Program Commitment & Payment Policies

MUSIC PROGRAM

・Students commit to a full session:

・Session 1: Sept. 15, 2025 – Feb. 15, 2026
・Session 2: Feb. 16, 2026 – August 30, 2026

・Withdrawals before the end of a session will result in the full remaining session fee being due.

・Exceptions apply to limited time programs like 8 or 12-week programs, seminars, workshops, and day camps, which must be paid in full at registration.

KARATE & DANCE PROGRAM

・Monthly enrollment (September to June) does not require a full-season commitment. Tuition is based on the total number of weeks in the program and is averaged into equal monthly payments.

・To withdraw, 30 days written notice must be submitted via email prior to the next scheduled AutoPay date. If notice is not received, the next month's fee will be charged before registration is cancelled.

・Example: To stop classes on Nov. 18, notice must be submitted by Oct. 14 (before the Nov. 15 fee withdrawal).

Payment Details

1. AutoPay is required for all monthly programs (Visa or Mastercard), with a 2.75% transaction fee.

2. Monthly fees are processed on the 15th of each month through DSP Merchant Services.

3. If payment is not completed on the scheduled date:
・ A 5% late fee will be applied.
・ The full session amount becomes due immediately.

4. Declined/expired payments:
・ A $15 late fee applies if no alternate payment is made.
・ A $29 NSF fee is charged per declined transaction.
・ Two consecutive declines result in mandatory full-year tuition payment.

5. Pro-rated tuition is available only for new students joining after the start of a month.

6. Missed Music Lessons will only be credited if the office is notified by email at least 24 hours in advance.

7. No refunds or credits are issued for missed classes.

8. Students with unpaid balances will not be permitted to attend class.

Holidays and Missed Classes

Students whose classes fall on a scheduled studio closure or holiday are welcome to attend a make-up class on another day, based on availability, that matches their age and level. Please note that Triple Arts Academy does not provide make-up classes for personal absences, including vacations or missed lessons.

1. Minimum Enrollment: Triple Arts reserves the right to combine or cancel group classes if fewer than three students are registered.

2. Inclement Weather: Classes may be cancelled in the event of severe weather or poor driving conditions. Families are encouraged to use their own discretion when deciding to attend if roads are unsafe in their area.

3. Emergency Closures: If classes are cancelled due to an emergency, families will be notified via email, text, or phone.

4. Make-Up Classes: If Triple Arts cancels a class, a make-up date will be offered. No credits or refunds will be issued for missed classes.

5. Statutory Holidays: Triple Arts Academy is closed on all statutory holidays.

At Triple Arts Academy, the health and safety of our students is our top priority. In the event of a suspected concussion, whether it occurred inside or outside the studio/dojo, we follow a strict protocol to ensure students receive appropriate care before returning to class or performance activities.

What is a Concussion?

A concussion is a brain injury caused by a bump, blow, or jolt to the head or body that can affect normal brain function. Concussions can occur with or without loss of consciousness and can take days or even weeks to fully heal.

Concussion Protocol

In the event of a suspected concussion:

1. Immediate Action
・ The student will be removed from class or training immediately.
・ Parents/guardians will be contacted to pick up the student and advised to seek medical attention.

2. Medical Clearance Required
・ Students will not be permitted to return to class until a written medical clearance has been provided from a licensed healthcare provider stating they are symptom-free and safe to resume physical activity.

3. Gradual Return to Activity
・ Once cleared, the student may return to training under a gradual reintroduction plan, beginning with light participation and slowly increasing activity levels as tolerated.
・ Any return of symptoms will result in removal from activity and further evaluation.

4. Parental Responsibility
・ Parents are expected to monitor their child for concussion symptoms at home and communicate any health concerns to Triple Arts staff.
・ It is the responsibility of the parent/guardian to provide timely medical documentation when required.

Common Signs & Symptoms of Concussion
・ Headache or pressure in the head
・ Dizziness, balance problems, or blurred vision
・ Nausea or vomiting
・ Sensitivity to light or noise
・ Confusion or difficulty concentrating
・ Irritability or personality changes
・ Sleep disturbances or extreme fatigue

If your child exhibits any of these symptoms following a fall or impact, please consult your physician immediately.

Triple Arts Academy is committed to maintaining a respectful, inclusive, and positive environment for all students, staff, and families. We have a zero-tolerance policy for disrespectful or aggressive behaviour toward any member of our community. Anyone in violation of this policy will be asked to vacate the premises immediately and will forfeit their registration.

1. Teachers are responsible for students only during their class time. Parents must ensure timely drop-off and pick-up.

2. Students under 12 must have a parent or guardian present on-site.
・ Exceptions apply to Day Camps and Parent’s Night Out events.

3. Students must:
・ Be in appropriate karate/dance attire, with hair tied back.
・ Bring only water into the studio.
・ Remove all jewelry before class.
・ Be on time. A 10-minute grace period is allowed, but late arrivals beyond this point must sit and observe to avoid injury from missed warm-ups.

4. Cell phones must be off or on silent and stored in bags during class.

5. Students must wait indoors for pickup.

6. Do not send students, friends or siblings to the studio unsupervised if they do not have a scheduled class.

7. Parents are not permitted inside studios during class. Viewing areas are provided, and parents will be invited in for scheduled observation days.

8. If someone other than a parent is picking up a student, please inform the instructor in advance for safety reasons.

9. Please keep absences to a minimum as this affects training progress.

10. All students and parents must act with respect and consideration for instructors, peers, and staff at all times.

By enrolling at Triple Arts Academy (operating as “Triple Arts Inc.” or “Triple Arts Studios”), the student and parent/guardian acknowledge and accept the inherent risks of physical activity. Triple Arts Academy, its staff, and affiliates are not liable for injury, illness, or damages sustained while on the premises. Families agree to abide by all policies outlined above.
