Welcome to Ultraflex Dance Academy.
We are delighted that you have chosen to join our dance community.
At Ultraflex, we believe dance is about far more than learning steps. Our mission is to inspire confidence, creativity, resilience and friendships in every child while providing exceptional dance education in a safe, supportive and inclusive environment.
Whether your child dreams of performing on stage, developing new skills or simply enjoying the excitement of dance each week, we are committed to making their experience positive, rewarding and memorable.
This handbook outlines the policies and procedures that help us provide the highest possible standard of care, communication and teaching for every family.
By enrolling with Ultraflex Dance Academy, you agree to the following Terms & Conditions.

We encourage every student to support one another, celebrate success and enjoy the journey of learning.
1. Registration
An annual registration fee is payable upon joining Ultraflex Dance Academy.
The registration fee contributes towards administration, insurance, technology platforms, memberships, staff training, safeguarding, licensing and the ongoing operation of the Academy.
Registration fees are non-refundable.
2. Enrolment & Securing Your Place
Your child's place is confirmed once:
• Registration has been completed.
• All required information has been submitted.
• Payment arrangements have been agreed.
Class places are limited and cannot be guaranteed until enrolment has been completed.
3. Automatic Rolling Enrolment
Ultraflex Dance Academy operates an automatic rolling enrolment system.
Once enrolled, your child's place is automatically reserved from one 8-week block to the next. This means you do not need to re-enrol each term and your child's place is protected.
This allows us to:
• Guarantee existing students their place.
• Plan classes and staffing.
• Maintain continuity for your child.
• Manage waiting lists fairly.
Invoices are issued approximately two weeks before the next block begins.
If you decide not to continue, please notify us before your next invoice is issued.
Once an invoice has been generated, your child's place has already been reserved and removed from availability.
As a result, the fees for that block remain payable.
Failure to notify us before invoicing may prevent another child from taking the available place.
Exceptional circumstances will always be considered at the discretion of Ultraflex Dance Academy.
4. Fees & Payments
Classes are charged in 8-week blocks.
Invoices are issued through Studio Pro.
Payment is due before the start of each block unless an agreed payment arrangement is in place.
Accounts with overdue balances may result in temporary suspension from classes until brought up to date.
5. Discounts
Where applicable:
• 25% discount on a student's second weekly class.
• 10% discount for 2nd Sibling.
• Promotional offers cannot normally be combined unless otherwise stated.
6. Trial Classes
Every new student is welcome to attend one paid trial class.
Trial classes are subject to availability and do not guarantee a permanent class place.
Following the trial, parents will receive confirmation regarding enrolment.
7. Attendance
Regular attendance helps students develop confidence, friendships and consistent progress.
If your child is unable to attend, please let us know through Studio Pro or by email.
Missed classes are not refundable.
Where possible, and subject to availability, we may offer a makeup class at another Ultraflex location.
8. Arrival & Collection
Students should arrive approximately five minutes before class.
Parents remain responsible for their child until class begins.
Children should be collected promptly after class.
Only authorised adults may collect a child unless alternative arrangements have been communicated to the office.
9. Parent Viewing
To minimise distractions and encourage independence, parents do not remain inside classes unless invited for a designated viewing session.
Throughout the year we provide showcase opportunities, photographs and updates so families can celebrate their child's progress.
10. Uniform & Appearance
Students should attend class wearing the appropriate dancewear and footwear.
Hair should be tied securely away from the face.
Jewellery should be limited to small stud earrings where appropriate.
Correct uniform promotes safety, flexibility and equality within the class.
11. Behaviour Expectations
Every student deserves to feel safe, respected and valued.
Students are expected to:
• Treat everyone with kindness.
• Follow teacher instructions.
• Encourage fellow students.
• Respect Academy property.
Bullying, intimidation or disruptive behaviour will not be tolerated.
12. Parent Code of Conduct
Parents and guardians are expected to:
• Treat staff respectfully.
• Treat other families respectfully.
• Raise concerns privately.
• Avoid criticism on social media.
• Support a positive environment for every child.
Ultraflex has zero tolerance for abusive, threatening or aggressive behaviour towards staff, volunteers or other families.
13. Communication
Our primary communication channels are:
• Studio Pro Parent Portal
• Email
• SMS (where appropriate)
Parents are responsible for ensuring their contact details remain up to date.
We strongly recommend enabling Studio Pro notifications to ensure you receive important updates regarding classes, invoices and events.
14. Health & Medical Information
Parents must inform us of:
• Medical conditions
• Allergies
• Injuries
• Additional support needs
• Emergency contact changes
Keeping this information current enables us to provide the safest possible environment for every student.
15. Illness
Students who are unwell or have symptoms of a contagious illness should not attend class.
Where appropriate, parents should follow current public health guidance before returning to dance.
16. Photography & Video
Photographs and videos may occasionally be taken during classes, performances and Academy events.
Parents will be asked to provide consent during registration and may update their preferences at any time.
We kindly ask that parents respect the privacy of all students when taking photographs or videos at Academy events.
17. Mobile Phones & Smart Devices
Mobile phones should remain switched off and stored away during class unless specifically required by the teacher.
Ultraflex Dance Academy accepts no responsibility for the loss, theft or damage of personal belongings brought onto the premises.
18. Lost Property
Lost property will be retained for a reasonable period.
Items not claimed may be donated or disposed of at the Academy's discretion.
Please ensure all clothing, footwear and water bottles are clearly labelled.
19. Teacher Absence
Occasionally it may be necessary to provide a substitute teacher.
All substitute teachers are appropriately qualified and briefed to continue delivering the highest possible standard of teaching.
Teacher changes do not constitute grounds for refunds.
20. Class Cancellations & Exceptional Circumstances
From time to time, classes may need to be cancelled due to circumstances beyond our reasonable control. These may include, but are not limited to:
Red or Orange weather warnings where travel or venue use is considered unsafe.
Venue closures or emergencies.
Public health restrictions or government directives.
Utility failures or other unforeseen events that prevent classes from taking place safely.
If this happens, every reasonable effort will be made to provide a suitable alternative. This may include:
A makeup class on a different date.
A class at an alternative Ultraflex venue.
An online class where appropriate.
As these circumstances are outside the Academy's control, refunds or class credits will not normally be offered. However, our priority will always be to ensure students receive the tuition they have paid for wherever reasonably possible.
21. Merchandise, Costumes & Shows
Costume deposits, showcase fees, merchandise and special event purchases are non-refundable once ordered, unless the item is faulty or your rights under consumer law apply.
Participation in showcases, competitions or special events may involve additional costs, which will always be communicated in advance.
22. Complaints & Feedback
We welcome feedback and aim to resolve concerns promptly and fairly.
If you have a concern, please contact us directly so we can work together to find a positive resolution.
Formal complaints should follow the Academy's complaints procedure.
23. Privacy & GDPR
Ultraflex Dance Academy is committed to protecting your personal information and complying with applicable data protection legislation.
Full details are provided in our separate Privacy Policy.
24. Changes to Policies
From time to time these Terms & Conditions and Academy Policies may be updated.
The latest version will always be available through Studio Pro and will apply from the date of publication.
25. Agreement
By enrolling at Ultraflex Dance Academy, you confirm that:
The information you have provided is accurate.
You have read and understood these Terms & Conditions.
You agree to abide by the Academy's policies.
You understand that enrolment operates on an automatic rolling basis unless notice is given before the next invoice is issued.
