This Privacy Policy explains how we collect, use, disclose, and safeguard your personal and financial information in compliance with the British Columbia Personal Information Protection Act (PIPA).

We collect personal information necessary to provide dance instruction, ensure student safety, and process payments. This includes: Parent/Guardian Details: Full name, home address, email address, and phone number. Student Details: Full name, date of birth, and critical medical/allergy information for safety. Financial Information: Credit card details (card number, expiration date, and CVV code).
2. Mandatory Credit Card Retention Policy
To streamline billing, we require all clients to keep a valid credit card on file. Storage Security: Your credit card data is never stored locally on our studio hardware or computers. Software Integration: All payment details are securely tokenized and stored within StudioPro, our dance studio management software platform. Compliance: StudioPro maintains strict Payment Card Industry Data Security Standard (PCI-DSS) compliance to encrypt and protect your financial details.
3. How We Use Your Information
We use your information strictly for studio operations, including: Processing automatic monthly tuition, costume, and competition fees. Managing class rosters, attendance records, and scheduling. Communicating studio updates, closure alerts, and emergency notices. Ensuring instructor awareness of student medical conditions or physical limitations.
4. Photography, Video, and Minors
We take the safety of minors seriously under BC privacy guidelines. To protect your child's identity, we do not publish full names or tag individual minors on public social media platforms.
5. Third-Party Data Sharing
We do not sell, rent, or trade your personal information. Your data is only shared with trusted third parties necessary to run our business: Software Vendors: Shared with StudioPro to manage accounts and process your mandatory credit card payments. Legal Obligations: Disclosed only if required by Canadian law or in an emergency to protect a student's health.
6. Data Storage and Canadian Privacy Laws
Your data may be processed through servers managed by StudioPro. While we strive to protect all data, information processed by third-party cloud vendors may occasionally be routed through servers located outside of Canada (such as the United States) and subject to the laws of those jurisdictions.
7. Your Rights under BC PIPA
You have specific rights regarding your personal information under BC law. You can log into your account via StudioPro at any time to update your contact or financial information, or request access to records we hold.
8. Withdrawal of Consent
You may withdraw consent for marketing communications at any time. However, removing a valid credit card from our system will result in a cancellation of class enrollment due to our mandatory card-on-file policy.
