charity and reduce administrative workload.
1.2. Full payment for the term will be processed on the 7th day of the first month of the new term through the auto-pay system. Failure to enrol in auto-pay may result in the student being denied access to tuition.
1.3. Payment plans are available to families enrolled in three (3) or more classes or where siblings collectively total three (3) or more classes. Payment plans must be arranged through the auto-pay system, and the total fees will be divided into three (3) equal payments, processed on the 7th day of each month. Payment plans must be requested and approved in writing before the start of the term via hello@opda.co.uk.
1.4. Payment plans are only available to families who have completed at least two (2) full terms at OPDA. This eligibility ensures that payment plans are reserved for established members with a reliable payment history.
1.5. If additional classes are added mid-term and you are already enrolled on a payment plan, the fees for the new class(es) will be due in full on a pro-rata basis for the remainder of the current term. Only starting from the following term, will the new class(es) be included in the payment plan.
1.6. We are a charity, and if you are experiencing financial difficulties, we encourage you to notify us at least seven (7) days before the scheduled payment date. In such cases, we will endeavour to assist where possible, subject to the discretion of the charity and its board. Please note that if you miss a payment without prior notification, the terms outlined in this clause will apply, and no further alternative arrangements will be offered.
1.7. If a payment fails, a second attempt will be made to process the payment. If the payment fails a second time, a £30 administrative charge will be applied to the account. For those on a payment plan, the payment plan will be cancelled, and the full remaining balance for the term will become immediately payable. It is your sole responsibility to update and manage your payment details and ensure they are up to date.
1.8. OPDA reserves the right to suspend or terminate the student’s enrollment if fees remain unpaid after the second payment attempt or if the payment plan is cancelled due to non-payment.
2. Termination of Enrollment
2.1. By enrolling in On Pointe Dance Academy (OPDA), you are committing to the full term under a rolling termly agreement. If you enroll partway through a term, you are committing to the remaining portion of that term, after which the rolling termly agreement will continue unless terminated in accordance with this clause.
2.2. Termination of enrollment is only accepted at half-term or full-term intervals. Written notice must be provided at least half a term prior to the intended termination date and must be submitted via email to hello@opda.co.uk. The notice period applies to the weeks during which classes are scheduled. For example, if you are enrolled on the Winter Term, you can submit notice of termination within the October Half Term, for cancellation at the end of Winter Term. You will have then provided 6 weeks notice, completed the full term and your child’s place will be given to another child from the start of the Spring term. Please ensure you receive written confirmation as receipt of your submitted email. If you have not received a confirmation response, we have not received your request to terminate. You may provide notice at earlier intervals, but terminations will only be processed within a Half Term Break or End of Term Break.
2.3. Notice must be submitted no later than the first day of the new term. Please note that the first day of the new term refers to the official start of the term (which is typically a Saturday) and not necessarily the date of your first scheduled class. If notice is received on or after the first day of term, it will not be processed until the Half Term Break.
2.4. Notice given during the summer holiday period must allow for a minimum of six (6) weeks' notice from the first day of the new term in September. Failure to provide adequate notice will result in fees for the subsequent term being payable in full.
2.5. Fees remain payable for the full duration of the notice period, even if the student does not attend classes during that time.
2.6. Refunds for early termination of enrollment will only be granted in cases of verified medical necessity, supported by an official doctor’s letter.
3. Non-Attendance
3.1. No refunds or fee reductions will be provided for classes missed due to student non-attendance.
4. Workshops
4.1. Workshop places are confirmed only upon receipt of full payment.
4.2. Workshop fees are non-refundable unless the workshop is canceled by OPDA. Refunds for cancellations initiated by OPDA will be processed within four (4) weeks of the workshop’s scheduled start date.
4.3. At its sole discretion, OPDA may offer a credit for a future workshop if a student cannot attend due to unforeseen circumstances.
4.4. Full payment for workshops must be made no later than seven (7) days prior to the workshop start date to qualify for any discounted rates. Payments made after this deadline will be subject to standard rates.
5. Uniform
5.1. Students are required to wear the correct uniform and hair styling when attending classes. Information about the current uniform is available from the OPDA Handbook. You will receive this upon joining and a revised version annual. You can request a copy by emailing hellp@opda.co.uk.
5.2. OPDA reserves the right to deny participation in classes if the student is not in the appropriate uniform.
6. Behaviour and Exclusion
6.1. All students and parents/guardians are required to adhere to OPDA’s Ensemble Working Policy, which is available upon request.
6.2. OPDA reserves the right to exclude any student or ask any parent/guardian to leave OPDA premises if their behaviour breaches this policy. In such cases, no refund of fees will be provided.
7. Classes and Scheduling
7.1. OPDA guarantees the provision of weekly dance classes within the advertised term dates, subject to Clause 7.3.
7.2. While OPDA endeavours to maintain the full range of advertised classes, it reserves the right to amend the program due to staff illness or other circumstances beyond its control.
7.3. OPDA is not financially liable for cancellations caused by events outside its reasonable control. If classes are cancelled, OPDA will endeavour to make up the lost time or deduct the corresponding fees from the next term at its discretion.
7.4 OPDA Will reschedule the weekly timetable for every new academic year. It is feasible that class times and days may change annually to fulfil the availability of the teachers and the needs of the students in graded classes.
8. Child Protection and Safety
8.1. OPDA is committed to safeguarding children in accordance with its Child Protection Policy, available upon request.
8.2. All OPDA teachers are subject to an Enhanced Disclosure and Barring Service (DBS) check prior to employment. There is always a trained first aider on site.
8.3. On Pointe Dance Academy is covered under OPDA Public Liability Insurance (PLI).
9. Media and Publicity
9.1. By enrolling, the parent/guardian consents to the use of the student’s images (both still and video) in OPDA’s publicity materials.
9.2. If the parent/guardian does not wish for the student to be included in publicity materials, a written notice must be provided to OPDA.
9.3. Any photography or video taken by OPDA or its representatives remains the exclusive property of OPDA and will be used solely for the school’s purposes. No personal information will be linked to such materials.
10. Data Protection
10.1. OPDA will handle personal data in compliance with applicable data protection laws.
10.2. Contact information will not be shared with third parties except as required by law or with explicit consent.
10.3. OPDA may contact parents/guardians to inform them about other services offered by the academy, subject to prior consent.
