CW Dance Company Studio Policy - 2025/2026 Season
Welcome to CW Dance Company! We are excited to have you as part of our dance community. To ensure a positive and productive experience for all dancers, parents, and staff, we have established the following policies. Please read through the policies carefully, as they are designed to promote a safe, respectful, and organized environment for everyone.
1. General Studio Etiquette
• Respect and Conduct: All dancers, parents, and guests are expected to treat each other with kindness, respect, and professionalism. Disrespectful or disruptive behavior will not be tolerated.
• Proper Attire: Dancers must wear appropriate dance attire for each class, including the required shoes. Hair should be secured neatly in a bun or ponytail as per instructor guidelines.
• Personal Belongings: The studio is not responsible for lost or stolen items. Please keep personal belongings in designated areas and refrain from bringing valuables to class. It’s a good idea to label shoes and other items that might get left behind after class.
• Food/Drink: Food and drinks are not permitted in the dance rooms to maintain a clean and safe environment. Water is allowed, and we have a water fountain and cups available for those who do not bring their own water bottle.
• Behavior and Conduct: Any parent, guardian, or dancer who disrupts class or approaches an instructor, another dancer, or a parent with the intent to cause discord or violate the policies and procedures of CW Dance Company will be dismissed immediately. Any inappropriate behavior or slanderous remarks about CW Dance Company will result in immediate dismissal from the studio. If you have any concerns or issues, please contact the studio owner directly. We are committed to maintaining a positive environment at the studio and are happy to meet with you to address any concerns you may have.
2. Attendance and Punctuality
• Class Attendance: Regular attendance is essential for progress. Dancers are expected to attend all scheduled classes. If a dancer must miss a class, please inform the instructor as soon as possible.
• Punctuality: Arriving on time is crucial. Dancers should arrive on time for class and be prepared and warmed up. Late arrivals disrupt the flow of the class.
• Make-Up Classes: If class is canceled due to weather or instructor illness, every attempt will be made to schedule a make-up class depending on availability.
3. Payment and Fees
• Please thoroughly review our Financial Policy.
4. Studio Closures and Cancellations
• Holiday Closures: The studio will be closed for major holidays such as Labor Day, Halloween, Thanksgiving week, Christmas break, spring break, etc. Any closures will be communicated in advance. A studio calendar will be posted and kept updated on the studio website.
• Weather-Related Cancellations: In the event of severe weather, classes may be canceled. Please check the studio’s website and social media for updates.
5. Waiting Room Etiquette and Guidelines
The waiting room can become crowded and noisy at times. Please be mindful of the noise level, as excessive noise can be distracting to instructors in the dance rooms. If your child is playing on the floor, ensure that walkways remain clear for safety and convenience.
If you have any concerns or issues regarding the studio, please direct your comments to the studio owner rather than discussing them with other parents. This ensures that all questions and concerns are properly addressed.
Parents must supervise their children at all times. Under no circumstances should children be left unattended in the waiting room.
Parents/guardians of children ages 10 and under are required to remain in the building or in their car at the studio during class time, in case your child or the instructor needs you. Parents/guardians are expected to walk their child into class and return to the waiting room.
Children who are not enrolled in classes should not attend during class time.
All dancers, parents, and visitors are required to clean up after themselves and their children to maintain a neat and welcoming environment.
6. Competition Team Policies (if applicable for your dancer)
• Please thoroughly review our Competition Team Contract. All dancers and parent/guardian are required to acknowledge and agree the contract.
7. Safety and Health
• Injury Prevention: Dancers must follow all safety guidelines and instructions from their instructors to prevent injuries. If a dancer is injured, they should inform the instructor immediately and follow the appropriate steps for treatment.
• Illness: Dancers should stay home if they are feeling ill to prevent spreading illness to others. If a dancer has a contagious condition, please notify the instructor.
8. Recital and Performance Policies
• Recital Participation: All dancers are expected to participate in the Christmas and Spring recitals. However, participation requires adherence to the studio’s costume policies, rehearsal schedules, and additional fees. Participation in scheduled rehearsals for recital are mandatory.
• Ticket Sales: Tickets for the recital will be available for purchase before the event. Parents are encouraged to purchase tickets early.
9. Communication
• Studio Updates: Important updates will be communicated through the studio’s website, email, or social media platforms. It is the responsibility of the parent/dancer to stay informed.
• Feedback and Concerns: If you have any questions or concerns, please reach out to the studio owner or your child’s instructor directly. We are here to help and want to ensure the best experience for everyone.
10. Withdrawals and Refunds
• Class Withdrawals: If a dancer wishes to withdraw from a class, a written notice must be provided to the studio at least 30 days before the next scheduled payment. If notice is not provided, the upcoming month’s tuition will still be auto-drafted.
• Refunds: All fees are non-refundable once paid.
11. Photography and Media Consent
• Photography/Video: By signing up for classes, dancers or their guardians consent to having photos and videos taken during class or events. These images may be used for promotional purposes, such as on the studio’s website, social media, or marketing materials.
12. Class Observations
To help dancers maintain focus and create a productive learning environment, parents are not permitted in the classroom on a regular basis. However, we understand the importance of keeping you informed about your child's progress. Parents will be invited to observe classes periodically at the discretion of the instructor.
Additionally, the studio rooms are equipped with security cameras, allowing parents to view classes from the waiting rooms.
13. Release of Liability
As the legal parent or guardian, I hereby release and hold harmless CW Dance Company, its owners, operators, and affiliates, from any and all liability, claims, demands, and causes of action arising out of or related to any loss, damage, illness, or injury, including death, that may be sustained by the participant and/or the undersigned. This includes any incidents that may occur while on or near the premises of CW Dance Company, or any other premises under the control or supervision of CW Dance Company, its owners, and operators, or while in transit to or from any such premises.
14. Medical Waiver
I certify that I am the parent or legal guardian of my child(ren), and I hereby give my permission for any instructor, guest instructor, or other individual associated with CW Dance Company to seek and provide appropriate medical attention in the event of an accident, injury, or illness. I understand that I will be responsible for any and all costs associated with medical attention and/or treatment.
I further waive, release, and forever discharge CW Dance Company, its owners, operators, employees, and affiliates from all rights and claims for damages, injury, or loss to person or property that may be sustained or occur during participation in CW Dance Company activities, whether or not such damages or loss result from negligence. I also acknowledge that my child(ren) is/are physically fit and capable of participating in all activities.
15. Medical Insurance
CW Dance Company does not provide medical insurance for its dancers. It is required that all dancers maintain their own medical insurance coverage. In the event of an injury, it is understood that the dancer's personal insurance policy will be the sole source of reimbursement for any medical expenses.
16. Hold Harmless
Members of CW Dance Company agree to indemnify, defend, and hold harmless CW Dance Company, its trustees, officers, agents, and employees from any liability of any kind. This includes all claims and losses for injuries to persons or damage to property resulting from or related to the work, services, materials, or supplies provided by any individual or entity in connection with the performance of services. Additionally, members agree to hold CW Dance Company harmless from any and all claims and losses resulting from any person, firm, or corporation that may be injured or damaged by the member in the performance of such services.
All information provided in confidence, or that is private or secret to the company or individuals associated with CW Dance Company, shall remain confidential and shall not be disclosed outside of CW Dance Company.
17. Use of Social Media
Social media platforms such as Facebook, Twitter, LinkedIn, Instagram, and blogging are widely used. This policy provides guidelines for the responsible use of social media in relation to CW Dance Company. We encourage discretion when posting on these platforms.
• Respect and Positivity: Never post anything that could harm the self-esteem of dancers at CW Dance Company.
• Maintain Professionalism: Do not post negative comments about CW Dance Company, its instructors or guest instructors, performances, or events.
• Choreography Sharing: If posting videos of class or rehearsals, please avoid sharing any choreography in its entirety.
If improper use of social media is brought to our attention, you will be asked to remove the content. Continued violations may result in the dismissal of the dancer from the program.

By enrolling in classes at CW Dance Company, you agree to abide by the above policies. We are committed to providing a safe, nurturing, and professional environment for all dancers and families.
