DANCEFUSION PERFORMING ARTS ACADEMY
2027 TERMS & CONDITIONS
Applicable to: Shearson Crescent & Balcombe Road Studios, Mentone, Victoria
Effective: 2027 Enrolment Year
Welcome to Dancefusion Performing Arts Academy (DFPA)!
We are delighted to welcome our students and families to another exciting year of dance. Our Terms & Conditions are designed to ensure a safe, supportive, organised and enjoyable experience for everyone.
By enrolling or re-enrolling at DFPA, parents and guardians agree to the following Terms & Conditions, subject to applicable Australian law.

1. ENROLMENT & REGISTRATION
1.1 Enrolment Confirmation
Enrolment is subject to class availability, appropriate placement, completion of registration requirements and payment of applicable fees.
Submission of an enrolment form does not automatically guarantee a place in a class.
DFPA will confirm class placements and enrolments.
All outstanding account balances must be paid in full before students can re-enrol for the following year.
1.2 Annual Registration & Insurance Fee
An annual Registration & Insurance Fee applies to each enrolled student or family, according to DFPA's published fee schedule.
This fee is payable each enrolment year.
The fee is non-refundable in circumstances of voluntary withdrawal, except where required by Australian Consumer Law.
Re-enrolling families are required to pay the applicable annual fee for the new enrolment year.
1.3 Free Trial Classes
Free trial classes may be offered to prospective students, subject to class availability and suitability.
A trial booking does not guarantee an ongoing class placement.
Families may choose to enrol directly without completing a trial, subject to availability, confirmation and applicable payments.
Students may be placed on a waiting list where classes are full.
1.4 Class Placement
Classes are generally organised according to students' school grades.
DFPA may consider experience, ability, confidence, developmental needs and individual circumstances when determining appropriate placement.
Final placement decisions are made by DFPA in consultation with families where appropriate.
DFPA reserves the right to manage class capacities and waiting lists to maintain safe and effective teaching environments.

2. TUITION FEES & PAYMENT CONDITIONS
2.1 Term Fees
Tuition fees are charged on a term basis according to DFPA's published fee schedule.
Fees are payable by the due date stated on the invoice.
Families are responsible for reviewing invoices and ensuring payments are completed on time.
Tuition fees secure a student's place in their enrolled classes for the relevant term.
2.2 Invoicing & Changes to Enrolment
Term invoices will generally be issued approximately three weeks before the payment due date for the upcoming term.
Families must submit any requests to change or withdraw from classes in writing during this three-week period and before the invoice due date.
Once the payment due date has passed, refunds or credits are not ordinarily provided for voluntary enrolment changes or withdrawals, except where required by law or approved by DFPA in exceptional circumstances.
Withdrawal during a term does not automatically entitle a family to a refund or credit.
2.3 New Family Payments
New families are required to make their initial term payment manually within seven days of enrolment confirmation, unless otherwise advised.
Subsequent term payments may be processed through DFPA's nominated direct debit arrangements.
2.4 Late Payments
A $20 late payment fee may apply to overdue accounts.
Where fees remain outstanding for more than seven days after the due date, DFPA may suspend participation following appropriate notice.
Failed direct debit payments are not automatically reprocessed. Families are responsible for arranging manual payment of outstanding amounts.
Outstanding balances must be cleared before re-enrolment for the following year.
Payment enforcement remains subject to applicable law and the circumstances of each case.
2.5 Discounts & Promotional Offers
Sibling, family and promotional discounts apply only where the published eligibility requirements are satisfied.
Discounts cannot be combined unless expressly approved by DFPA.
DFPA may amend or discontinue future promotional offers with appropriate notice.
Changes will not be applied retrospectively to confirmed eligible purchases or enrolments.

3. WITHDRAWALS, ABSENCES & HOLIDAY CREDITS
3.1 Voluntary Withdrawal
Families wishing to withdraw from classes must provide written notice within the applicable three-week invoice change window and before the upcoming term's payment due date.
Once that deadline has passed, voluntary withdrawal does not ordinarily qualify for a refund or credit.
Requests arising from exceptional circumstances may be considered individually.
Nothing in this policy limits statutory consumer rights.
3.2 Student Absences
Families are encouraged to notify DFPA of student absences where possible.
Tuition fees are not ordinarily refunded or credited for missed classes due to personal commitments, school events, holidays or other voluntary absences.
Students are expected to attend regularly, particularly when preparing for performances and examinations.
3.3 Make-Up Classes
DFPA offers limited make-up classes under the following conditions:
Terms 1 & 2: A maximum of one make-up class per student per term may be arranged.
Make-up classes are subject to availability and must be approved by DFPA.
Make-up classes must be completed within the same term as the missed class.
Unused make-up classes cannot be transferred or carried forward.
Terms 3 & 4: No make-up classes are offered due to concert preparation, choreography and performance commitments.
Make-up arrangements for student absences are separate from remedies offered when DFPA cancels a class.
3.4 Family Holidays
Holiday credits may be considered only for absences of three consecutive weeks or longer.
Families must provide at least four weeks' advance written notice.
Notice must be received before the relevant term invoice is finalised.
Where approved, the applicable credit will be reflected on the affected term's invoice.
Holiday absences of fewer than three consecutive weeks do not qualify for credits.
Cash refunds are not provided for voluntary holidays except where required by law.
3.5 Extended Medical Absences
Extended absences resulting from significant illness or injury will be considered individually.
DFPA may request appropriate medical documentation to assess a credit request.
Credits are not guaranteed and will depend on the circumstances.
Applicable consumer rights remain unaffected.

4. TIMETABLES, TEACHERS & STUDIO LOCATIONS
4.1 Timetable Changes
DFPA aims to maintain advertised class times, teachers and locations wherever practicable.
DFPA may make reasonable timetable or teacher adjustments due to operational requirements, enrolment numbers, staff availability or student needs.
Families will be notified of significant changes wherever practicable.
Where a substantial change affects an enrolled service, DFPA will consider suitable alternatives and any applicable remedies.
4.2 Studio Locations
DFPA operates from:
Shearson Crescent, Mentone
Balcombe Road, Mentone
Classes will generally remain at their advertised studio location.
A change of location will only be made where reasonably necessary, and affected families will be notified.
4.3 Teacher Absences & Class Cancellations
Where a teacher is unavailable, DFPA will endeavour to arrange a suitable replacement teacher.
If DFPA cancels a regular class and cannot provide a suitable replacement, an appropriate tuition credit will be provided.
Where DFPA cancels a private lesson, families will be offered a rescheduled lesson or an appropriate credit.
4.4 Low Enrolment Numbers
DFPA may combine, adjust or discontinue classes where enrolment numbers are insufficient.
Affected families will be notified and offered suitable alternatives where available.
Where DFPA cannot provide the agreed service or a suitable alternative, appropriate refunds or credits will be provided in accordance with applicable law.
4.5 Public Holidays
Regular classes do not operate on Victorian public holidays unless DFPA advises otherwise.
Published term fees already account for scheduled public holiday closures.
Make-up classes, credits or refunds are not provided solely because a regular class falls on a public holiday, provided this arrangement was disclosed as part of the enrolment.
4.6 Unforeseen Studio Closures
Where classes cannot proceed due to unforeseen circumstances, including severe weather, power outages, emergencies or government restrictions:
DFPA will endeavour to arrange a suitable replacement class.
An alternative DFPA studio location may be offered with appropriate notice.
Where a suitable replacement cannot be arranged, an appropriate tuition credit will be provided.
Any additional legal entitlements will be respected.

5. CLASS TRANSFERS & ADDITIONAL ENROLMENTS
5.1 Class Transfers
Class transfers are generally permitted between terms only.
Requests must be submitted in writing during the three-week invoice change window.
Transfers are subject to DFPA approval, class availability and appropriate placement.
Mid-term transfers may be considered in exceptional circumstances involving student wellbeing, suitability or other significant needs.
Voluntary changes do not automatically qualify for credits or refunds.
5.2 Existing Students Trialling Additional Classes
DFPA may offer existing students a complimentary trial of a new dance style at its discretion.
Trials depend on class capacity, teacher approval and suitability.
Trial opportunities may be restricted during Terms 3 and 4.
A trial does not guarantee an ongoing place in the class.
5.3 Additional Enrolments During Terms 3 & 4
New enrolments and additional classes during Terms 3 and 4 are subject to DFPA approval.
Consideration will be given to choreography progress, costumes, performance preparation, class suitability and availability.
Participation in end-of-year performances cannot be guaranteed for students joining later in the year.

6. PRIVATE LESSONS
6.1 Bookings & Payment
Private lessons are available subject to teacher and studio availability.
Both regular and occasional private lessons must be confirmed and paid for in advance.
DFPA manages teacher allocation and may assign an alternative suitable teacher where necessary.
Families will be notified of changes wherever practicable.
6.2 Cancellation Policy
A minimum of 24 hours' notice is required to cancel a private lesson.
Where at least 24 hours' notice is provided:
DFPA will first endeavour to reschedule the lesson.
If a suitable alternative cannot be arranged, a credit will be applied to the family's account.
Where less than 24 hours' notice is provided:
The full lesson fee remains payable.
No reschedule or credit is ordinarily provided, except where required by law.
If DFPA cancels a lesson, a rescheduled lesson or appropriate credit will be offered.
6.3 Recurring Private Lesson Times
Regular private lesson bookings are subject to ongoing attendance and teacher availability.
Where repeated absences or cancellations occur, DFPA may review or release a recurring booking.
Individual circumstances will be considered, and reasonable notice will be provided wherever practicable.
6.4 School Holiday Private Lessons
Regular private lessons generally operate during DFPA teaching terms only.
Optional school holiday lessons may be offered subject to teacher and studio availability.
Holiday lessons must be separately confirmed and paid for in advance.
Standard private lesson cancellation conditions apply.

7. CONCERTS, PERFORMANCES & PARTICIPATION FEES
7.1 End-of-Year Concert Participation

Families who do not wish their child to participate must notify DFPA in writing by the final day of Term 2.
After this deadline, costume and participation costs already committed may remain payable.
Voluntary withdrawal from a performance does not automatically entitle families to a refund of committed expenses, subject to applicable law.
7.2 Participation & Costume Fees
Concert participation fees and costume charges are separate from tuition fees and audience ticket purchases.
Applicable amounts will be published through DFPA's Registration, Costume & Additional Fees information.
Fees may be included on term invoices or issued separately.
Payment deadlines will be communicated in advance.
Different productions and programs may have different fees and arrangements.

Seating is unallocated unless otherwise advertised.
Theatre capacity is limited, and additional tickets cannot be guaranteed once a performance sells out.
Tickets are generally non-refundable for change of mind.
Tickets may be transferred to another person for the same performance, subject to applicable ticketing conditions.
Where a performance is cancelled or significantly changed, applicable consumer rights and remedies will be respected.
7.6 Compulsory Rehearsals
Students participating in performances are expected to attend compulsory rehearsals, including dress rehearsals scheduled outside normal class times.
Families must notify DFPA in writing if a student cannot attend.
Missing essential rehearsals may affect a student's ability to participate safely or confidently in a performance.
DFPA will consider individual circumstances when making participation decisions.
7.7 Performance Supervision & Collection
Specific arrival, sign-in, supervision and collection arrangements will be communicated for each production.
Procedures may differ between Lil Groovers concerts, Junior and Senior Showcases, musicals and other performances.

Repeated unexplained absences may result in a review of troupe placement or performance participation.
DFPA will consider individual circumstances, including illness, injury and additional support needs.
8.3 Company Withdrawal
Company families must provide four weeks' written notice when withdrawing from a troupe.
Applicable tuition fees remain payable during the four-week notice period.

Additional troupe-specific uniform and costume requirements will be communicated separately.

9. BALLET EXAMINATIONS & ASSESSMENTS
DFPA determines student suitability and readiness for examinations and assessments.
