Terms and Conditions of Registration at Joyce Jeffrey Theatre Dance School
Payment of Fees - After an initial trial class, payment for term fees are payable by monthly subscription by Direct Debit via Go Cardless. You will be sent a link to set up an electronic Direct Debit mandated. Your booking is not confirmed until the electronic Direct Debit mandate has been completed.. All Pupils are automatically re-enrolled in classes every term unless we receive a month's notice in writing/email stating that you wish to stop classes
Private lessons, additional lessons, uniform, merchandise and exam fees all incur an additional cost and are not included as part of your monthly subscription.
Late payments - If a payment attempt fails, 2 more attempts will be made to take payment by Go Cardless. If after the 3rd attempt payment fails and you have not made contact with me, a 5 pounds late payment fee will also be payable for that month.
If after 60 days payment is still outstanding and you have not made contact with me, then your child will no longer be able to attend classes. You will be sent an invoice for fees owed.
If you then wish to reinstate your child's subscription, outstanding monthly fees and late payment charges must be brought up to date along with a £10 admin charge.
Absence - If your child is absent, please let us know, preferably by submitting the absence via your Parent Portal. We don't issue refunds for missed sessions regardless of reason, unless due to exceptional circumstances or long-term illness, however you are allowed to attend an additional class on a different day to make up for a missed class (by arrangement). Regular attendance is important, not only for show preparations when the children need to work together as a team, but also in order for dancers to make steady technical progress. When a dancer's attendance becomes a concern, we will contact you to discuss a plan for course of action which may include scheduling private lessons to make up missed content or finding an alternative class placement.
Dress Code -All dance Schools have a dress code, and we ask all students and parents to observe the school dress code. Please make sure your child's hair is tidy, preferably in a bun. We have an incentive scheme for students to be dressed correctly with their hair in a bun and off face to encourage proper grooming for their dance class. Jewellery should not be worn and if worn is at your own risk.
New students are allowed a period of 4 weeks to organise the correct uniform during which time they can wear any clothing which allows freedom of movement. Regulation uniform can be ordered through Joyce Jeffrey Theatre Dance School only.
Personal Injury - Dance classes can involve risk of personal injury. While Joyce Jeffrey Theatre Dance School takes all reasonable care in the conduct of its classes, it accepts no responsibility for injury caused during classes or whilst participants are at or near the venue. Parents or Guardians are responsible for ensuring that children are physically fit and dressed appropriately for the class and abide by the instructions and expectations of the teacher
Behaviour - Joyce Jeffrey Theatre Dance School reserves the right to cancel a student’s place, without refund, if they are found to be bullying or displaying disruptive behaviour or if their behaviour impacts on the other students in the class
Special Needs - if your child has special needs or has a diagnosed condition which means they may need additional help or support, please make this known on the Registration form and also let us know how we can help your child to take part in the class
Media and child safeguarding -The filming and taking of photographs by parents and other students during classes or performances is strictly prohibited. From time to time Joyce Jeffrey Theatre Dance School may take photographs of children for use on our Facebook public page and closed parent group. We may also film routines and post these on our closed group to help children practice or on our Facebook page or Instagram. Our performances are also recorded. Your authorisation to use a video or photo of your child within this context is therefore requested. You must declare if you do not want your child to be photographed for marketing use, and keep us up-to-date should this change
Physical Contact - From time to time it is necessary for the teacher to use physical contact when helping to improve pupil's posture or assist in movements. This also includes physical contact between students i.e. holding hands.
Cancellation of classes due to lack of numbers - Joyce Jeffrey Theatre Dance School reserves the right to cancel any classes that fail to meet minimum number of students in a class. In the event of such a cancellation, your child will firstly be offered an alternative class place. If a suitable alternative class place is not available, you will be refunded for any remaining classes which you have paid for.
Bad Weather & Illness - There may be the case of the odd occurrence of bad weather which forces classes to be cancelled due to the health and safety of everyone travelling to class. No refunds will be offered, but other classes may be attended to make up for this..
General Data Protection Regulation (GDPR)
GDPR means that Joyce Jeffrey Theatre Dance School must;
• Manage and process personal data properly
• Protect the individual's rights to privacy
• Provide an individual with access to all personal information held on them
Joyce Jeffrey Theatre Dance School is required to collect and manage certain data. We need to know parent's names, addresses, telephone numbers, email addresses so that we can communicate with you. We need to know children's full name, address, date of birth along with any medical requirements. We are requested to provide this data to IDTA when children are entered for exams and the local council in areas where our performances take place. Your information will be obtained directly from you via e-mail communication, Facebook messaging if you have chosen to contact us this way, telephone and by your input into your personal Parent Portal. You must declare all medical conditions during registration and keep us up-to-date should this change. All data is stored on our software company Dance Studio Pro which is a fully GDPR compliant online platform. We use this data for registers on a weekly basis, to keep track of attendance, class schedules and to access emergency contact details. Access to class registers and emergency contact details will only be via a password protected mobile phone or laptop
Leaving Joyce Jeffrey Theatre Dance School -We understand that from time to time people's circumstances change and that you or your child may no longer be able to attend classes. In order to ensure that classes remain viable to continue for others; notification to withdraw from a class must be given in writing with at least one month's notice. Failure to provide such written notice will result in you being charged for an additional month's tuition fees.
