PRIVACY POLICY
Bays All Stars | Kinetic Dance Force | Dance Unite Online
Trading names of The Sef Group Pty Ltd (ABN 12 609 377 059)
Effective date: 31 July 2026
Bays All Stars (“us,” “we,” or “our”) operates the website https://www.baysallstars.com (the “Service”). This Privacy Policy explains how we collect, hold, use and disclose personal information including information about the children enrolled in our classes in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).
We will not use or share your information except as described in this Privacy Policy. By using our Service or enrolling with us, you agree to the collection and use of information as set out here.
1. Who This Policy Covers
Our classes, teams and programs are for children and young people. Personal information about a dancer is generally collected from, and provided by, their parent or guardian not directly from the child. Where we refer to “you” in this policy in connection with a dancer’s information, we mean the parent or guardian providing it on the dancer’s behalf, unless the context makes clear we mean an adult dealing with us directly (for example, a staff member).
2. Information We Collect
We may collect personal information including: the name, date of birth, address, phone number and email address of dancers and their parents/guardians; emergency contact details; class, team and competition enrolment details; and billing and payment information.
Where a parent or guardian chooses to disclose it, for example, over the phone at enrolment, we may also collect sensitive information such as medical conditions, allergies, injuries or disability, so that we can manage a dancer’s safety and wellbeing while in our care. We only collect this kind of information with your consent, and only use it for the purpose you gave it to us: primarily the safety, supervision and wellbeing of your child during classes, rehearsals, competitions and travel. It is never used for marketing.
3. Photos and Video
We may take photos and video of dancers during classes, rehearsals, competitions and recitals, for use in our marketing, social media, and our online programs (Dance Unite Online). We seek consent for this from a parent or guardian at enrolment. If you would like to withdraw consent, or have a specific photo or video removed, contact us using the details below. This sits alongside our Safeguarding Children and Young People Code of Conduct, which sets standards for staff around photographing and filming dancers.
4. Log Data
We may collect information that your browser sends whenever you visit our website (“Log Data”), including your IP address, browser type and version, the pages you visit, the time and date of your visit, and time spent on those pages.
5. Cookies
Cookies are small files, which may include an anonymous unique identifier, that a website stores on your device. We use cookies to collect information. You can set your browser to refuse cookies or notify you when one is sent, but some parts of our Service may not work properly without them.
6. Google Analytics and Remarketing
We use Google Analytics to understand how visitors use our website, and Google Ads remarketing to show ads to people who have previously visited our site when they browse other websites. Google and its partners use cookies to serve ads based on your prior visits to our site.
You can opt out of personalised advertising via Google’s Ads Settings (adssettings.google.com), or by installing the Google Analytics Opt-out Browser Add-on. For more on Google’s privacy practices, see policies.google.com/privacy.
7. Service Providers
We use trusted third-party service providers to help run Bays All Stars, including:
- Studio Pro: our studio management platform, used for enrolments, family and class records, communications, and payments.
- ProfitWiz: used for our online programs and course/membership payments through Dance Unite Online.
- Google Analytics / Google Ads: website analytics and advertising, as described above.
These providers only have access to the personal information needed to perform their function for us, and are restricted from using it for any other purpose. Some may store or process information on servers located outside Australia. See “International Transfers” below.
8. Communications
We may use your contact details to send newsletters, class updates, or promotional material that may be of interest to you. You can opt out of any of these at any time by following the unsubscribe link in our emails, or by contacting us directly.
9. Compliance with Laws
We may disclose personal information where we believe in good faith that doing so is necessary to protect the rights, property or safety of Bays All Stars, our dancers, families, staff or the public, or where required to do so by law, subpoena, or a reasonable request from law enforcement.
10. Business Transactions
If we are involved in a merger, acquisition, sale of assets, or similar transaction, personal information may be transferred as part of that transaction. We will take reasonable steps to ensure any new owner continues to protect your information consistently with this Privacy Policy.
11. Security
We take reasonable, commercially acceptable steps to protect the personal information we hold, but no method of transmission over the internet or electronic storage is completely secure, and we can’t guarantee absolute security.
12. International Transfers
Some of our service providers (see “Service Providers” above) may store or process personal information on servers located outside Australia. Where this happens, we take reasonable steps to ensure the overseas recipient handles your information consistently with the Australian Privacy Principles, as required by APP 8.1, except where an exception applies. By providing us with personal information, you consent to this transfer.
13. Access and Correction
Under Australian Privacy Principles 12 and 13 of the Privacy Act 1988 (Cth), you can ask to access, and ask us to correct, the personal information we hold about you or your child. Contact us using the details below. We aim to respond within a reasonable time, and there’s no charge for making a request.
14. Complaints
If you believe we have breached the Australian Privacy Principles, you can complain to us. Please include:
your name and contact details;
- details of what you believe went wrong; and
- any supporting information (for example, a date or link).
We will acknowledge your complaint and aim to resolve it within 30 days. If you’re not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
This is separate from our Child Safety Complaints Handling Procedure, which covers concerns about a child’s safety or wellbeing. Please refer to that procedure if your concern relates to child safety rather than how we’ve handled personal information.
15. Retention
We keep personal information only for as long as we reasonably need it for the purpose we collected it, or as required by law, for example, we retain some child safety-related records for longer periods in line with our Safeguarding Children and Young People Policy. When we no longer need information, we take reasonable steps to destroy or de-identify it.
16. Links to Other Sites
Our Service may contain links to other websites we don’t operate. We’re not responsible for the content or privacy practices of any third-party site, and recommend reviewing their privacy policy before providing any information.
17. Children’s Information
Bays All Stars provides dance, acrobatics and cheerleading classes for children, and handling personal information about dancers is a normal and necessary part of our Service. We collect this information from a dancer’s parent or guardian (primarily at enrolment and through our ongoing communication with the family) rather than directly from the child. We do not knowingly collect personal information directly from a child without the involvement of their parent or guardian. If you are a parent or guardian with questions about the information we hold about your child, contact us using the details below.
We’re also monitoring the OAIC’s forthcoming Children’s Online Privacy Code (expected to be registered by December 2026) and will update this policy if it introduces additional requirements relevant to our website.
18. Changes to This Policy
We may update this Privacy Policy from time to time. Changes take effect once posted on this page. If we make a material change, we will notify you by email or via a prominent notice on our website.
19. Consent
By enrolling a dancer with us, or otherwise providing personal information to us, you confirm you are the dancer’s parent or legal guardian (or are otherwise authorised to consent on their behalf), and that you consent to us collecting, holding, using and disclosing personal information as set out in this Privacy Policy. If you wish to withdraw consent, contact us, noting this may limit our ability to provide some or all of our Service to your child.
