Under the Spotlight Dance Company (“USDC,” “we,” “our” or “the studio”) respects the privacy of our dancers and families. This policy explains the personal information we collect, why we use it and the choices available to families.
INFORMATION WE COLLECT
We may collect information provided by parents, guardians, adult participants or authorized contacts, including:
• Names, birthdates and ages
• Mailing and email addresses
• Telephone numbers
• Parent, guardian and emergency-contact information
• Class enrollment, attendance and placement information
• Medical conditions, allergies, injuries and accommodations disclosed to us
• Authorized-pickup and family relationship information
• Payment, balance and transaction records
• Signed agreements and waivers
• Communications with the studio
• Photographs or recordings when permitted
• Competition, recital, costume and sizing information
• Technical information associated with use of the Parent Portal or studio website
PAYMENT INFORMATION
Electronic payments may be processed by Studio Pro and its authorized payment providers. USDC does not need to possess complete card or bank-account numbers when those details are securely maintained by the payment provider.
Payments received through Venmo, cash, check or another outside method may be manually recorded in Studio Pro so that account balances and transaction records remain accurate.
HOW WE USE INFORMATION
USDC may use personal information to:
• Create and manage family and student accounts
• Process enrollment and class placement
• Maintain attendance and emergency information
• Communicate studio announcements, schedules and account information
• Process or document payments
• Manage costumes, rehearsals, performances and competitions
• Respond to questions and provide customer support
• Support participant safety and reasonable accommodations
• Maintain signed agreements and business records
• Comply with legal, accounting, insurance or safety obligations
• Protect the rights, safety and property of participants, families, staff and USDC
HOW INFORMATION MAY BE SHARED
USDC does not sell personal information.
We may share limited information when reasonably necessary with:
• Studio Pro and authorized technology providers
• Payment processors and financial-service providers
• Instructors, employees and authorized contractors
• Costume vendors, competition organizations, photographers, venues and performance partners
• Insurance providers, accountants, attorneys and professional advisers
• Emergency responders or medical providers
• Governmental or legal authorities when required or reasonably necessary
We seek to limit shared information to what is reasonably needed for the applicable purpose.
PHOTOS AND RECORDINGS
Photographs and recordings are handled according to the separate Photo and Video Release. Declining promotional media permission does not prevent USDC from maintaining limited internal, safety, instructional or event-administration records when reasonably necessary and legally permitted.
COMMUNICATIONS
USDC may communicate with families through email, telephone, text message, BAND, Studio Pro or other studio-approved platforms. Families are responsible for keeping their contact information current.
Marketing or promotional communications may include available unsubscribe options. Essential account, safety, schedule and enrollment communications may still be sent while a student remains enrolled.
DATA SECURITY
USDC uses reasonable administrative and technological safeguards appropriate to the nature of the information maintained. However, no electronic storage or transmission method can be guaranteed completely secure.
Families should protect their Parent Portal credentials and notify USDC promptly if they believe their account has been accessed without authorization.
CHILDREN’S INFORMATION
Information about minor dancers is provided and managed by parents, guardians or other authorized adults. The Parent Portal and online registration process are intended for use by adults acting on behalf of minors unless USDC has expressly authorized otherwise.
RECORD RETENTION
USDC may retain enrollment, transaction, waiver, attendance and communication records for as long as reasonably necessary for studio operations, accounting, insurance, dispute resolution, safety and legal compliance.
Information may remain in archived or backup records after an account becomes inactive.
ACCESS AND CORRECTION
Parents, guardians and adult participants may review and update certain information through the Parent Portal. Requests to correct information or ask questions about studio records may be directed to USDC.
Requests involving deletion or restriction of information will be evaluated in light of operational, contractual, accounting, insurance and legal recordkeeping requirements.
POLICY CHANGES
USDC may update this Privacy Policy when its practices, technology or legal obligations change. Material updates may be posted in the Parent Portal or communicated to families. The effective date will be revised when the policy is updated.
