Financial Responsibility Agreement
2026-2027 Competition Season
1. Purpose and Intent
This Financial Responsibility Agreement is intended to clearly explain the financial commitment required for participation on the Dance Loud Academy Competition Team. Competition Team participation requires planning, scheduling, staffing, choreography, costume ordering, competition registration, convention registration, nationals planning, and administrative work based on the commitment of each dancer and family.
Parent/Guardian understands that Dance Loud Academy relies on each dancer's commitment when creating teams, assigning routines, hiring choreographers, submitting competition entries, ordering costumes, and planning the season. When a dancer withdraws, misses events, becomes delinquent, or is dismissed, the studio may suffer financial and operational damages.
2. Full-Season Commitment
Competition Team participation is a full-season commitment. The season begins with summer/team commitments and continues through the conclusion of Spring Recital and/or Nationals if Dance Loud Academy elects to attend. Acceptance of Competition Team placement confirms that Parent/Guardian and Dancer agree to fulfill all team, attendance, conduct, and financial obligations for the full season.
• The full-season commitment includes classes, rehearsals, choreography, competitions, conventions if required, community performances, recital, showcase, nationals if selected, and all required team activities.
• A dancer may not withdraw casually due to loss of interest, friend conflict, romantic relationship conflict, sports conflict, schedule preference, dissatisfaction with placement, family preference, or similar voluntary reason without financial consequence.
3. Expenses and Fees Covered by This Agreement
Parent/Guardian agrees to be financially responsible for all charges associated with Competition Team participation, including but not limited to the following:
• Monthly tuition.
• Competition Team fees.
• Registration and administrative fees.
• Choreography fees.
• Costume deposits, costume balances, alterations, replacement pieces, tights, shoes, jewelry, makeup, hair pieces, props, and warm-ups.
• Competition entry fees for groups, solos, duets, and trios.
• Convention fees, workshop fees, master class fees, and related training fees.
• Nationals fees, deposits, and related charges if Dance Loud Academy elects to attend.
• Private lessons, extra rehearsals, cleaning sessions, and required catch-up lessons.
• Reblocking fees, late fees, declined payment fees, chargeback fees, collection costs, court costs, filing fees, attorney fees, and lawful interest.
4. Non-Refundable Fees
The following fees are non-refundable once billed, ordered, registered, submitted, scheduled, committed, or paid by Dance Loud Academy, regardless of whether the dancer later withdraws, is dismissed, becomes injured, misses a competition, changes teams, or chooses not to participate:
• Team fees.
• Choreography fees once choreography has begun or been scheduled.
• Costume fees once costumes or materials have been ordered.
• Competition entry fees once submitted or committed.
• Convention fees once submitted or committed.
• Nationals fees once submitted or committed.
• Administrative fees.
• Prop fees, jewelry, makeup, warm-ups, apparel, and special-order items.
• Tuition already billed or paid.
5. Voluntary Withdrawal Defined
Voluntary withdrawal includes any withdrawal, reduction, removal request, refusal to continue, failure to attend, or decision to discontinue Competition Team participation initiated by the dancer, parent/guardian, or family, unless otherwise approved in writing by the Director.
Voluntary withdrawal includes, but is not limited to:
• Loss of interest or burnout.
• Sports, school, cheer, theater, church, social, work, travel, or family schedule conflicts.
• Friendship conflict, team conflict, romantic relationship conflict, or parent conflict.
• Transportation issues or inconvenience.
• Dissatisfaction with placement, routine assignment, number of dances, choreography, costume, scores, awards, casting, teachers, or studio decisions.
• Relocation or change in family circumstances.
• Failure or refusal to pay required fees.
• Stopping attendance without written approval.
6. Written Withdrawal Requirement
Withdrawal must be submitted in writing to Dance Loud Academy. Verbal statements, text comments, missed classes, parent gossip, or failure to attend do not automatically constitute accepted withdrawal.
The withdrawal effective date is the date Dance Loud Academy receives written notice from the parent/guardian, unless a later date is specified by the studio. Financial obligations continue until written notice is received and processed.
7. Competition Team Withdrawal Fee
If a dancer withdraws from Competition Team after accepting placement, Parent/Guardian agrees to pay a Competition Team Withdrawal Fee of $750. This fee is intended to offset administrative time, staffing disruption, team disruption, scheduling changes, choreography impact, communication work, and other losses caused by withdrawal. The Withdrawal Fee is separate from and in addition to all tuition, competition fees, costume fees, convention fees, choreography fees, nationals fees, reblocking fees, late fees, and other amounts owed.
8. Tuition Obligation After Withdrawal
Upon withdrawal, Parent/Guardian agrees to remain responsible for ninety (90) days of tuition beginning on the date written withdrawal notice is received by Dance Loud Academy.
This tuition obligation applies whether or not the dancer attends classes during the 90-day period. The 90-day tuition obligation is intended to offset staffing, class placement, choreography, team planning, lost tuition, and disruption caused by withdrawal.
9. Choreography Fees and Choreography Disruption
Choreography fees become non-refundable once choreography has begun, been scheduled, or been assigned.
Parent/Guardian remains responsible for choreography fees even if the dancer withdraws, misses rehearsals, is removed from a routine, or is dismissed. If a withdrawal, absence, injury, dismissal, or refusal to participate requires choreography revisions, Dance Loud Academy may assess reblocking fees as described below.
10. Reblocking Fees
A minimum reblocking fee of $75 per affected routine may be assessed when a dancer withdraws, misses a required event, is removed, becomes unavailable, or causes choreography/formation changes.
Dance Loud Academy reserves the right to assess additional reblocking fees when revisions require significant teacher time, additional rehearsals, private cleaning, staging changes, or emergency adjustments.
• Reblocking fees may apply to group routines, productions, solos, duets, trios, recital routines, nationals routines, or any routine affected by the dancer's absence/removal.
• Reblocking fees are separate from tuition, competition fees, choreography fees, and withdrawal fees.
11. Competition, Convention, and Nationals Fees
Competition, convention, and nationals fees become non-refundable once submitted, registered, reserved, invoiced, or committed by Dance Loud Academy. Parent/Guardian remains responsible for these fees regardless of dancer participation.
Dance Loud Academy is not required to issue credits or refunds unless the competition, convention, or nationals organization issues an actual refund to Dance Loud Academy and the Director determines that a credit is appropriate.
12. Costume and Special-Order Items
Costume fees, apparel, accessories, props, jewelry, tights, shoes, makeup, warm-ups, and special-order items are non-refundable once ordered or committed. Dance Loud Academy may withhold costumes or items until the account is paid in full.
If a dancer withdraws or is dismissed, Dance Loud Academy may require costumes or studio-owned items to be returned if needed for replacement casting or routine continuity. No refund is owed for returned items unless agreed in writing.
13. Payment Authorization
Parent/Guardian authorizes Dance Loud Academy to charge the payment method on file for all amounts due under studio policies and signed agreements, including tuition, team fees, choreography fees, costume fees, competition fees, convention fees, nationals fees, reblocking fees, withdrawal fees, late fees, administrative fees, declined payment fees, and collection-related charges where allowed. Parent/Guardian is responsible for maintaining a valid payment method on file. Failure of a payment method does not eliminate the amount owed.
14. Late Payments and Account Delinquency
Payments are due according to the due dates issued by Dance Loud Academy. Any payment not received by the due date may be assessed late fees. Accounts that become delinquent may result in participation restrictions.
• Suspension from classes, rehearsals, competitions, conventions, recital, nationals, or team activities.
• Withholding of costumes, awards, photos, videos, recital participation, or competition participation where permitted.
• Removal from routines or Competition Team.
• Referral to collections.
15. Default and Acceleration
If an account becomes delinquent, if Parent/Guardian refuses payment, initiates improper chargebacks, withdraws without payment, or breaches this Agreement, Dance Loud Academy may declare the account in default. Upon default, all outstanding amounts owed under signed agreements may become immediately due and payable, including unpaid tuition obligations, withdrawal fees, reblocking fees, competition fees, convention fees, nationals fees, costume fees, choreography fees, late fees, and other billed charges.
16. Chargebacks and Payment Disputes
Parent/Guardian agrees not to initiate chargebacks or payment disputes for valid charges related to services rendered, choreography taught, classes provided, costumes ordered, competition entries submitted, convention/nationals registrations, team fees, withdrawal fees, or other charges agreed to under Dance Loud Academy policies. Any chargeback on a valid charge may constitute breach of this Agreement. Parent/Guardian remains responsible for the original amount, chargeback fees, administrative time, collection costs, and other recovery costs where permitted by law.
17. Collections and Legal Costs
Any unpaid balance may be referred to collections or pursued through legal action. Parent/Guardian agrees to pay all costs of collection and enforcement to the extent permitted by law, including collection agency fees, attorney fees, court costs, filing fees, administrative recovery costs, and interest permitted by Louisiana law.
Venue for disputes may be designated as the appropriate court in Bossier Parish, Louisiana, subject to applicable law and attorney review.
18. Injury, Illness, Relocation, or Hardship
Injury, illness, relocation, financial hardship, family changes, or schedule changes do not automatically release
Parent/Guardian from financial obligations already incurred or committed on behalf of the dancer.
Any request for exception must be submitted in writing and is subject to Director approval. Any approved exception must be in writing to be valid.
19. Dismissal from Team
Dance Loud Academy reserves the right to dismiss any dancer/family for non-payment, excessive absences, parent misconduct, dancer misconduct, social media violations, harassment, bullying, disruption, or conduct detrimental to the studio. Dismissal does not release Parent/Guardian from financial obligations under this Agreement or any other signed Dance Loud Academy agreement.
20. No Oral Modification
No verbal promise, side agreement, text comment, informal discussion, parent conversation, or teacher statement modifies this Agreement. Any exception, waiver, discount, payment arrangement, or release must be in writing and approved by the Director/Owner.

_____ I understand chargebacks on valid charges may constitute breach of this Agreement.

_____ I understand dismissal or withdrawal does not release financial obligations.

_____ I understand only written exceptions approved by the Director/Owner are valid.
