Dance Esteem LLC (“Dance Esteem,” “we,” “us,” or “our”) respects the privacy of our dancers, parents, guardians, families, employees, and website visitors. This Privacy Policy explains how we collect, use, disclose, and protect personal information provided to us through registration, our parent portal, our website, electronic communications, and other interactions with Dance Esteem.
We do not sell or rent personal information to third parties for their independent marketing purposes.
1. INFORMATION WE COLLECT
When you register for or participate in Dance Esteem programs, we may collect information including:
Parent or guardian names
Participant/dancer names
Mailing addresses
Email addresses
Telephone numbers
Birth dates and ages
Emergency contact information
Class, team, and program enrollment information
Attendance and scheduling information
Account and billing information
Payment-related information
Competition and event registration information
Medical conditions, allergies, injuries, medications, physical restrictions, or other health and safety information that you voluntarily provide or that is reasonably necessary for participation
Communications you send to Dance Esteem
Photographs, videos, or other media when permitted under our applicable media policies or authorizations
Other information reasonably necessary to administer Dance Esteem programs and services
Certain information may be required to register for or participate in particular programs. Other information may be optional.
2. HOW WE USE INFORMATION
Dance Esteem may use personal information for legitimate business and operational purposes, including to:
Register and enroll participants in classes, teams, camps, clinics, competitions, performances, and other programs;
Manage schedules, attendance, team assignments, and studio operations;
Communicate with parents, guardians, dancers, and families regarding schedules, practices, performances, competitions, billing, closures, emergencies, and studio information;
Process payments and maintain account records;
Register dancers for competitions, conventions, performances, or other events;
Order costumes, apparel, merchandise, or other participant-specific items;
Maintain emergency contact and relevant health or safety information;
Provide appropriate instruction and reasonably accommodate disclosed participation restrictions;
Maintain the safety and security of our dancers, families, staff, facilities, and programs;
Respond to questions, requests, concerns, or disputes;
Maintain business, financial, insurance, and legal records;
Enforce studio agreements and policies; and
Comply with applicable laws, regulations, court orders, insurance requirements, or other legal obligations.
We may also use information in an aggregated or de-identified form for legitimate business purposes where the information no longer reasonably identifies a particular individual.
3. CHILDREN’S AND DANCERS’ INFORMATION
Because Dance Esteem provides programs for children and teenagers, we routinely receive information about minors from their parents or legal guardians.
We collect information about minor participants as reasonably necessary to provide our programs, maintain participant safety, communicate with families, and administer studio activities.
Parents and legal guardians should provide only information that is reasonably necessary for their child’s participation.
Dance Esteem does not knowingly use information collected from minor participants for purposes unrelated to operating our programs except as authorized by a parent or guardian or otherwise permitted by law.
4. HEALTH AND MEDICAL INFORMATION
Parents and guardians may provide information concerning a dancer’s allergies, injuries, medications, medical conditions, physical restrictions, or other information relevant to safe participation.
Dance Esteem uses this information primarily for participant safety, emergency response, and appropriate administration of our programs.
Dance Esteem is a dance and fitness business and generally is not a healthcare provider subject to HIPAA. Nevertheless, we recognize the sensitive nature of health-related information and seek to limit its use and disclosure to legitimate safety, operational, and legal purposes.
5. WHEN WE MAY SHARE INFORMATION
Dance Esteem does not sell or rent personal information.
We may disclose information when reasonably necessary to operate our programs or business, including to:
Instructors, employees, administrators, and authorized contractors who need the information to perform their responsibilities;
Registration, scheduling, and studio-management service providers;
Payment processors and financial service providers;
Competition, convention, performance, and event organizers when information is required for registration or participation;
Costume, apparel, photography, technology, communication, or other vendors when reasonably necessary to provide requested services;
Insurance providers, accountants, attorneys, and other professional advisers;
Emergency medical personnel when reasonably necessary to protect a participant’s health or safety;
Government agencies, courts, law enforcement, or other parties when required or permitted by law; and
Other parties when reasonably necessary to protect the rights, safety, property, or security of Dance Esteem, our participants, our staff, or others.
Service providers may receive only the information reasonably necessary for the services they perform for Dance Esteem.
6. PAYMENT INFORMATION
Dance Esteem may use third-party payment processors to process tuition, fees, merchandise purchases, competition fees, and other transactions.
Payment card and banking information may be collected and processed directly by those providers. Dance Esteem’s access to complete payment-card information may therefore be limited depending upon the payment system being used.
Information handled by third-party payment processors may also be subject to those providers’ privacy and security practices.
7. PARENT PORTAL AND ACCOUNT SECURITY
Parents and guardians may receive access to an online account or parent portal used to manage registration and other studio information.
You are responsible for maintaining the confidentiality of your account credentials and password and for restricting unauthorized access to your account.
Please notify Dance Esteem promptly if you believe your account has been accessed without authorization.
8. EMAILS, TEXT MESSAGES, AND ELECTRONIC COMMUNICATIONS
Dance Esteem may communicate with families by email, text message, parent portal, Studio Pro, BAND, or other communication platforms used by the studio.
These communications may include important operational information such as schedule changes, billing information, registration deadlines, competition information, weather closures, emergency notices, and other studio-related communications.
Where required by law, marketing or promotional electronic communications will be handled in accordance with applicable consent and opt-out requirements.
9. PHOTOGRAPHS AND VIDEO
Dance Esteem activities may involve photography or video recording.
The use of an identifiable participant’s image or likeness for advertising, social media, websites, promotional materials, or other public-facing purposes will be governed by Dance Esteem’s applicable photo/video release or media authorization.
This Privacy Policy does not replace any separate photo, video, or media release provided during registration.
10. DATA SECURITY
Dance Esteem takes reasonable administrative, technical, and physical measures designed to protect personal information from unauthorized access, disclosure, alteration, or loss.
However, no electronic system, online platform, transmission method, or storage system can be guaranteed to be completely secure. Accordingly, Dance Esteem cannot guarantee absolute security of information.
11. DATA RETENTION
Dance Esteem may retain personal information for as long as reasonably necessary to:
Provide programs and services;
Maintain registration and participation records;
Maintain financial and transaction records;
Satisfy insurance and business-record requirements;
Resolve disputes;
Enforce agreements; and
Comply with applicable legal obligations.
Information that is no longer reasonably necessary may be deleted, destroyed, or de-identified in accordance with Dance Esteem’s record-management practices and applicable law.
12. ACCESSING OR CORRECTING YOUR INFORMATION
Parents and guardians may be able to review or update certain account information through the Dance Esteem parent portal.
You may also contact Dance Esteem to request correction of inaccurate personal information or to inquire about information maintained by the studio.
Requests to delete information will be considered subject to applicable legal, contractual, financial, insurance, safety, and record-retention obligations. Certain records therefore may need to be retained even after a dancer is no longer enrolled.
13. THIRD-PARTY SERVICES
Dance Esteem uses third-party platforms and service providers to help operate its business.
Information submitted through those services may also be governed by the privacy policies and terms of the applicable provider. Dance Esteem is not responsible for the independent privacy practices of third-party websites, applications, or services that it does not control.
14. CHANGES TO THIS PRIVACY POLICY
Dance Esteem may update this Privacy Policy periodically to reflect changes in our operations, technology, service providers, or applicable legal requirements.
When appropriate, an updated policy will be made available through our website, parent portal, registration system, or other studio communication channels.
