Hinton School of Dance Code of Conduct

This Code of Conduct was developed by the Hinton School of Dance (HSD) Board to promote an enjoyable and safe environment for all dance members. To be successful, HSD expects a basic understanding of acceptable and cooperative behavior among dancers, parents/guardians, instructors and administrators. Therefore, all parents/guardian, dancers, instructors and administrators involved with the Hinton School of Dance are expected to conduct themselves in accordance with this HSD Code of Conduct. As a reminder, the Board is made up of parents/guardians and their actions and behavior's are referred to in this document.

Code of Conduct Requirements

Dancers will:
• Respect all dancers, parents/guardians, instructors, administrators, and HSD facilities.
• At festivals, respect all dancers, instructors, competitors, adjudicators and festival facilities.
• Attend assigned classes and be punctual as the schedule outlines.
• Exhibit positive behaviors
• Be respectful both at the dance school and out in the community when representing HSD.
• Not participate in horseplay, bullying or inappropriate behaviors – these behaviors will not be tolerated.
• Not use alcohol, tobacco or drugs on facility grounds or when representing HSD.

Parents/Guardians will:
• Respect and show appreciation to all dancers, parents/guardians, instructors, administrators, Board members, and other volunteers that make HSD a successful dance school.
• At festivals, respect all dancers, parents/guardians, instructors, competitors, adjudicators and festival facilities.
• Respect the decisions and judgement of the Instructor(s) and the Board and encourage the dancers to do the same.
• Only enter the studios when invited by the instructor, unless in an emergency.
• Provide positive comments that motivate and encourage the continued effort of our dancers.
• Be respectful to any volunteer who is in the office, organizing recitals, or fundraising programs.
• Contact the Executive Director of HSD in writing at office@hintondance.com if there is something that needs to be addressed in a formal matter.
• Not use alcohol, tobacco or drugs on facility grounds or when representing HSD.

Instructors will:
• Respect dancers, parents, volunteers and instructors and make HSD a successful dance school.
• Provide positive comments that motivate and encourage the continued efforts of our dancers.
• Sign and abide by a confidentially agreement.
• Follow the direction(s) of the Board of Directors.
• Follow and abide by the HSD Bylaws as amended at the HSD Annual General Meeting.
• Advise the Executive Director when there is an incident that requires Board support. If a student(s) demonstrates disrespectful behavior toward teachers, other students or school property, their teacher will excuse them from class and a parent is required to pick them up immediately. If there is a second occurrence, a meeting with the student, teacher, parent, Executive Director and/or Board Member will occur, as set out in the HSD Handbook.
• Not use alcohol, tobacco or drugs on facility grounds or when representing HSD.

Board Members will:
• Hold a non-paying position on the Board.
• Be in good standing to hold a position on the Board.
• Sign and abide by a confidentially agreement.
• Act in the best interest of all dancers, parents, volunteers and instructors.
• Support the teaching Instructor(s) in their decisions with regards to the Code of Conduct and class expectations
• Respect dancers, parents, volunteers and instructors and make HSD a successful dance school.
• Follow and abide by the HSD Bylaws as amended at the HSD Annual General Meeting.
• Not use alcohol, tobacco or drugs on facility grounds or when representing HSD.

Failure to meet HSD Code of Conduct requirements may result in the following:

Time Out – Dancers may be asked by the instructor to sit off to the side in the studio. Parents will be contacted by the instructor, as needed, in order to discuss the situation and how it was handled. The level of infraction will determine whether a member of the Board is notified. The instructor will complete an incident report on the situation. This report will be reviewed by the Executive Director and President and/or Board.

Dismissal from practice or festival – This will occur if a dancer repeatedly violates the Code of Conduct or if any action deemed to warrant a more serious consequence takes place. The Board will determine the length of suspension with consultation from the instructor.

Expulsion from Hinton School of Dance – This is for any dancer or parent who continually creates a disturbing environment by repeated violation of the above code. A dancer whose actions follow the Code of Conduct will be encouraged to continue to dance even if their parent is asked to leave HSD.
Examples of inappropriate behaviors include: verbal abuse such as swearing or other inappropriate language or gestures; physical abuse such as pushing, grabbing, hitting, spitting, or any other action that would infringe upon a person’s personal space or intentionally interfere with a dancer’s movement in the studios or cause others to feel uncomfortable and/or unsafe.

Please read the following HSD policies and waivers and initial on the appropriate line. Please sign at the bottom of page three indicating your acknowledgement and agreement to follow all policies.

Liability Wavier:
I understand and agree that in participating in any dance class, workshop, rehearsal or performance, there is a possibility of physical injury or death. I voluntarily agree, therefore, to assume all risks and responsibility for any such injury or accident, which might occur to me or my child during any of The Hinton School of Dance Society classes, rehearsals, performances, or activities. I also exempt, release, and indemnify The Hinton School of Dance Society, its Board of Directors, agents, volunteers, assistants, employees, guest artists, faculty members, and/or students from any and all liability claims, demands, or causes of action whatsoever from any damage, loss, injury, or death to me, my children, or property which may arise out of or in connection with participation in any classes or activities conducted by The Hinton School of Dance Society. I further hereby voluntarily agree to waive my rights and that of my heirs and assigns to hold The Hinton School of Dance Society, its Board of Directors, agents, volunteers, assistants, employees, guest artists, faculty members, and/or students liable for such damage, loss, injury, or death. I understand that I should be aware of mine or my child's physical limitations and agree not to exceed them. If I am agreeing to this waiver for my children, I certify that I am the parent or legal guardian and have the right to waive these rights.

Cancellation Policy:
If you wish to withdraw your child from Hinton School of Dance 1 months WRITTEN NOTICE (emails acceptable) must be provided to the office on or before the 1st business day of the month. One full month after notification of withdrawal, automatic payment will be terminated. There will be no cancellations with refund accepted after March 31st due to performance preparations therefore, it is recommended that your dancer completes the year. All exam fees, festival fees, and recital tickets are NON-REFUNDABLE unless these events do not go ahead.

Dancer Drop Off & Pick Up:
I understand that my dancer must not be dropped off at HSD no more than 10 minutes before their class is scheduled to begin and that I must pick up my dancer no later than 5 minutes after their class is scheduled to end.

Online Classes:
I understand that, in the event of a short term forced closure, HSD may offer some or all of its classes online via Zoom. Students who choose not to attend online classes may not be permitted to return to in-person classes if/when they resume and/or may not be permitted to perform in the year end recital (if one takes place) if the teacher determines that the student is not ready.

Attendance Policy:
Foundations:
- No more than three missed classes for the season/discipline, including May. (Ballet/Acro = 1 discipline, All other = 1 discilpine)
- No missed classes permitted in the two weeks prior to any performance (including recital)
- Make up classes for classes missed outside of the two week windows are required at the dancers current level. Make up classes will be offered in Ballet only.
- Any dancer with a questionable attendance record will be up for evaluation of level for the following season and risks not performing
- Teachers who have to reschedule classes (due to teacher schedule-conflicts) must give advance notice of no less than one month before the reschedule class is to take place (within reason). Notice given with less than a month will NOT constitute as a missed class against a students attendance record. Re-scheduling will go through the HSD Office.

Open Division:
- Dancers who miss six or more classes per discipline per season or three consecutive classes will risk being removed from the recital performance(s).

Adults:
- Adults who wish to attend festivals may miss no more than five classes per season
- Classes missed due to work schedules must be discussed with the teacher and will be evaluated on a class by class basis.
- All dancers must attend the appropriate dress rehearsals in order to be eligible to perform. This includes the Festival dress rehearsal for ALL registered dancers (including adults) wishing to attend festivals and the Recital dress rehearsal for ALL dancers wishing to perform in the recital.

Dress Code:
HSD requires that all dancers follow the dress code for their class and discipline. This information will be provided during the registration process and it is also posted on the website. Appropriate dress is necessary for safety reasons and ease of movement. It also permits teachers to detect and correct dancers technique, body alignment or other physical concerns. If you feel that your child cannot conform to the dress code due to medical reasons/limitations, please speak to the Executive Director. Dancers not having appropriate shoes and clothing may be excused from class or asked to sit out.

Performances:
I understand that HSD cannot guarantee that any public performances will take place this season. In the event that HSD has purchased costumes and/or paid festival registration fees, and performances/festivals are subsequently cancelled, HSD will only refund families costs for which HSD has also been refunded.

General Rules and Regulations:
1. Any person found causing damage to the studio will be held liable for the cost of repairs.
2. I am aware that all full year programs, except Acro, will perform in the year end recital and that a costume cost is required for each class. I am also aware that tickets must be purchased for the year end recital in order to attend.
3. I am aware that not all students will be ready to take an exam or participate in festivals. Students will be invited by a teacher if they are ready to participate.
4. I am aware that all teachers reserve the right to move my child to a different level if the level they are registered for is inappropriate.
5. I am aware the Hinton School of Dance has a dress code. Failure to comply may lead to the dancer being excused from class.
6. All Students and Parents involved in the Hinton School of Dance will conduct themselves in a professional and positive manner at all times.
7. All Students of the Hinton School of Dance are expected to be in attendance at Festivals (if participating) as well as Dress and Tech Rehearsals and Year-End Recital.
8. The Hinton School of Dance reserves the right to use photographs and videos taken of our program activities in advertisements and promotions in accordance with your selection in the Freedom of Information section above.
