Enrolment at Industry Dance Co. confirms your full agreement with the following terms and conditions. These policies are in place to support a safe, respectful, and professional environment for all students, families, and staff, and to ensure the smooth operation of the studio.
1. Payment & Direct Debit Agreement
Direct Debit Requirement: All enrolments must be linked to an active direct debit account via Studio Pro and Stripe. This system ensures timely and efficient fee management for both families and the studio.
Fortnightly Payments: Class fees are debited every two weeks, covering the upcoming two-week period. Statements are issued every second Tuesday, with payments processed on the following Thursday. Additional charges (e.g. uniforms, events, costumes) will be added to your account and debited automatically.
Full Term Payment Option: Families may choose to pay their term fees in full. Any outstanding balance will be automatically debited on the next payment cycle.
Cancellation Policy: A minimum of two weeks’ written notice is required to withdraw from any class. Enrolments will automatically roll over from term to term unless notice is given via email or through the Parent Portal.
Late Fees & Processing Charges: Dishonour fees, late payment fees, and set-up charges are managed by Studio Pro and Stripe and form part of your enrolment agreement. IDC reserves the right to apply a $10 late fee to all failed or dishonoured transactions.
Suspension of Services: If payment obligations are not met, we reserve the right to withhold participation in classes, performances, or studio events until the account is up to date.
2. Uniform & Equipment Policy
All students must wear the appropriate Industry Dance Co. uniform and footwear for their enrolled classes. Hair must be neatly tied back.
Uniform expectations are in place for safety, professionalism, and to ensure a focused classroom environment. Students are expected to arrive dressed, prepared, and ready to participate fully.
3. Photography & Media Consent
If you agree to our media policy upon enrolment, you grant Industry Dance Co. permission to take and use photos and video footage of your child during classes, rehearsals, events, or performances.
Content may be used for:
Studio social media channels (Instagram, Facebook, TikTok)
Newsletters, website, and internal communications
Printed or digital marketing materials
Showcase or concert video productions
Local press and community promotions
We use this content to celebrate student growth, showcase our programs, and engage with our wider community. All use will reflect the values of the studio.
If you do not wish your child to appear in photos or video, this must be stated in writing via email or updated in your Parent Portal at the time of enrolment. While we will do our best to honour this request, we cannot guarantee full exclusion at public events not hosted by IDC (e.g. local festivals).
4. Health & Safety
Medical Disclosure: All relevant medical conditions and allergies must be disclosed upon enrolment and kept up to date at all times.
Emergency Protocol: In the event of an emergency, Industry Dance Co. staff are authorised to administer first aid and contact emergency services as needed. Parents will be contacted as soon as it is safe to do so.
Injury Acknowledgement: While all care is taken to ensure a safe environment, dance is a physical activity and carries a risk of injury. By enrolling, you acknowledge this risk and agree that Industry Dance Co. and its staff will not be held liable for any injury sustained while participating in classes, rehearsals, performances, or while on studio premises.
5. Behaviour & Conduct
Industry Dance Co. maintains a strict zero-tolerance policy for bullying, harassment, or discrimination by students, staff, or family members. Breaches may result in suspension or removal from the studio.
Students are expected to treat peers, teachers, and the studio environment with respect at all times.
Families must also treat all IDC staff and other community members with courtesy and respect. Inappropriate behaviour toward staff — including verbal abuse, aggressive communication, or boundary violations — will not be tolerated.
Direct contact with staff outside of studio communication channels is not permitted. Please do not contact staff via their personal phone numbers or social media accounts. All studio-related communication must go through the front desk, email, phone, or Parent Portal.
6. Studio Premises & Supervision
Students are under the supervision of staff only during their scheduled class time. Our team is unable to supervise students before or after class, and are not responsible for non-enrolled siblings or friends in the waiting area.
Parents or guardians are expected to be present at the studio at the conclusion of their child’s class. If you are delayed, you must notify the studio as soon as possible. Repeated late pick-ups may result in additional fees or a review of enrolment.
Families must maintain a respectful presence in shared spaces. Please ensure siblings and children waiting are calm and supervised. Excessive noise, running, or disruptive behaviour in the waiting room will not be tolerated.
Any damage to studio property caused by students or accompanying persons may result in the responsible family being charged for repairs or replacement.
7. Communication Policy
Our official communication channels are the Parent Portal (Studio Pro), email, phone, and SMS. Key updates may also be shared via social media.
For professionalism and clarity, all communication must go through these official channels. Staff are not to be contacted on personal phones, social media, or outside of studio hours.
If you have questions or concerns, please contact the front desk team or send an email to: goulburn@industrydanceco.com OR tahmoor@industrydanceco.com.
8. Make-Up Classes, Public Holidays & Missed Lessons
Make-up classes may be offered during the same term for missed classes due to illness or unavoidable absence, pending availability. Make-ups are not guaranteed and are subject to class capacity.
Fees are adjusted to account for public holidays or planned studio closures. If a class is cancelled by the studio, a make-up class or credit will be arranged.
No refunds or credits are offered for missed classes due to change of mind or personal scheduling conflicts.
If you withdraw from classes and your account is in credit, this amount will remain on your account as a future credit. Refunds are not issued unless required by law.
9. Performance & Event Participation
Participation in our Mid-Year Showcase and End-of-Year Concert is part of the Industry Dance Co. experience and expected for all students.
Event details — including rehearsal times, costume requirements, and ticketing — will be communicated well in advance.
We expect students to commit to both performances. If, due to unforeseen circumstances, your child cannot participate, you must notify the studio in writing as early as possible so we can plan accordingly.
Once participation is confirmed, full commitment to rehearsals and all related requirements is expected.
10. Privacy Policy
All personal information provided during enrolment is treated confidentially and used exclusively for studio administration and communication purposes. Your information will not be shared, sold, or disclosed without your consent, except where required by law.
