STATEMENT
Attitude Theatre Arts is committed to protecting the rights and freedoms of students, parents, guardians, and staff. We process personal data fairly and lawfully, ensuring it is collected for specific, legitimate purposes and only with explicit consent.
1. THE INFORMATION WE COLLECT
We utilize Dance Studio Pro as our secure management portal. To provide safe and professional training, we collect and store:
Participant/Student Data: Full names, addresses, dates of birth, dress/costume sizes, and Unique Learner Numbers (ULN) for older students.
Health & Safety: Critical information regarding Special Educational Needs (SEN), medical requirements, allergies, and injury history.
Parent/Guardian Data: Names, telephone numbers, and email addresses.
Staff/Teacher Data: Professional teaching qualifications, insurance certificates, and DBS certificate numbers. We also hold bank details, National Insurance numbers, and photographic ID for payroll and "Right to Work" verification.
Website: We use anonymous cookies for Google Analytics to improve our online service.
2. HOW WE SHARE DATA
Data is only shared when necessary for the safety of the student or the administration of professional services:
Internal Safety: Relevant medical or SEN info is shared strictly with the class teacher so they can adapt lessons to the student’s needs.
Exam Boards (IDTA): Student data, including ULNs, is shared for examination entries and to request special considerations/adjustments where necessary.
Local Authorities: Data is shared via secure transfer for performance licenses as required by law.
DBS & Safeguarding: Staff data is sent securely to DDC Ltd for background clearances. We maintain a Central Staffing Record to log and monitor DBS status.
3. PHOTOGRAPHY, VIDEO & SOCIAL MEDIA
We use imagery for educational purposes, show souvenirs, and marketing.
Public Social Media: By consenting to marketing, you acknowledge that images may be posted on our public Facebook Page or Instagram. Important: Once published, it is technically impossible to fully "recall" or delete an image from the internet, even if consent is later withdrawn.
Private Community: We maintain an Attitude Theatre Arts Private Facebook Group for current members. In line with Facebook’s policy, students under 13 are not permitted to join this group; it is intended for parents and adult students.
Show Photography: Professional photos/videos taken during productions may be made available for purchase.
Anonymity: We do not publish student names alongside images on public platforms without specific additional permission.
4. COMMUNICATION CHANNELS
WhatsApp & SMS: We collect phone numbers to communicate vital class updates, emergency closures, or rehearsal schedules via text or WhatsApp.
Opting Out: You may request to be removed from group chats at any time, though this may result in missing urgent studio updates.
5. STORAGE & SECURITY
Dance Studio Pro: Most data is managed via this secure, password-protected portal.
Physical Records: Any paper documents (medication forms, paper registers) are kept in locked filing cabinets or secure metal boxes.
Portability: Any portable data (e.g., password-protected USBs) or paper records being moved between venues are transported in lockable containers.
6. YOUR RIGHTS, RETENTION & HISTORICAL ARCHIVE
You have the right to access your data or request erasure. We retain records in line with legal requirements:
General & Financial Records: 3 years after a student leaves.
Accident/Injury Records: 19 years (until the child is 21).
Child Protection Records: 22 years (until the child is 24).
Staff Records: 6 years post-employment.
Historical Archive & Promotional Use: Attitude Theatre Arts maintains a historical archive of photographs, videos, and show programs. We may continue to use these images for promotional purposes (such as "Legacy Bear" features or celebrating student milestones) even after a student has left the school. If a former student (or their guardian) wishes for a specific historical image to be removed from our archives or social media, we will honor that request promptly.
