PRIVACY POLICY
Kootenay DanceWorks
1. OUR COMMITMENT TO PRIVACY
Kootenay DanceWorks is operated by Renée Salsiccioli as a sole proprietorship. In this Privacy Policy, “Kootenay DanceWorks” and “KDW” refer to Kootenay DanceWorks and its sole proprietor, Renée Salsiccioli.
Kootenay DanceWorks respects the privacy of our students and families and is committed to protecting personal information in accordance with British Columbia's Personal Information Protection Act (PIPA) and other applicable privacy laws.
This Privacy Policy explains how KDW collects, uses, discloses, protects and retains personal information in connection with our programs and services.
By creating an account or registering for Kootenay DanceWorks programs, you acknowledge that you have been provided with and have had an opportunity to review this Privacy Policy.
2. INFORMATION WE COLLECT
Kootenay DanceWorks collects personal information reasonably necessary to administer our programs and provide services to students and families. This may include:
Contact & Family Information: Parent/guardian and participant names, mailing addresses, email addresses and telephone numbers.
Participant Information: Date of birth, age, registration, class placement and attendance information.
Health & Safety Information: Relevant medical conditions, allergies, injuries, physical limitations or other information voluntarily provided to KDW that may affect safe participation.
Financial Information: Billing, payment and transaction information necessary to administer family accounts and payments.
Emergency Contacts: Names, telephone numbers and relationships of designated emergency contacts.
Studio Communications: Information voluntarily provided through inquiries, emails and other communications, as well as administrative information relating to rehearsals, performances, productions, festivals and participant placement.
Kootenay DanceWorks aims to collect only personal information that is reasonably necessary and appropriate for the purposes for which it is collected.
3. HOW WE USE PERSONAL INFORMATION
Kootenay DanceWorks may use personal information to:
Register participants and manage classes and schedules.
Determine appropriate class placement and program eligibility.
Process and record payments, issue receipts and maintain family accounts.
Communicate schedules, closures, rehearsals, performances, events and other important studio information.
Contact parents/guardians or emergency contacts when reasonably necessary.
Support participant health and safety.
Administer rehearsals, productions, performances, festivals and other KDW activities.
Respond to questions, requests and communications.
Maintain appropriate business and accounting records.
Meet applicable legal, regulatory, insurance, tax and accounting requirements.
Kootenay DanceWorks will not collect, use or disclose personal information for purposes that a reasonable person would consider inappropriate in the circumstances.
4. SERVICE PROVIDERS & DATA PROCESSING
Kootenay DanceWorks uses third-party service providers to assist in operating the studio, including online registration and Parent Portal services, payment processing, accounting and other technology or business services.
Personal information may be processed, stored or accessed by these providers where reasonably necessary for them to provide services to KDW.
Some third-party service providers may process or store information outside British Columbia or Canada. Where this occurs, personal information may be subject to the laws of the jurisdiction in which it is processed or stored, including lawful access by courts, law enforcement or other authorities in that jurisdiction.
Kootenay DanceWorks does not sell or rent personal information.
Personal information may otherwise be disclosed with consent, where reasonably necessary to provide KDW services, or where disclosure is required or permitted by law.
5. PROTECTING PERSONAL INFORMATION
Kootenay DanceWorks takes reasonable administrative, physical and technological measures to protect personal information against unauthorized access, collection, use, disclosure, copying, modification, loss or disposal.
Access to personal information is limited to KDW staff, contractors and service providers who reasonably require it to perform their responsibilities or provide services to KDW.
If Kootenay DanceWorks becomes aware of a privacy or security breach involving personal information, KDW will take reasonable steps to assess, contain and respond to the incident and will make notifications where required by applicable law or where otherwise appropriate.
6. ACCURACY, ACCESS & CORRECTION
Kootenay DanceWorks makes reasonable efforts to ensure that personal information used to make decisions affecting participants is accurate and complete.
Parents/guardians and adult participants may request access to personal information about themselves or their child that is under KDW's control, subject to applicable legal limitations.
Individuals may also request correction of inaccurate or incomplete personal information.
Requests for access or correction should be made in writing to Kootenay DanceWorks' Privacy Officer with sufficient information to identify the individual and the information being requested or corrected.
Kootenay DanceWorks will respond to requests in accordance with applicable privacy law.
7. RETENTION & SECURE DISPOSAL
Kootenay DanceWorks retains personal information only for as long as reasonably necessary to fulfill the purposes for which it was collected and to meet applicable business, accounting, insurance and legal requirements.
Where personal information has been used to make a decision that directly affects an individual, KDW will retain that information for at least the period required by applicable privacy law.
When personal information is no longer reasonably required, Kootenay DanceWorks will take reasonable steps to securely destroy, delete or anonymize it, as appropriate.
8. ONLINE SERVICES
Kootenay DanceWorks' website, registration platform, Parent Portal and other online services may use cookies or similar technologies for functionality, security and user experience.
Third-party platforms and service providers used by Kootenay DanceWorks may have their own privacy policies, terms and practices governing their services.
9. PHOTOGRAPHS, VIDEO & MEDIA
Photography, video recording and Kootenay DanceWorks' use of participant images are addressed separately through KDW's Photo, Video & Media Consent.
Media consent is voluntary and is not a condition of enrolling or participating in Kootenay DanceWorks programs.
10. PRIVACY OFFICER, QUESTIONS & COMPLAINTS
Renée Salsiccioli, Owner and Artistic Director, serves as the Privacy Officer responsible for overseeing Kootenay DanceWorks' privacy practices and compliance with applicable privacy legislation.

Kootenay DanceWorks will review privacy concerns and complaints and make reasonable efforts to respond and address concerns in accordance with applicable privacy law.
If a privacy concern cannot be resolved directly with Kootenay DanceWorks, individuals may contact the Office of the Information and Privacy Commissioner for British Columbia (OIPC).
11. CHANGES TO THIS POLICY
Kootenay DanceWorks may update this Privacy Policy from time to time to reflect changes in our programs, services, business practices, technology or legal requirements.
The current version will be made available through the Kootenay DanceWorks Parent Portal, website or other appropriate means.
