* Payment and fee information.
* Examination, performance, and achievement information.
* Photographs and videos taken during classes, rehearsals, performances, workshops, camps, and events where appropriate permissions have been provided.
* Communication records between Bellvue Academy and families.
4. Why do we collect and use your information?
The information we collect is necessary to:
* Provide our services safely, taking into consideration any medical conditions, allergies, or additional needs while teaching the student.
* Contact parents or guardians promptly in an emergency or where immediate communication is required.
* Manage student enrolment, class placement, attendance, and participation.
* Communicate important information throughout the year, including fee statements, class notifications, examination information, performance details, and Academy updates.
* Arrange examinations, performances, workshops, camps, and other events.
* Maintain accurate administrative and financial records.
* Send information about special offers, events, workshops, camps, and activities organised by Bellvue Academy of Performing Arts.
5. Our lawful basis for processing your data
Bellvue Academy processes personal data under the following lawful bases:

All databases containing personal information are password protected and accessible only to authorised Bellvue Academy staff.
Access is granted only where required for the individual's role and appropriate permission has been authorised by Bellvue Academy’s Data Protection Lead.
We regularly review our procedures to ensure personal information remains secure and protected against unauthorised access, loss, misuse, or disclosure.
7. How long we keep your information
Your personal data will be securely retained for as long as the student remains enrolled at Bellvue Academy or attends our camps.
After your relationship with Bellvue Academy ends, we will retain information only where necessary for legal, financial, safeguarding, or legitimate business purposes.
You may request deletion of your personal data where there is no lawful reason for us to continue holding it.
Requests to remove your information can be made through the Parent Portal by selecting:
**Account Info > Right to be Forgotten > FORGET ME**
Please note that this process can only be completed once any outstanding financial obligations have been resolved and where there is no legal requirement for us to continue retaining certain information.
8. Sharing your information
Your personal information will only be shared where necessary and appropriate.
This may include:
* Examination boards.
* Authorised teaching staff.
* Professional service providers who support the operation of Bellvue Academy.
* Authorities or organisations where we are legally required to provide information.
Only the minimum information required will be shared.
Bellvue Academy ensures that any third parties who process information on our behalf handle personal data securely and appropriately.
9. Photographs and Videos
From time to time, Bellvue Academy may take photographs or videos of students participating in classes, rehearsals, performances, workshops, camps, and events.
With appropriate permission, images and videos may be used for:
* Promoting Bellvue Academy of Performing Arts.

Where a parent or guardian has opted out, Bellvue Academy will take reasonable steps to ensure photographs or videos of that student are not used for promotional purposes.
10. Safeguarding and Child Protection
The safety and wellbeing of our students is extremely important to Bellvue Academy.
Information relating to medical needs, emergency contacts, additional support requirements, and safeguarding matters is collected and stored securely to help us provide a safe learning environment.
This information will only be accessed by authorised staff who require it to support the student's safety and wellbeing.
Where there is a safeguarding concern or legal requirement to do so, Bellvue Academy may share relevant information with appropriate authorities or safeguarding professionals.

Parents and guardians can review their personal details at any time through the Family Portal.
Please ensure that your information remains accurate and up to date, particularly:
* Emergency contact details ( This should be different to the main number already provided)
* Medical information.
* Addresses and contact numbers.
You may request corrections to any information that is inaccurate or incomplete.
12. Your rights under GDPR
Under GDPR, you have the right to:
* Request access to the personal data we hold about you and your child.
* Request correction of inaccurate or incomplete information.
* Request deletion of your personal data where there is no lawful reason for us to continue holding it.
* Request restriction of how we process your information in certain circumstances.
