More information is included in the parent/student handbooks that are linked in the registration email, as well as in the studio cloud. The handbook has a table of contents with DETAILED information regarding each policy AND any and all info you may need throughout the year.
#1 WITHDRAWAL POLICY/SEMESTER COMMITMENT
WITHDRAWALS:
>>Rec Teams & Technique Classes: Tuition is paid in MONTHLY installments due the 1st day of each month. Tuition is based on a monthly rate. You will also be required to pay for any required class attire (shoes/class clothing) by the 2nd week of class. ANY student attending one class of the following month will be charged for the next month in full. Withdrawals can be made on the parent portal or with written notice (text or email) at least 7 days before the next month. Rec teams have a performing costume fee and varying technique classes have a costume rental that are non refundable.
>>Preschool: tuition is based on a full season/school year: September through May. This can be paid in 9 installments that are due the 1st day of each month from September 1st to May 1st. Withdrawals are NOT allowed after Oct. 15th. Students that withdraw early will be charged the early withdrawal fee of $150 and no refunds of any kind will be made.
>>Elite Company: Tuition is based on a full season/school year: September through May. This can be paid in 9 installments that are due the 1st day of each month from September 1st to May 1st. COMPETITION teams require additional financial commitment, I affirm that if I'm on the competition teams, I have read & agree to all financial/withdrawal policies in my the handbook.
#2 TUITION
>>Auto Pay: All accounts must sign up for auto pay online via the registration manager/parent portal. Payments can still be made with cash, check, or card (3% fee) at the center, as long as it's paid before the 6th. Late fees are charged on the 10th of the month. Any account not paid before the 6th of the month will be charged via auto pay
>>Tuition: Tuition is due on the 1st of the month. All accounts must sign up for auto pay online. Payments can still be made with cash, check, venmo (@randrartcenter) or card (3% fee) at the center. Paypal, facebook pay, zelle, and any other form of payment is NOT accepted. Any account not paid before the 6th of the month will be charged via auto pay. Please make checks payable to R & R Art Center. A $10 nsf will be charged on all returned autopay balances, and a $5 late fee will be charged on the 10th of the month (student will sit out of class after 1 month unpaid). Tuition must be paid in full, regardless of holidays/absences. If a student misses a class, they can do a make up day in another similar styled class. Payments must be put in the payment or drop box in a labeled envelope w/ a payment slip. (Incorrectly labeled payments may not be accurately credited). NSF checks will be charged $20. Any account with a balance remaining on May 8th will be subject to a $50 late fee. No exceptions. All accounts must be paid in full, including late fees, by May 9th to participate in Recital/Graduation. If the agreed upon payment schedule is not followed & payment plan arrangements are not made, the following will occur: 60 days past due: $25 additional late fee, 90 days past due: $50 additional late fee. Overdue accounts will be charged all fees, plus interest at the rate of 15% on the outstanding balance, over and above all other sums and turned over to a collection agency. Payment plans are available. Tuition is based on a full season/school year (yearly rate), September through May. This can be paid in 9 installments that are due the 1st day of each month from September 1st to May 1st.
#3 ADDITIONAL FEES
>>Refunds: Fees are not refundable unless student is in the trial period. Costumes, warm ups, and competition fees are non refundable.
>>Registration/supply fees: Fees are due for all students every year, new students receive a t shirt. They are non refundable & your spot will only be held if fees are paid.
>>Recitals, Competitions, Costumes & Events: are non-refundable. Past due item invoices will incur the late fee. Gear/Costuming and class costs are outlined in our price list gear canva link.
>>Replacement: Misused items that are broken/ruined will be charged a replacement fee (+ ship).
>>Class Attire/Supplies: Classes may have a specific attire &/or supply needed, please see class descriptions or price list for supply list. Students may be asked to sit out of class if not prepared
#4 STUDENTS
>>Student Belongings: Mark all belongings with the child's name. We are not responsible for any lost, stolen clothing, or damaged clothing. Please place student items in student designated area ONLY. Any items left after 60 days will be donated.
>>Toilet Trained: Students in 45+ minute classes must be toilet trained. We ask that students use bathrooms before class. (Nursery Preschool does not require toilet trained ($5 additional monthly fee).
>>Illness Policy: Please keep sick children home. Parents will be called for fever, cough, runny nose. Company members with a non-contagious illness should come to class to sit and watch so that they don't miss choreography.
>>Student Responsibility: Students should be following all sign in requirements for attendance, check offs for performances/competitions, etc. Students will need to make sure their belongings are put up in the correct place and that all items are taken home. Students should be brining water bottles and appropriate class wear to class. students should be taking care of their bodies outside of dance class by stretching, exercising, eating healthy foods, and trying their best to not get injured.
#5 DISCIPLINE/ATTENDANCE/COMMITMENT/CODE OF CONDUCT
>>Attendance/Commitment: Consistent attendance promotes learning & growth. The classroom relies on student commitment. Students may be removed from routines, performances, projects, activities etc. if instructors feel as if the student is not ready. If you are not showing the appropriate amount of commitment for your desired team, you will be moved to a technique/rec only class. Students should attend class with a positive attitude and work ethic. If a student misses classes 2 weeks before a competition or recital, the student may be blocked out of the routine and have to watch alongside the coach, a private lesson fee will also be charged for the coach's and team's time/inconvenience for reblocking. Students will receive awards for attendance and commitment.
>>Code of Conduct: All students and parents are expected to show a respectful manner towards R & R staff, other parents, and students. Our center is family oriented, so the expectation is for everyone to be treated with kindness and fairness. Smoking, tobacco, and alcohol are not allowed anywhere on the center property or at center events. Inappropriate or demeaning comments will not be tolerated. Gossiping by a student or a parent about other students, parents, faculty or other studios is not tolerated. If our code of conduct is not followed, a warning will be issued and removal from the center or from a team may result, with no refunds. Slander of the center or the instructors after withdrawal or removal will result in legal action. Please be respectful of our hard working teachers and the program they provide to the community.
>>Shared Custody: Students with shared custody families must abide by the following rules: two account emails will be set up so that both parents can access the online account and receive all email notifications. We will not engage in custodial battles, or in co parent arguments. Parents will both be responsible for communication between themselves about student fees, homework, performances, field trips etc. If your student is in preschool or on company (they receive a communication folder), and you'd like a separate folder for each parent, please write me a note and a separate folder will be left at the center for you to pick up during open hours. We will initiate contact with the first person listed on the account for any immediate concerns.
>>Discipline: Positive reinforcement is our first approach; however, student consequences will be administered in discipline cases. Students who show repeated negative behavior will receive a discipline form. Probation & termination will follow any repeated or extreme behavior. Students are rewarded for positive behavior & achievements. Additional awards may be given for outstanding areas (per our observation and discretion). We also ask that parents do not use removal from dance, teams, or class as a form of at home discipline. Our staff is available to help with any at-home disciplinary actions that do not consequence team members and staff. Thank you.
#6 PICK UP/DROP OFF/PARKING
>>Pick Up/Drop Off/Parking: Pick-up, drop-off, & park in the designated areas ONLY. Early drop-offs or late pick-ups (10+ min), will be charged a $5 fee after the 1st occurrence. We are not responsible for students after/before class. If you plan to have a different person pick your child up from class, please notify us with a written notice. Please call or text if you'll be late. Front door will remain locked until 5 minutes prior to first class. Use of our closed spaces during non-class times, or students left in the waiting room without permission for long periods of time will be charged a fee.
#7 COMMUNICATION/TEACHER CONFERENCES/HOURS
>>Account Questions: If you have an account question, please email us. Please direct all account questions to the director only, none of the other staff can take money or answer account questions. Please provide us with an email address that you check regularly as we communicate via email regarding important studio matters. If you are not receiving emails, please let us know. If you have any concerns, questions, etc. please contact me. Please make all account changes on the parent portal. We will contact the first guardian listed in all communication. Please make sure to ask questions AHEAD OF TIME for any event, production, performance. PLEASE check emails & BAND for questions, most answers can be found there. Newsletters & notices are sent via email & BAND only. IN center hours are posted on the door, office hours will be available every month for you to ask questions about accounts or events. Teachers will not answer questions before/during/after class, as we have students in attendance. Please make an appointment, or email us. We will not be answering phone calls/texts/ messages during non-business hours. Band will have all the info needed for parents.
>>Office Hours/Front Office: Office hours are posted on the front door. If a teacher is teaching, you will need to schedule an appointment for questions (please don't ask during class). If a teacher is not in the front office, they are not available for office hours. If excessive time is taken out of a coach's free time, a private lesson fee/office hour fee may be charged to your account. Our front office is regularly staffed with parent volunteers who can answer or direct you to most answers for your questions. We do our best to staff the front office with a head coach a few times a month, but our coaches are also busy teaching, being moms, and helping run back office requirements, many times as volunteers. If you would like to have a conversation with a head coach, appointment hours are available and can be scheduled for sit down face to face meetings. There will NOT always be someone at the front desk to welcome you, if you would like to schedule a tour and have specific questions, our staff is very quick to email/text/band message you back. Many times, the first week of classes and/or first week of the month is when staff is available for questions, to help show parents around, and to help settle your child into class. Missing the first week, or joining late in the year, means that we have already made that adjustment for 95% of the other students. So, if you need assistance in any way, please make sure to shoot us an email. We appreciate your understanding that in order to keep our costs low, as well as keeping our volunteers happy, our front desk is not always the quickest way to communicate with our staff. We have many helpful parents that are also available to help with questions.
>>BAND APP: This is our MAIN form of communication. This can be downloaded as an app OR you can get text or email notifications. With this app, you can: see all calendar events, get reminders, see announcements, watch instructional/choreography videos, see homework files, see newsletter files, sign up for volunteer items, vote in polls, search for items in the search bar, text/email Jackie & other parents. If you do not have the BAND app, you will miss announcements. It is very similar to a facebook feed and an email will be sent at the beginning of the year with FAQs and tutorials on how to use BAND. If you need help, please don't hesitate to ask, many of our parents are a wiz at BAND and can show you the tools you need the most in just a few short minutes. Notifications can be adjusted to your needs to reduce the amount of notifications you receive, but checking it once a week will help you stay up to date on all things communication related.
#8 CLASS OBSERVATION/PARENT WAITING AREA
>>Class Observation/Participation: Guests are not allowed to stay in the studio unless it’s prearranged, or unless it is a parent involved class. Young students who need parent assistance are given a couple of weeks to adjust before we request that they join a parent assistance class. Sometimes it can take up to a month for a student to adjust to the studio classroom environment, especially if they’re nervous. Please be encouraging when discussing the classes with your student, and trust that our teachers will use strategies to help them feel comfortable in the classroom. We have a viewing window showing classes in Studio A that will remain open as long as it’s not a distraction, We also have a camera system that is turned on periodically for Studio B & C. If you're ever concerned about your child’s classroom adjustment, please let us know, and we will do our best to assist you. If you’d like to video/take pictures of your child during class, please message the teacher on BAND and they will allow limited viewing of the class for the last 5 minutes. Please do not “coach” your child during class via the front office, or the viewing window.; please let the teachers do the teaching. We will post videos of the routines on the band app.
#9 PARENT'S RESPONSIBILITY
It is the responsibility of the parents to be aware of all center activities, such as performances, fundraisers, closings, picture days, field trips, etc. All center notices/dates are posted in BAND, on our google calendar, & in our front office bulletin boards/chalkboard. We also periodically send out emails and texts. We do not send home paper notices very often, please keep up on the announcements. It is also the parent's responsibility to make sure their child is at class, on time, in the appropriate attire.
#10 PLACEMENT/MUSIC/COSTUME/CURRICULUM
>>Teacher Discretion: Level placement, music selection, choreography, costuming, and spacing of all group routines are at the choreographer/teacher's discretion and are not up for discussion. These decisions are made from many years of teaching experience. All staff members are passionate about our programs and we take pride in every student and every class. All decisions are made in the best interest of the students.
I understand that the registration fee must be paid to hold my spot in class. I understand that tuition is due on by the 5th of the month, autopay ran on the 6th, late fees added on the 7th. I understand the withdrawal policy and acknowledge that my account will be charged all appropriate class fees (including late fees). I agree to follow the above parent policies and have my child follow the code of conduct. I will read and abide by the parent/student handbook.
I understand this form enrolls this student in a program that could involve: strenuous physical activity, exposure to art supplies, &/or snacks. I hereby affirm that the student is in good physical condition. I have listed any disability or illness. In consideration of myself, my heirs & assigns, I hereby release Jackie Frazier, her family or employees, & all independent contractors from any claims, deems, & causes of action arising from my or the above named person's participation in any R & R programs. I hereby release Jackie Frazier, her family or employees, & all independent contractors, from any liability now, or in the future for any injury however caused occurring before, during, or after participation in any R & R programs offered at any time, while in the vicinity of the premises of the above stated business, or in any activity sponsored, represented, or organized by Jackie Frazier, her family or employees, & all independent contractors for any reason. This form authorizes an R& R employee to secure emergency medical care for the student listed above if emergency contact cannot be made (guardian is responsible for emergency medical charges). This form also authorizes basic first aid/CPR care to be delivered by a certified individual. By signing, I hereby affirm that I have read & fully understand & agree with the above waiver.
