ID DANCE STUDIOS - Terms and Conditions
"By enrolling, you agree to the terms and conditions, including the Photo Release Form. For the
full text of the Photo Release Form, please see the appendix below."
Enrolment Policies & Procedures
Enrolment into a class will be on a first-come, first-served basis and classes have a maximum
capacity. A waiting list is available if you miss out on the first intake.
Roll-Over Enrolments
Enrolments and tuition do not carry over into the next calendar year. However, enrolments will
automatically roll over to subsequent terms unless notice is provided.
Billing and Due Dates:
● For Students Enrolled in AutoPay:
Tuition fees will be automatically processed on the first day of each term. Written notice
of any intention to add, drop, or change classes must be received at least five (5)
working days before the end of the current term to avoid automatic billing.
● For Students Not Enrolled in AutoPay:
Tuition payment must be made no later than three (3) working days after the term ends
to secure your dancer’s place for the next term. Any unconfirmed places will be released
and offered to other families. Please note that if the class becomes full, we cannot
guarantee your child’s spot.
Teachers Policy
ID Dance Studios will provide a qualified teacher to our standards for each class.
We reserve the right to replace a teacher at any time without notice as a result of other
professional commitments.
Any issues regarding our teachers or classes may not be discussed before, during or after class
with the teacher and must be directed to the admin team via email.
Fee Policies and Procedures
All term fees are based on a standard 8-week term, guaranteeing a minimum number of classes
for all students. For 9-week terms, the additional week is provided as a courtesy at no extra
charge. Classes will not be held on public holidays.
Additional weeks, such as show weeks or extra preparation for exams beyond the standard 9
weeks, will be charged separately.
Payment plans must be approved prior with ID Dance Studios Director and the account must be
assigned to Autopay. A 10% late fee is applied to all payment plans. If you have a payment plan
arranged with us all term fees must be paid by the end of the 4th week of that term at the latest.
Families with two or more students enrolled are eligible for a 5% discount applied to the student
with the lowest tuition fees. This discount is applied to one student per family and can be
combined with the multi-class discount if applicable but cannot be combined with other
discounts or promotions.
Fees must be up to date by the end of each term for the student to start the next term. Fees left
unpaid on the last day of each term will be put in the hands of a debt collection agency, and you
will be liable for any additional costs associated with debt collection and recovery unless
organised otherwise via our accountant.
All Statutory holidays are observed, and fees calculated over the year. Where classes fall on
public holidays, no make-up classes or refunds are given.
Payment options
Autopay: Fees will be automatically processed on the due date.
Via ID Dance Portal
Cash: Due date is the first day of each term and not your dancer's first day of class.
Refund Policies and Procedures
Refund and Credit Policy
Fees That Will Not Be Refunded:
Fees paid for students who are absent from class due to illness, injury, or personal
circumstances.
A credit to another term or sibling may apply if the student is unable to complete the current
term due to injury, providing the studio is informed immediately of the condition, and a medical
certificate is provided. This will result in a refund less 15% due to admin fees.
Fees That Will Be Refunded:
● Term fees for classes cancelled by ID Dance Studios, provided no future make-up class
is offered, and the student does not receive the minimum of 8 classes per term (except
in Term 3, where pre-exam practices count towards the 8-class minimum, regardless of
participation).
● Term fees for classes missed if the timetable is changed, and the student is unable to
attend the new scheduled time.
To apply for a refund or credit:
Email details to ID Dance Studios - admin@iddancestudios.co.nz - as soon as possible.
Please do not wait until the term is over to request a refund or credit for the term that has
passed: once the term is finished, NO FURTHER REFUNDS OR CREDIT WILL BE
APPROVED.
Class Attire & Uniform Policies
All students are required to wear appropriate attire and correct footwear for class.
ID Dance Studios uniform is compulsory and must be worn during class for health and safety
reasons. The only exception is for Tiny Tots and Tiny Movers Ballet classes, where the ID
Dance uniform is not required. However, students in these classes must wear a light pink
leotard and ballet skirt, which can be purchased from any retailer.
If your child arrives to class without the correct uniform more than once, they may be asked to
sit out of class. All students should bring their own named water bottle to class.
Newsletter, Notice Board Policies and Procedures
Newsletters are sent out via email and pinned on our notice board and Facebook families
Group. It is the parents and students responsibility to read the notice board every week and to
read newsletters.
Health, Safety, Injury and Medical Conditions Policies and Procedures
ID Dance Studios is not liable for personal injury sustained or any loss or damage of personal
property, while on the premises.
ID Dance Studios will aim to provide a safe learning environment to reduce the risk of injury.
It should be recognised by all students, parents/guardians that dance by its very nature carries a
risk of injury or accident.
ID Dance Studios provides qualified and/or experienced dance teachers, who actively promote
safe dance practices. This being the case it should be realised that injuries do occur from time
to time and students must accept this element of risk.
It is the student’s parents/guardians responsibility to notify their teacher in the event of injury/
medical condition prior to class.
Prior to the commencement of the class, it is the student’s or parent/’s guardian's responsibility
to inform their teacher of an injury which is being treated or may be of concern.
A First Aid Kit is available to any student through their teacher.
Students are under supervision whilst in class time only. While we endeavour to provide a safe
environment, teachers and staff cannot be responsible for students outside their allocated class
time.
Class Attendance
Regular class attendance is vital for students to develop and keep abreast of their syllabus
work. Students must be punctual to classes to ensure they receive a complete warm-up.
Examinations, Presentations and Tests
All syllabus Ballet, Jazz, and Tap classes will be taught with the intention that students will work
towards sitting their ATOD Examinations during the year; however, exam it is not compulsory.
Students will be entered into examinations at the discretion of the teacher, students and
parents/ guardians.
Examination fees are additional to term fees.
Students will be sitting exams in August - dates TBA.
If you know you will be away during this time, please let us know in advance so we can do our
best to accommodate you.
Production and Costume Policies and Procedures
It is not compulsory for a student to be involved in the annual productions; however, it is
preferred.
Each student participating in the production is required to attend extra rehearsals, dress
rehearsals and all performances.
No parent/guardian can help backstage or in the dressing rooms without authorised approval.
Show Costumes are hired from $50.00 - $65 depending on the complexity of the costume.
Middle year Recital does not require costumes.
Recital and Show packages are compulsory for all students participating in the middle year
recital and the end of the year show. Productions will be photographed and filmed
professionally.
Photography and Videoing of Students
Photography or videoing of students in class and at productions is not permitted. This is for the
safety and wellbeing of each student and to comply with the privacy act regulations.
Images or video footage of students may be used for marketing and website purposes.
Choreography
Choreography for classes, performances and competitions remain the artistic and intellectual
property of ID Dance and/or the syllabus providers. Choreography must not be copied or used
without prior permission of the ID Dance Studios Director.
Students who leave the studio are not permitted to perform choreography that was developed
specifically for them by ID Dance Studios teachers as a solo or as part of a team/group without
prior permission.
Behavioural Expectations
All students are expected to show up on time for class each week with appropriate attire.
Any damage done to ID Dance Studios property will be the individual's financial responsibility.
You will be required to pay for any repairs necessary as a result of the incident.
All students and parents/caregivers must show respect towards the teacher at all times during
the class. If you are having ANY issues with your teacher, please email the admin team so we
can best support you.
Privacy Act
The enrollment form collects personal information about you. Under the Privacy Act 1993, you
are entitled to have access to, and request correction of, this information.
Dismissal
ID Dance Studios also maintains the right to dismiss any student who breaches any of the
stated Terms and Conditions, damages property or causes disruption to any classes of a severe
nature. The decision is at the discretion of the Studio Director.
