KULTURE DANCE COMPANY – Studio Agreement
This Agreement is made effective as of the date signed below by the undersigned 'Parent/Guardian' and/or 'Student,' and Kulture Dance Company. By signing this Agreement, the undersigned agrees to abide by the terms and conditions set forth herein.
Studio Policies
At Kulture Dance Company, we are committed to providing a safe, supportive, and drama-free environment where every dancer can thrive. The following policies apply to all students and families and are designed to keep our studio running smoothly and respectfully.
Attendance & Commitment: Consistent attendance is essential for progress in dance. Dancers who accrue more than 8 unexcused absences per quarter (3 months) in a season may not be eligible to perform in showcases or recitals. Excessive tardiness, leaving early, or missing mandatory rehearsals may result in removal from portions of choreography.
Recital & Performance Policy: Participation in recitals and showcases is a privilege and requires full commitment. All required rehearsals must be attended. Missing a mandatory rehearsal may result in removal from the performance. Costume and recital fees are non-refundable once ordered or paid.
Social Media & Online Conduct: We ask that parents and students help us maintain a positive and supportive environment by avoiding negative, harmful, or disrespectful comments about any other studio, including staff, students, and other families on social media. Any online behavior that creates conflict or drama within our dance community may result in dismissal. We welcome honest reviews, but we expect that all online representation of our dance family remains positive and respectful at all times.
Refunds & Withdrawal: Tuition payments are non-refundable once paid. Refunds will not be issued for missed classes, absences, or studio closures. Withdrawal from the studio requires written notice to the Studio Director. Failure to notify may result in continued billing.
Safety & Security: The studio is not responsible for students dropped off more than 10 minutes before class or picked up more than 10 minutes after class. Parents/guardians are responsible for supervising younger siblings in the waiting area and ensuring appropriate behavior while on the premises, including restroom use when needed. Younger siblings and students are not permitted to go to the restroom alone. A parent/guardian or responsible adult must accompany them when restroom assistance is required. Due to repeated facility issues, including excessive use of toilet paper and paper towels, as well as toilet clogging incidents caused by improper restroom use, all restroom visits must be supervised to ensure proper and respectful use of studio property. Students must remain inside the studio until picked up by a parent/guardian.
Dress Code Guidelines: Proper dance attire must be worn for each class, with hair secured away from the face. Appropriate shoes are required for each style (ballet, jazz, hip hop, etc.). No jeans, pajamas, or inappropriate clothing. Crop tops must be worn with high-waisted bottoms or layered appropriately. Jewelry (other than small studs) is not permitted.
Communication Policy: All concerns or questions must be directed to the Studio Director. Teachers are not available to discuss issues before, during, or after class time. Meetings may be scheduled with the Director as needed. Parents should not address concerns in group chats or through other parents.
Weather, Emergency, and Safety Closures: Kulture Dance Company will follow local school district decisions regarding weather closures when possible. In addition, if the indoor studio temperature reaches unsafe levels, classes may be canceled to protect the health and safety of our dancers and staff. In such cases, a notification will be sent to all parents via the Band app. No refunds or credits will be issued for weather- or safety-related cancellations; however, make-up classes will be offered when possible.
Liability for Off-Site Events: The studio is not responsible for injuries, accidents, or property loss that may occur during travel to and from, or participation in, off-site events such as competitions, recitals, parades, or community performances. Parents/guardians are responsible for transportation arrangements and safety outside of official studio activities.
Liability Disclaimer
The Studio will not be held liable for any injuries, accidents, or personal property loss that occur on the premises, whether during class or at any other time.
By signing this Agreement, the Parent/Guardian and Student acknowledge and accept the inherent risks associated with participation in dance classes.
Tuition and Payment Terms
Tuition is due on the 1st of every month. Payments may be made by cash, Venmo or Apple Pay. No checks will be accepted.
A 3-day grace period will be provided for tuition payments. If tuition is not received by the 4th of the month, a $20 late fee per day will be added to the account.
If tuition is not paid by the 6th of the month, the Student will not be allowed to participate in class until the account is brought up to date.
Late Arrival Policy
A 7-minute grace period will be allowed for students arriving late to class.
After this 7-minute period, the student must wait until a break in the class before entering.
Absence and Make-Up Classes
For Competition Dancers, a maximum of 5 excused absences per season will be allowed. Any absences beyond 5 will result in potential spot changes in the competition routine.
Dancers will be required to schedule their own make-up classes for missed classes. Make-up classes must be in the same genre and age-appropriate.
Dress Code
Ballet classes only: The dress code is mandatory. Students must wear a black leotard, pink tights, pink ballet shoes, and their hair in a bun. No jewelry shall be worn.
All other classes: No jewelry shall be worn; stud earrings are the only accepted jewelry.
Communication & Class Interruptions
Any personal issues that need to be addressed should be handled before or after business hours.
No class interruptions will be allowed for discussions or concerns.
Classroom Etiquette & Student/Parent Conduct During Class
Parents/Guardians: Please do not enter the dance room during class.
If there is an issue or your student needs to leave class early, notify the front desk so the staff can handle it. Do not disrupt class by entering or interrupting the teacher.
Students:
Students should not leave class without permission.
If a student needs to use the bathroom, get water, or there is an emergency, they must notify the teacher before leaving the room.
Band App Communication Requirement
All parents/guardians are required to join the Kulture Dance Company Band App. The QR code to join is available at the front desk.
This platform is the primary way the studio communicates important updates, announcements, and information regarding classes, events, and policies.
By enrolling their child, parents/guardians agree to join the Band App and regularly check it to stay informed.
Class Levels & Placement
Skill-Based Placement: Classes at Kulture Dance Company are organized by skill level, not age. Placement in the appropriate class is determined solely by the judgment of the teaching staff based on a student’s ability, experience, and readiness.
Staff Authority: The studio staff reserves the right to place students in the class that best suits their skill level. This ensures that all students are challenged appropriately and can progress safely.
Parent Interference: Parents/guardians are not permitted to request or demand placement in a specific class. Class placement decisions are final and made in the best interest of the student’s development.
Respect for Process: Parents are encouraged to trust the expertise of the teaching staff. Attempting to override placement decisions may disrupt the learning environment and could result in removal from class until placement issues are resolved professionally with the Studio Director.
Sick-Child Policy
Parents agree not to bring their child to class if the child is experiencing symptoms of illness. A child may only return to class when all of the following conditions are met:
The child has been symptom-free for at least 24 hours without the use of any fever- or symptom-reducing medication (e.g., fever, vomiting, diarrhea, significant cough or congestion).
Any rash or open skin sores are dry and crusted, or cleared with the approval of a healthcare provider.
If the child had vomiting, they can hold down food and liquids continuously for 24 hours. If diarrhea occurred, it has improved and is limited to no more than two loose stools in 24 hours.
Parents are encouraged to consult with their child’s healthcare provider about recovery and return-to-class timing
Lost and Found
Lost and Found Bin: A designated Lost and Found bin will be provided at the studio for items left behind by parents or dancers. Any items found at the studio at the end of each business day will be placed in the bin.
Responsibility to Retrieve Items: Parents and dancers are responsible for checking the Lost and Found bin for any misplaced items. The studio is not liable for any items left behind or lost on the premises.
Discarding of Unclaimed Items: Items left in the Lost and Found bin for 30 days or longer, without being claimed, will be discarded or donated at the discretion of the studio management. No notice will be provided prior to the disposal of unclaimed items.
No Liability: The studio is not responsible for any items left on the premises, whether placed in the Lost and Found bin or not. Dancers are encouraged to secure their personal belongings at all times.
Costume Policies
Costume Selection: All costume selections for recreational purposes, will be handled exclusively by the director. Parents are not permitted to select their own costumes unless otherwise agreed upon in writing.
Embellished Costumes: Any costumes that require any kind of embellishment (rhinestones, appliqués, feathers, etc.) will be managed by KDC staff. These costumes will incur an additional fee, which will be provided at a later date. The exact fee will depend on the amount of rhinestone work required.
Embellishment Fees: Fees for embellishment application are subject to change and will vary based on the specific costume. The final fee will depend on the number of materials used, the amount of labor involved in the rhinestone application, the complexity of the costume, and the amount of rhinestone work required.
Fee Adjustments: Parents will be informed of any fee changes in advance. All fees are non-refundable once the costume has been finalized and materials have been ordered.
Timely Orders: It is the responsibility of the parent to adhere to the studio's deadlines for costume orders. Late submissions may incur additional fees or delays in receiving the completed costume.
Parent Code of Conduct
Respectful Behavior Treat all staff, dancers, and parents with kindness and respect at all times, both inside and outside of the studio.
Drama-Free Environment
Refrain from gossip, negative talk, or speaking ill of any student, parent, or staff member. Any behavior that disrupts the positive environment of the studio will not be tolerated.
Studio Image
Conduct yourself in a way that reflects positively on Kulture Dance Company at all studio events, performances, and competitions.
Supportive Communication
Address concerns or questions directly with the Studio Director in a professional manner and during appropriate times (not during class).
Encouragement
Support not only your dancer, but also their peers and teammates, fostering a culture of encouragement and teamwork.
Compliance
Follow all studio policies regarding tuition, attendance, dress code, and deadlines.
⚠️ Failure to adhere to this code may result in a meeting with the Studio Director, and repeated violations may result in dismissal from the program.
Student Code of Conduct
Respect for All
Treat teachers, staff, fellow dancers, and parents with kindness and respect at all times.
Drama-Free Environment
Avoid gossip, bullying, or negative behavior toward anyone in the studio or at competitions.
Studio Representation
Carry yourself with pride and professionalism as a member of Kulture Dance Company. This includes rehearsals, performances, competitions, and any public settings connected to dance.
Commitment
Arrive on time, prepared, and with the proper attire/equipment required for class.
Teamwork
Encourage and support fellow dancers, understanding that dance is both an individual and team commitment.
Responsibility
Take care of studio property, costumes, and personal belongings.
Positive Attitude
Always bring a willingness to learn, improve, and contribute to a healthy studio culture.
⚠️ Violations of this code may result in consequences ranging from verbal warnings to removal from classes, performances, or competition team.
Photo & Video Release
By signing below, I grant Kulture Dance Company permission to photograph and/or record my child during classes, rehearsals, performances, competitions, and other studio-related activities. I understand and agree that these images and/or videos may be used for promotional purposes, including but not limited to social media, the studio’s website, print materials, and advertising, without compensation. I acknowledge that these images and videos may be edited, copied, exhibited, published, or distributed and waive the right to inspect or approve the final product.
Code of Conduct Acknowledgement
By signing below, I acknowledge that I have read, understood, and agree to follow the Parent Code of Conduct and/or Student Code of Conduct as outlined in the Kulture Dance Company policies. I understand that failure to follow these guidelines may result in consequences as stated in the policy.
Parent and Student Acknowledgement
Both the Parent/Guardian and Student (if applicable) acknowledge that they have read, understood, and agreed to the terms and conditions outlined in this Agreement.
This contract must be signed and dated by both the Parent/Guardian and the Student (if applicable) and handed to the Studio Director before the Student can begin classes.
Contract Amendments
This contract is subject to change at any time. Parents/guardians will be notified of any updates and will be required to sign a revised version of the contract to continue participation in the dance program.

By signing below, the Parent/Guardian and Student acknowledge their agreement to the terms outlined above and understand that failure to adhere to these terms may result in disciplinary action or dismissal from classes.
