All Costume and competition fees (if applicable) will be added to your account after registration. It is your responsibility to ensure these fees are paid in full by November 1, 2026.

Competition Fees are non-refundable after October 1, 2026, regardless of withdrawal, injury, or other circumstances. It is your responsibility to pay any outstanding amounts owing.

I hereby waive any claims to injury or loss to person or property during participation in classes and virtual/online classes, rehearsals, performances, or any other Studio West activities, and release, discharge and save harmless promoters, directors, staff, principals, agents and instructors from any liability for injury, damage or loss to property or person whatsoever, which may be caused by an act or omission of these.

Payment Agreement

You, the parent/guardian, are solely responsible for all fees associated with registration, tuition, costumes, and competitions. A payment registration form will be sent to you upon enrollment. Failure to submit this form does not remove your responsibility for payment. Parents/guardians are responsible for ensuring that all scheduled payments are processed successfully and that their account remains in good standing. All tuition, fees, and financial obligations remain payable in full regardless of the time of year or the status of previous payments.

It is the responsibility of the parent/guardian to regularly review their account and notify the studio promptly of any payment issues, missed transactions, or accounting discrepancies. If an error is identified, the parent/guardian must contact the studio as soon as possible so that an appropriate resolution and payment arrangement can be made.

Declined Payments
- Each declined payment will incur a $10 charge.
- Declined payments will be reattempted within 10 days, and a $25 NSF fee will apply.
- If the balance remains unpaid after 10 days, a $20 late fee will be added.

If your account is not brought current by the end of the month, your child may be unable to attend class until it is resolved. Company Dancers who have an outstanding balance prior to the Preview show will not be able to dance or compete. Dancers who have an outstanding balance prior to the year-end recital will not be able to take part in the recital.

Photography & Video Waiver
By registering, you grant permission for your child to be photographed or recorded while participating in Studio West Dance classes and events. These images may be used for promotional materials, social media, and the Studio West website. You confirm that you are the legal guardian of the registered child.

Unauthorized use, distribution, or publication of studio choreography in any format is strictly prohibited without prior written consent from the studio.

Child Protection Policy
You may not photograph or film any child other than your own without direct consent. Posting images of other students online without permission is prohibited.

Communication Policy:
Parents and students are prohibited from contacting staff or teachers through their personal social media accounts, personal phones or emails. Our teachers and staff have the right to a peaceful work/life balance and should not feel the need to answer or communicate with parents or students via their personal devices. It’s important that all communication goes through studio channels.

While we strive to be readily available to each of our families, we are not available 24/7. Every staff member at SWD should be afforded the right to a work/life balance, which means we will respond to requests within an appropriate amount of time during working hours. Emails and phone calls will not be responded to outside working office hours. We appreciate your support in this.

Withdrawal Policies

Competition/Recreational Dance Season Withdrawal Policy (2026/27)
-Dance season tuition is based on a 10-month program. The final date for withdrawal is October 31st, 2026.
-Written notice of withdrawal must be submitted by October 31st, 2026.
-If received by October 31st 2026, tuition will be prorated based on classes already taken, and future charges will be cancelled.
No refunds will be issued on/after November 1, 2026, including for tuition, competitions, and costumes. Full payment of tuition will be charged to your account, and payment will be required.
- Competition fees are non-refundable after October 1st, 2026

*Withdrawals due to injury will be accommodated upon receipt of a doctor’s note, with tuition stopped the following month.

Musical Production Withdrawal Policy
Winter Musical: Last withdrawal date is September 15, 2026
Spring Musical.: Last withdrawal date is January 15, 2027
- If you withdraw before these dates, you will be refunded 75% of your fee. After these dates, no refunds will be issued.

Camp Withdrawal Policy
Camp fees are based on a five-day program. The deadline for camp withdrawal is 14 business days prior to the start date. A written withdrawal request must be submitted. After this date, fees and deposits will not be returned. Withdrawals due to injury will be refunded with a doctor’s note.
