1. Introduction
1.1 Welcome
Welcome to MCPD Cheer and Dance! We are thrilled to have you join our family of passionate dancers, cheerleaders, and supportive community members. MCPD strives to create an environment that encourages skill development, teamwork, and personal growth while celebrating the joy and artistry of dance and cheer.
This handbook serves as your guide to understanding our policies, procedures, and expectations. Together, we aim to create lasting memories, achieve personal and team goals, and showcase the dedication that defines MCPD. Welcome aboard!
2. Member Guidelines
2.1 Athlete Guidelines
Athletes are the heart of MCPD, and our expectations reflect the values of respect, accountability, and teamwork. All athletes must show:
● Loyalty: Regularly demonstrate genuine support and trust while maintaining a firm and unwavering commitment to the program‘s mission through both successes and challenges.
● Respect: Consistently demonstrate empathy, understanding and support for both others and ourselves, all while maintaining a respectful and realistic approach to boundaries.
● Communication: Clearly, compassionately and honestly engaging with our community both verbally and non-verbally.
● Foster a positive and inclusive atmosphere within the team. Cheer for your teammates, celebrate victories, and support one another during challenges.
● Accountability: Openly acknowledging when your actions do not align with MCPD standards, understanding the impact that it has on others and actively working to improve for next time
● Skill Maintenance: Work consistently to maintain and improve tumbling, stunting, or choreography skills throughout the season. Falling behind could affect team placement.
● Adhere strictly to safety rules, including no jewellery during practice or competitions.
● Prioritise team commitments over personal interests when conflicts arise (e.g., choosing team practice over social events).
● Teamwork: Collectively commit to trusting your teammates and the process, by enhancing the team through mutual support and cooperation.
● Communicate openly with coaches about injuries, personal challenges, or scheduling conflicts to ensure proper adjustments and support.
● Avoid bullying, gossip, or negative talk. This includes in-person interactions and online behavior. Violations may result in suspension or dismissal from the team.
2.2 Parent Guidelines
Parents are key supporters in ensuring their child’s success. To foster a supportive and cohesive environment, parents must:
● Show positivity and encouragement, both at events and within the wider community. Be your child’s biggest cheerleader, but also respect the growth and needs of other athletes.
● Show respect by demonstrating sportsmanship, respecting officials and opponents and supporting their child's team in a positive manner.
● Show loyalty by consistently supporting their child‘s involvement in our program for the duration of the competition season.
● Show accountability by admitting mistakes when they are made and giving 100% effort to be better next time.
● Display teamwork by supporting and encouraging not only your own child, but also your child's teammates and coaches.
● Display positive communication by asking questions before assuming and keeping up to date with all information. Reading and acknowledging all written communications prior to asking questions. Stay informed by reading all correspondence from MCPD regarding schedules, updates, and events. Regularly check platforms like email, Stack Team App, DanceStudio-Pro and Facebook.
● Timely Fee Payments: Ensure that all payments are made on time. Please see our Late Payment Protocol (6.4) for all information regarding timely payments.
● Respect MCPD’s communication protocols by addressing concerns through the appropriate channels, such as speaking with the studio owner or sending an email to the designated contact (info@mcpd.au).
● Avoid gossip or negative discussions about other athletes, parents, or coaches. Create a positive environment that reflects MCPD’s values. Those who participate in negative discussions and behaviour may be asked to leave MCPD.
2.3 Coach and Staff Guidelines
Coaches and staff are role models and leaders who uphold MCPD's values. They are responsible for:
● Creating safe and inclusive environments where all athletes can thrive.
● Maintaining open communication with parents and athletes to foster trust and
transparency.
● Balancing constructive feedback with encouragement to help athletes improve
and stay motivated.
● Keeping routines and practices aligned with safety standards and regulations
(e.g. Australian Cheer Union [ACU] standards & Office of the Children’s
Guardian).
2.4 Parent/Athlete Code of Conduct
● It is the MCPD Coaches responsibility to assign your child’s position in the team (e.g. base, back spot, flyer)
● No profanity or abusive language is to be used.
● Please keep in mind the gym is not a babysitting service. We want our
athletes to use the gym as often as possible, but children need to be supervised prior to training and must be collected promptly after class. We have athlete-waiting areas for students who have gaps between their classes.
● You must arrive at all training sessions, competitions or any scheduled event on time. Punctuality is a MUST.
● Never post any negative comments on any websites or chat rooms about events, other programs or ours.
● MCPD music, choreography, routines, stunts, etc. are the intellectual property of MCPD and must not be posted on any websites. This includes, but is not limited to Facebook, YouTube, snapchat, etc. without the direct permission of Mellisa Cosgrove, the studio owner.
● Every year we go through losses and additions of team members. The dismissal/addition of a team member is solely the studio owner’s decision.
● Only students and coaches are allowed in the gym & dance areas. Family and friends may not view classes unless asked to enter by the coach.
● It is the parents’ responsibility to know what is going on with your child’s teams. Please check your emails, TeamApp, DanceStudio-Pro and Facebook regularly.
● Withholding a child from a practice or a competition should never be used as a form of punishment as this affects the entire team, not just your child.
● Parents, relatives, friends and cheerleaders are never allowed to speak with competition officials for any reason.
● All MCPD students and MCPD family/friends will show good sportsmanship at all times.
● It is not the responsibility of the coaches to get athletes to or from training and competitions. Athlete car-pooling is recommended.
● Athletes cannot be associated with any other All Star cheerleading or dance program. That includes coaching and/or competing, unless approved by the studio owner.
● Coaches and athletes may be involved in scholastic/university cheerleading programs where they do not conflict with our program.
● Athletes and parents must not attempt to poach athletes from other clubs or from MCPD for other clubs.
● Here at MCPD we are a family orientated gym and believe in family time however, we advise against taking family holidays in competition season (from June - December). Taking holiday during these times could affect your child’s position on the team. All holidays must be submitted in week 1 of term 1 to be approved.
● The owner, Mellisa Cosgrove, may change, add or subtract any rule at any time.
2.5 Athlete Behaviour
● Demonstrate respect for coaches, teammates, opponents, and officials at all times.
● Avoid foul language, aggressive behavior, or unsportsmanlike conduct.
● Take responsibility for individual and team performance by practicing regularly
and staying focused during training and events.
2.6 Parent Behavior
● Support all athletes and the program with positivity and encouragement.
● Avoid confrontation with other parents, athletes, or staff. Any concerns should
be addressed directly with the MCPD studio owner.
● Cheer respectfully during competitions and avoid directing criticism toward
referees or competitors.
2.7 Staff Behaviour
● Lead by example, embodying the values of respect, integrity, and dedication.
● Provide constructive feedback and ensure all athletes feel valued and included.
3. Uniform Policy 3.1 Practice Attire
● Comfort and Safety: Athletes must wear athletic clothing that allows for full movement. Baggy clothing is discouraged to prevent accidents. MCPD colours of orange, black and white are preferred. Bottoms can be shorts, leggings or bike pants. Tops can be a singlet, crop top or t-shirt. Black on black training sessions as required, including every second training session as well as for all choreography clinics and stunt filming. MCPD has a compulsory training uniform for dance, please be aware of this. Crop tops and shorts can be purchased in the pro shop. Please wear your training and competition attire with pride, and wear appropriate underwear. You must wear appropriate training attire, midriff is acceptable.
● Shoes: Proper cheer shoes or dance footwear must be worn at all times during practice.
● Hair: Long hair must be secured away from the face to ensure safety during stunting, tumbling, or high-energy movements.
● Nails: Must be kept short 3.2 Competition Uniforms
● Uniforms must only be worn at official MCPD events and competitions. Any other use (e.g., for parties or photoshoots) requires explicit permission from MCPD.
● Athletes must maintain their uniforms in pristine condition. Damaged or lost uniforms may result in replacement fees.
3.3 Competition Attire
● Arrive in the complete uniform of your first routine, wearing your MCPD jacket or jersey over top. Appropriate footwear must also be worn in and around the venue, No bare feet or slippers please. Only MCPD jackets or jerseys are to be worn in awards. Ensure all other competition uniforms are packed and with you on the day.
● Socks for cheer need to be MCPD socks.
● Under no circumstances are you allowed to wear jewellery. This could result
in your team being disqualified or loss of points.
● All hair and makeup will need to be done prior to your arrival at the venue. If
you are unable to do your own hair and makeup, Please ensure you have
arranged for someone else to help.
● Please ensure appropriate colour as well as correct style under garments are
worn. NO bra straps or different coloured under garments are to be seen
through your competition uniforms.
● Athletes cannot show midriff whilst walking around competitions
3.4 Jewellery and Accessories
● Jewellery is strictly prohibited during practice and competitions. This includes but is not limited to rings, necklaces, bracelets, anklets, and earrings.
● Bags and any additional items must be placed in your locker or taken into the gym or dance room with you. NO items are to be left in the waiting area on the floor. Mobile phones must be turned off before training starts and placed in a
safe spot. No responsibility will be taken for items lost or stolen.
● We have a lost property area that is kept at reception. At the end of each term
any items left without a name tag will be donated to charity.
3.5 Use of Business Logo and Wording
The MCPD logo, trademarks, brand names, and any associated wording (collectively, the “Brand Assets”) are the exclusive property of MCPD & Mellisa Cosgrove. Employees, customers, athletes, affiliates, or any third parties are strictly prohibited from using the Brand Assets for personal merchandise, promotional materials, or any other personal purposes without prior written consent from MCPD. Unauthorised use of the Brand Assets for personal, commercial, or promotional purposes will be considered a violation of this policy and may result in disciplinary action, including but not limited to termination or legal action.
4. Attendance Policy
4.1 Importance of Attendance
Dance and cheer are team sports, and the success of the group depends on the commitment of each athlete. Consistent attendance ensures the team performs to its fullest potential.
4.2 Attendance Guidelines
● All planned absences must be submitted to the studio owner via your parent portal in DanceStudio-Pro, at the beginning of the year for approval. A submission of absence does not guarantee approval.
● Unplanned absences (e.g., illness or emergencies) should be reported as soon as possible, through DanceStudio-Pro or direct contact with the studio owner, whichever will ensure the notice gets to MCPD the quickest.
● Missing more than three practices without valid reasons may result in a review of the athlete’s role in the routine. You can find a list of valid and invalid absences, under 4.4 Absence Reasons.
● Late arrival at Training: You are considered late to training if you are not on the gym/dance floor ready to train when your training BEGINS. This means; appropriate training wear, shoes on and tied, hair up, snacks and drinks taken care of, ready to go. Warnings for lateness will be issued in writing; continual offences may result in dismissal from the club or other appropriate remedies, at the discretion of MCPD management.
4.3 Competition & Black Out Mandatory Training Attendance
● Mandatory Periods: Athletes must attend all practices in the two weeks
leading up to a competition, unless approval has been given at the beginning of the year via the absence process. Missing these critical practices may result in removal from parts, or all, of the routine.
● Competition Attendance: Athletes unable to attend a competition must notify the studio owner at the start of the year, by completing an absence form in DanceSudio-Pro, to allow for adjustments.
4.4 Competition Overview
● There are up to 7 competitions for the 2025 season.
● We do not receive a run sheet for events until one week prior, and it is still
subject to change until the Friday before the event.
● All athletes are expected to be at competitions one hour prior to the start of their first warm up time.
● After your presentation has concluded you are free to travel home or of course stay and support the other teams should your family wish to do so.
4.5 Absence Reasons
Valid reasons for missing regular team training include:
● A compulsory school function/compulsory camp.
● A death in the family.
● Vomiting
Invalid reasons for missing team training include, but are not exclusive to:
● Injuries/non contagious illness – athletes will be expected to watch and wear a
mask if required.
● Jobs
● Dances, birthday parties, concerts, discos, BBQ’s, trick or treating.
● Other sporting commitments.
● Sibling commitments/lack of transport.
4.6 Compulsory Lessons: There are precious few hours that each team trains together, every moment must be fully utilised. It is extremely important that you get to training on time. The two weeks before every competition is compulsory. This is for all disciplines. We cannot stress how important your attendance is. There is choreography lifts, stunting, formations, transitions etc. taught at every training session. If you miss that information, you hold the entire team back.
4.7 Frequently Asked Questions
● What happens if I need to be away for a normal competition class due to school camp or an important reason? Please submit your expected absence in DanceStudio-Pro (DSP). Here you need to record the selected dates and provide a valid reason. This will then electronically come to us to record. These need to be submitted at the start of the year so the absences can be checked and approved for you. No refunds are given. You are able to attend your school camp, however if it falls within the 2 weeks leading up to a competition you are asked to return from camp to train, if the camp is within a reasonable distance. Anyone who misses compulsory training will be asked to book a private at their expense for the missed training session.
● What happens if something comes up later in the year that is held at the same time as a mandatory lesson or competition? In most cases this will mean you will have to revoke your position on your competition team for that competition so we can make changes to the routines immediately. Sadly we are not in position to make changes for each event around people having other events that come up later in the year, it is simply not safe or fair on the other athletes in the team. If your dates away have been identified and approved at the start of the 2025 season, there is potential this can be avoided, this will be all at the studio owners discretion.
● What happens if I get injured before a competition? We try the best we can to prevent all injuries, but as many of our athletes play other sports sometimes injuries happen outside of our control. If you are injured, you are expected to watch classes and be cleared with a medical release from a physiotherapist or doctor. Where we can, we ask other athletes in the gym to fill in these positions so that once you are healed you can come back into your position. Sometimes this is not workable, but we try the best we can to work around this. If this is not feasible, we may have to ask that you revoke your position for that year so the team can make sufficient changes for the remainder of the competition season.
5. Social Media Policy
5.1 Purpose
Social media is a powerful tool that can positively or negatively affect MCPD's reputation. This policy ensures all members represent the organisation responsibly. 5.2 Guidelines
● Members must not post defamatory, offensive, or inappropriate content about MCPD, its members, or its competitors.
● All social media posts involving MCPD must align with the club’s values of respect, loyalty, accountability, teamwork and positive communication.
● Parents and athletes should avoid creating unauthorised group chats or posting team-related concerns publicly. Use official communication channels for resolutions.
● At no time are any routines of MCPD’s to be posted to social media, until the season has been completed (mid-December of each year).
5.3 Consequences for Policy Violations
Violations of the social media policy will result in actions ranging from warnings to removal from the team, depending on the severity of the incident.
6. Fees, Withdrawal, and Refunds 6.1 Payment Policies
● Fee Schedules: All members are required to adhere to the published payment schedules. Fees include tuition, competition costs, uniforms, and other program-specific expenses.
● Autopay System: MCPD uses an autopay system to streamline payments. Families must ensure their payment information is up-to-date.
● Overdue Payments: Please refer to MCPD’s Late Payment Policy (6.4). 6.2 Refunds
● Non-Refundable Fees: Registration fees, term fees, competition fees, and uniform costs are non-refundable.
● Missed Classes: Refunds or make-up sessions will not be provided for missed classes unless caused by medical emergencies, accompanied by a doctor’s note.
● Special Circumstances: Refunds for extended injuries or long-term absences will be reviewed on a case-by-case basis and are at the discretion of MCPD management.
6.3 Withdrawal from MCPD Competition Teams
To withdraw from the program, a written notice must be submitted to MCPD’s studio owner via email (info@mcpd.au), with a minimum of two-weeks’ notice given. Athletes leaving after choreography has been established, will be subject to a buy-out fee. Please see the MCPD Buy-Out Fee Policy (6.5).
6.4 Late Payment Policy
6.4.1 Payment Due Date: All invoices issued by MCPD Cheer & Dance must be paid in full by the due date specified on the invoice.
6.4.2 Overdue Fees: Payments not received within 14 days of the due date will incur a late payment fee of 10% of the total invoice amount. A revised invoice, including the late fee, will be issued to the payer.
6.4.3 Payment Following Late Fee Notification: Payment of the revised invoice, including the late fee, must be made within 14 days of issuance. 6.4.4 Non-Payment and Participation Restrictions: If payment remains outstanding and communication is ignored, the child will be required to sit out of class and watch as a spectator. Without further correspondence or resolution, the child will be permanently removed from their team(s). Reinstatement to the team(s) will only occur once the overdue invoice and applicable fees are paid in full, subject to team availability.
6.4.5 Withholding of Goods Due to Funds Owed: MCPD have the right to withhold competition entry wristbands, merchandise, costumes or other items purchased (Showcase tickets etc.) to families that owe any fees. Any fees owing includes but is not limited to, term fees, competition fees, costume fees, exam fees etc.
6.4.6 Private Lessons: Any student with overdue fees must cease private lessons until up to date, effective from the time the invoice becomes overdue 6.4.7 Referral for Debt Collection: If the overdue invoice remains unpaid and is referred for collection, all fees and charges incurred during the collection process will be added to the total invoice amount. The payer will be responsible for these additional charges, which may include collection agency fees, legal costs, and administrative fees.
6.4.8 Payment Plans: MCPD Cheer & Dance may approve a payment plan upon request for those experiencing financial difficulties. Late fees will still apply even if a payment plan is approved. If a payment plan is not adhered to, the full outstanding amount will become due immediately, and the steps outlined in this protocol will apply, including potential participation restrictions and referral for debt collection.
6.4.8 Bad Credit: Where MCPD have experienced a history of poor credit from a customer, MCPD reserves the right to limit athlete classes and placements on teams the following year.
6.4.9 Communication and Support: MCPD Cheer & Dance encourages open communication regarding financial difficulties. If you are unable to make payment by the due date, please contact us as soon as possible to discuss payment arrangements.
6.5 Buy-Out Fee Policy
A Competition Team Buy-Out Fee applies if you choose to leave a team prior to the completion of the year. This is to cover the cost of extra lessons for remaining team members and coaches to change and learn the amended choreography. There is a fee applicable for each team being withdrawn from, correlating to the term of departure. For example: Departing in Term 1 receives a cost of $100 per team, departing in Term 4 is $400 per team. This fee applies as soon as choreography has started.
By enrolling your child in MCPD Cheer & Dance programs, you agree to comply with the Fees, Withdrawal, and Refunds protocol.
This protocol ensures fairness and clarity for all participants while maintaining the financial health of the program.
7. Child Safety and Protection Policy
7.1 Purpose
MCPD are committed to creating and maintaining an environment that promotes the safety of all children. This includes encouraging a culture where the prevention and reporting of abuse is supported and encouraged. All staff and volunteers are responsible for promoting the safety, wellbeing and empowerment of children.
Our Child Protection Policy outlines the behaviors and practices that ensure the physical and emotional well-being of minors.
7.2 Standards of Conduct
This Code of Conduct sets expectations for how adults at MCPD should behave around children. This is important to help prevent children from being harmed. Child abuse takes many forms and can include physical, sexual and psychological abuse, ill-treatment and neglect. MCPD’s Child Safe Policy provides more information about these different types of abuse. This Code of Conduct identifies positive child safe behaviours that we encourage all adults to support. It also identifies behaviours that we consider unacceptable. Engaging in unacceptable behaviour is a breach of this Code of Conduct and may result in managerial or disciplinary action. Some examples of concerning behaviours are also provided below. These are behaviours that on their own may not constitute a breach of the Code of Conduct but together may indicate a pattern of behaviour that poses a risk to the safety of children.
MCPD Staff will:
● Treat all children and young people with respect
● Listen to and value children and young people’s ideas and opinions
● Welcome all children and their families and carers by being inclusive
● Actively promote cultural safety and inclusion
● Listen to children and respond to them appropriately
● Welcome parents and carers to participate in decisions about their child’s
training schedule and any other matters about their safety
● Report any conflicts of interest (such as an outside relationship with a child)
● Adhere to all relevant Australian and NSW legislation and our child safe
policies and procedures
● Work within a team to ensure that the needs of the child (and their family)
remain the paramount focus
● Participate in all compulsory training
● Raise concerns with management if risks to child safety are identified,
including cultural, environmental and operational risks
● Report and act on any concerns or observed breaches of this Code of
Conduct
● Take all reasonable steps to protect children from abuse
● Respect the privacy of children and their families by keeping all information
about child protection concerns confidential
● Inform parents and carers if there are situations that need to be safely
managed but are outside the boundaries of this Code of Conduct (such as driving an athlete to a competition or undertaking one-on-one training sessions)
● Take a child seriously if they disclose harm or abuse
● Ensure breaches of this Code are reported immediately
● Uphold the rights of the child and always prioritise their needs
Unacceptable behaviours
MCPD Staff will not:
● Condone or participate in illegal, unsafe or abusive behaviour towards children, including physical, sexual or psychological abuse, ill-treatment, neglect or grooming
● Ignore or disregard any concerns, suspicions or disclosures of child abuse
● Exaggerate or trivialise child abuse issues
● Use discriminatory or offensive behaviour or language with children
● Fail to report information to police if I know a child has been abused
● Engage in unwarranted and inappropriate touching involving a child
● Persistently criticise and/or denigrate a child
● Deliberately prevent a child from forming friendships
● Verbally assault a child
● Offer children and young people alcohol, cigarettes or other drugs
● Show children pornographic images
● Encourage a child to communicate with me in a private setting
● Share details of sexual experiences with a child
● Use sexual language or gestures in the presence of children
Internal and External Reporting Obligations
● The person to contact first and foremost to begin any reporting of concerns is Mellisa Cosgrove in person or via phone 0439 547 184.
7.3 Reporting Concerns
● Any suspicion of inappropriate behavior or violations of this policy should be reported immediately to the MCPD Studio Owner.
● MCPD staff are mandatory reporters. Mandatory reporters are required by law to report suspected child abuse and neglect to government authorities. Mandatory reporters must make a report to Communities and Justice (DCJ) when you have current concerns about the safety, welfare and wellbeing of a child.
8. Competition and Travel Policies
8.1 Competition Commitment
● Athletes must attend all scheduled competitions unless explicitly excused by the coach. Missing competitions without prior notice may result in dismissal from the team.
● Competition schedules will be provided advance, coinciding with the release of competition schedules from competition organisers, to allow for family planning.
8.2 Travel Guidelines
● Behaviour Standards: Athletes represent MCPD during all travel events and
are expected to behave respectfully and responsibly.
● Supervision: Athletes under 18 must travel with a parent or guardian or be
placed in the care of an approved chaperone.
● Expenses: Families are responsible for all travel-related costs unless
otherwise noted.
8.3 Uniform and Appearance
● Competition uniforms and hairstyles must follow MCPD guidelines. Non-compliance may result in the athlete being unable to perform.
9. Injuries & Conditioning
9.1 Injuries: We take every precaution to limit injuries. Unfortunately, we cannot prevent them all. In the event that your child is injured, we will take every necessary step to ensure your child’s wellbeing. Ongoing injuries that impair an athlete's ability to properly train/perform will require a physio assessment that is then shared with MCPD to ensure the safe rehabilitation back into usual training.
● All team members are expected to take care of their bodies. This means absolutely NO DRUGS, NO ALCOHOL AND NO SMOKING the night before any MCPD training, competition or event.
● Purchasing yearly AASCF Insurance is mandatory and at the expense of the athlete. Without AASCF Insurance, you cannot compete at competitions and will not be issued with a wristband.
● Part of your registration to AASCF includes accident and injury insurance, you will be issued with a member card which carries your membership number on it for safe keeping.
10. Extreme Weather Policy
Extreme Heat Protocol - 38°C and Above
Purpose: To ensure the safety and well-being of all participants, staff, and customers during extreme heat conditions while maintaining the integrity of our services. This protocol applies specifically to indoor services and clearly outlines our no-refund policy in such conditions.
10.1 Health & Safety Guidelines
Indoor Comfort: Although services are indoors, extreme external heat can still affect customers’ comfort levels. We will monitor conditions and ensure that indoor spaces remain well-ventilated, air-conditioned, and comfortable.
Hydration: Athletes and participants will be reminded to stay hydrated, with water stations provided in the facility. Staff will offer frequent hydration reminders and additional breaks.
Clothing: Customers should still dress appropriately for indoor activities (light, breathable fabrics).
Air Quality & Cooling: We will ensure the air conditioning, fans, and/or other cooling mechanisms are in full operation to maintain a comfortable indoor environment. Signs of Heat Exhaustion: If an athlete or participant exhibits symptoms of heat exhaustion, such as dizziness, nausea, or confusion, they will be provided with water, rested in a cooler area, and monitored closely.
Staff Training: Staff are trained to recognise the symptoms of heat-related illness and will take immediate action if needed.
10.2. Service Adjustments
Service Modifications: While the service is provided indoors, extreme external heat may still cause minor disruptions (e.g., delays in arrival, discomfort from the heat while entering/exiting). Activities may be shortened or modified to ensure comfort, but services will continue indoors.
Communication: Families will be kept informed of any service modifications via email, text, or on-site updates. If necessary, our staff will ensure everyone is aware of any changes in schedule or format due to the extreme heat conditions.
10.3. Refund & Rescheduling Policy
No Refund Policy: Services will continue indoors even during extreme heat conditions. As the extreme heat does not directly disrupt indoor activities, no refunds will be issued under these conditions.
Customers acknowledge that they have been made aware of the extreme outdoor temperatures before their appointment and understand that the business will take all reasonable measures to ensure comfort and safety indoors but will not offer a refund due to the heat.
Rescheduling Option: In the rare case that indoor conditions are affected by external factors (e.g., air conditioning failure), rescheduling options may be offered based on availability. Rescheduled services must be completed within 4 weeks of the original booking date. Any rescheduling requests are subject to availability and may incur additional fees if applicable.
Exceptions: Refunds may be considered in extraordinary circumstances (e.g., severe indoor disruptions), but such cases will be reviewed on a case-by-case basis and are not guaranteed.
10.4. Customer Acknowledgement
By completing your registration with MCPD you have acknowledged that you have read, understood, and accepted the terms of this Extreme Heat Protocol during the booking process or prior to participation. This includes the no-refund policy during extreme heat conditions.
10.5. Additional Safety Measures
Staff Monitoring: All staff will monitor customers for signs of discomfort and ensure that the indoor environment remains as comfortable as possible.
Emergency Protocols: First aid kits and emergency contact information will be available at all times. In case of any health issues, staff will provide immediate assistance.
Effective Temperature Threshold: This protocol applies when outdoor temperatures reach or exceed 38°C, which may still affect travel or overall comfort, even if the service is conducted indoors.
In the event that the temperature reaches 38°C or higher, MCPD classes may be cancelled, at the discretion of MCPD staff, for the safety and well-being of participants and staff. Cancellation notifications will be provided as soon as possible through communication methods, e.g., email, text message, social media. Classes will resume as scheduled once temperatures return to a safer level. Please check for updates and stay informed regarding class schedules during extreme weather conditions.

By accepting a position in an MCPD competition team, athletes and parents agree and adhere to all the rules and regulations and consent to the terms outlined.
By acknowledging that you have read this handbook, you further understand that any violation of these rules may result in your dismissal from MCPD or other action as deemed appropriate by MCPD Management and Coaching staff.
