GROOVZ Studio Policies/Procedures 2026-2027

TUITION/PAYMENTS:
**ALL FAMILIES ARE REQUIRED TO PUT A CARD or ACH Bank Info ON FILE UPON REGISTERING TO PAY YOUR REGISTRATION FEE AND SET UP AUTOPAY. Once enrolled in classes, you can unenroll yourself from autopay through your portal if you choose, and we will only use your payment info on file as a backup form of payment (with notice and/or permission).
**Monthly Tuition Fees Per Family: 1 class per week=$55; 2 per week=$100; 3 per week=$130; 4 per week=$160; 5 per week=$190; 6 per week=$210; each additional class after 6=$25; 90 min classes - add $20/month. (Example: Sibling #1 is taking 1 class per week, Sibling #2 is taking 2 classes per week, Total is 3 classes per week for the family = $130/month)
**Tuition payments are due on or before the 15th of SEPT-NOV & on or before the 1st of the month JAN-MAY. Our Full Season runs Sept 2026-May 2027.
$5 late fee WILL BE APPLIED to all late tuition invoices (starting Oct.), unless you call or text to make arrangements in advance with Michelle(510-828-7545) or Camaryn, our bookkeeper (406-381-4120).
**All returned checks will incur a $25 fee in addition to a $5 late fee if the new payment is late.
**As stated above, ALL families will be required to have a credit/debit card or ACH Bank Info on file this season, which will be charged five days after the due date if not already paid or arrangements are made. (We will never charge your card or bank without giving you proper notice and a chance to pay another way or make different due-date arrangements first.) NOTE: We can be very flexible with payments as long as we have good communication and follow-through from parents.
*Tuition will not be prorated for classes missed due to Holiday/Fall/Spring Breaks, etc. Extra rehearsal/ performance/backstage time during recitals will make up for this.
COSTUME FEE: (Applies to all Performing classes…Non-Performance classes are noted on our schedule)
*An $80 non-refundable, annual costume fee per dancer/per class is due by Nov. 21, 2026. (Can be fundraised for in Oct/Nov if needed). This fee covers the rental of studio-owned costume pieces used for the Winter Recital and also covers a costume for our Spring Recital that will be ordered for your dancer, which they get to keep after our recital.
DISCOUNTS OFFERED:
**We offer a 3% TOTAL-TUITION DISCOUNT for paying 3 months at a time OR a 5% TOTAL-TUITION discount for paying the full season at once. In order to get this discount, please reply to the confirmation email you receive after enrolling to let us know, and we will contact you when your statement is ready in your account. Payments for either of these discounts must be made by the due date on the statement sent, or the discount WILL NOT APPLY after that date.
**DISCOUNTS DO NOT APPLY TO COSTUME/COMPETITION OR ANY OTHER STUDIO FEES...ONLY TUITION.
**FULL Season Discount ONLY applies to those who register before October 15th, 2026.
REFUNDS:
*In the event of a studio closure, instructor illness, no substitute teacher available, etc., refunds will be issued for classes that we are not able to reschedule for a makeup class.
*Refunds will not be issued for the month of dance that a student drops classes if tuition for that month has already been paid. (30-day notice to drop is appreciated as a courtesy.)
COMPETITION:
*Competition IS NOT MANDATORY in any class except for the specified competition classes. (COMP INFO will only be sent to those who register for competition classes during the registration process or by request.) If you feel like your dancer would be interested in competing, please reach out to Michelle at 510-828-7545 for more info so you can decide if our competition program is a good fit for your family. Competition enrollment/commitment must be done by October 15th, 2026.
STUDIO/CLASS BEHAVIOR:
*We reserve the right to refuse entrance to anyone due to safety concerns/ inappropriate behavior. No BULLYING or unnecessary DRAMA allowed/tolerated by students or parents at our studio.
*The students in your dancer's class are a team and will be expected to support and respect one another at all times...inside and outside of the studio walls.
*Instructors have the right to have a dancer sit out or take five if they are being inattentive or disrespectful in any way. Parents will be notified if this behavior persists.
*Students with unpaid tuition may not be allowed to participate in class until said fees are paid in full or a payment arrangement has been agreed to. (This would ONLY happen in extreme instances where a parent is not responding to our requests for payment or communication.)
ATTENDANCE:
I understand that I am enrolling my dancer for the ENTIRE season: September 2026-May 2027, and I will be billed as such until I give a 30-day notice.
*Missed classes (on dancer's part) are not pro-rated or able to be made up & pre-paid tuition payments submitted are not refundable unless a 30-day drop-out notice is given.
*I understand that my dancer does not have to re-register for class after the winter break...same classes/same schedule will resume in January. Switching classes after Winter break may be an option, but is not guaranteed and will be based on the discretion of the studio director and only permitted if space allows in classes at that time.
*PARENTS ARE NOT ALLOWED TO SIT IN ON CLASSES. We do not have the extra space in the studio to allow this unless it's a Mommy N Me Class or it's a special circumstance pre-arranged with Michelle or the instructor.
*Students must be dropped off no more than 5 min early and picked up no more than 5 min late for class, unless arranged ahead of time w/ instructor.
*Students waiting for rides after class may be asked to wait outside the studio, since any time between classes is used as prep-time for the next class.
*NO BUS TO GROOVZ THIS SEASON...Please make other arrangements if necessary.
*IF YOUR CHILD HAS SYMPTOMS OF ILLNESS or ANYTHING THAT SPREADS, PLEASE DO NOT SEND THEM TO CLASS UNTIL YOU ARE CONFIDENT THEY ARE NOT CONTAGIOUS.
*Registrants after Feb. 1, 2026, risk not being in the Spring recital (Instructor's discretion)
VOLUNTEERING:
Our dancers have the opportunity to shine on stage in our winter and spring shows. The success of these shows largely depends on the volunteers needed both before and during show time. We will be reaching out at different times throughout the season to request volunteers, but if you know you have a specific strength, a connection in our community, or a way you prefer to help, we would love to connect with you beforehand. We also need volunteers to help with our fundraisers, events, and other miscellaneous things that pop up, so you may receive occasional texts to recruit when needed.
