General Rules, Terms, & Conditions
FLW Lab LLC hereafter referred to as FLW Lab.
Tuition, Charges, & Payments
We must have a credit card, debit card, or ACH (eCheck) on file for all active accounts.
Tuition is due on the 1st of each month. Auto payments will be processed at this time.
Any accounts with a balance due after the 7th of the month will be charged a $25 late fee, and the student(s) associated with the account may be withheld from participating in activities at FLW Lab.
ACH (eCheck) payments returned unpaid for any reason will incur a $35 return fee and a $25 late fee.
Tuition is paid on a monthly basis. Published holidays and facility closings dates are included, with no adjustments taken for tuition unless communicated otherwise.
All families are required to pay an annual registration fee due on your anniversary month (e.g. you join July 12th and pay registration fee. You would then pay the registration fee a year later on July 1st).
Missed classes will not result in make-up classes, prorated tuition, or refunds.
If a skateboarding class is cancelled due to weather and a makeup class is not available, a credit will be issued to the affected families’ accounts. The credit will be the prorated amount of the class to be used towards future fees.
Any over payments will be applied to the account balance and be considered non-refundable.
The only exception will be for non-tuition fees of athletes whose age and/or skill level does not allow us to place them in a class or on a team. Tuition is non-refundable.

Drop Procedure
PARENTS MUST NOTIFY FLW Lab TO DROP A STUDENT FROM CLASS A MINIMUM OF 14 DAYS PRIOR TO THE START OF THE NEXT MONTH. Only a written notice via email or hand delivered to our front desk or by using the drop feature in the parent portal will be acceptable.
Please note: You are responsible for payment for your student's classes WHETHER OR NOT YOUR STUDENT ATTENDS CLASS until the time the front desk receives proper notification as stated above. Please do not rely on your student to verbally let us know that he/she will no longer be attending classes. If a student stops coming to class without notification then that student's account will be charged for the additional month until proper notification is made.
Communication
Email is the primary method of contact of FLW Lab.

Paper copies will only be available when requested.
It is your responsibility to stay informed. This is critical to each student's success and their class/team as a whole.
Arrival & Pickup
Be sure your student arrives 5-10 minutes before (no earlier please) his/her scheduled class time.
Please pick up your student on time, especially if they are in the last class of the day. Excessively late pickups after the last class of the day may be charged for that time based on the current private lesson rates.
Please inform us if you know you will be late picking up your student.
Instruct your student to wait inside the building and you should escort them from the building to your car.
During peak times the parking lot is crowded. Many of our students include young children. Please drive slowly and carefully. Do not take a chance on your student running to and from your car.
Dress Code & Individuality
Everyone deserves to feel comfortable and confident in their own skin. At FLW Lab, we celebrate individuality and strive to create an environment that is inclusive of all body types, ethnicities, cultures, and beliefs. We believe clothing should never be an unnecessary barrier to participation, learning, or confidence.
We encourage everyone to dress in ways that feel authentic and comfortable while respecting that others may make different choices. Individuality is welcome; judgment is not.
Clothing should allow participants to move safely, participate fully, and receive effective coaching without creating unnecessary safety concerns or interfering with instruction.
Our goal is simple: less focus on how you look, more focus on moving, learning, growing, and finding your flow.

Code of Conduct
A member must at all times be a strong representative of FLW Lab and a positive reflection of his/her classmates/teammates. Abusive behavior, lying, and or any other form of negative behavior are grounds for removal from the program. We will not tolerate negative comments about others.
I will not be involved in any matter of disrespect towards any members of the FLW Lab staff, parents or students.
I understand that all students are required to wear the appropriate practice wear to every practice. If a student is not wearing the appropriate practice wear, they may not be permitted to practice.
I will not participate in negative gossip or communications that adversely affect FLW Lab. This includes but is not limited to in person communication and things posted on social media, messaging apps, or other websites.
I will not post any FLW Lab music, choreography, routines, stunts, etc. on social media or any website with the exception of pictures and video taken at public events without consent of the owners.
All FLW Lab staff, students, and parents are expected to display positive sportsmanship at all times. We take this very seriously.
I understand all students at FLW Lab are expected to arrive at practices and events on time with a positive attitude and give their best effort in every endeavor.
Students and parents/visitors will not use inappropriate language including at events.
I understand that the parent viewing area should be a positive atmosphere, and I may be prohibited from using the parent viewing area if I cannot maintain a positive attitude while there and follow the posted rules.
I understand that my monthly billing statement is emailed to me as a courtesy. Whether I receive it or not, I am still obligated to make my payments on time. If my billing email address changes, it is my responsibility to notify the FLW Lab front desk.
Student Policies
Please do not wear your dance/cheer shoes outside of the facility even if it's just from the vehicle to inside our facility. This will keep them clean and in good condition for practice/performances and help keep our facility cleaner.
Attendance is crucial for progress. We all live in a busy world and it is easy to be distracted, but if you want to become successful you will need discipline.
If you are injured or have a sickness that is not contagious, try to come to class to watch.
No food or candy during class. Gum is not allowed in the FLW Lab facility at any time by anyone!
Students will place their personal belongings including cell phones in the designated area. Turn cell phones to silent or off. Students are NOT to use cell phones during class unless given permission. Parents who must reach their child during class please call our main phone number.
Parent & Visitor Policies
Visitors must be QUIET while classes are in progress. Please do not talk on cell phones inside the facility. Turn ringers to silent.
No one other than the students and staff are allowed in the practice rooms during class unless allowed by a Director or if it is a parent & me class.
Anyone under the age of 18 that is not a student at FLW Lab, should never be left at our facility without the supervision of the adult responsible for them.
Do not make comments to your children while they are in class. No sideline coaching!
Please do not allow your children to miss class for an unacceptable reason such as hair appointments, shopping, laziness, etc. Continued absences slow the progress of the entire class.
If you need to discuss something with the coach, leave a note at the front desk or call/message during off hours to arrange a meeting. Do not try to hold a meeting during class hours.
If there is a conflict, please do not yell at our staff. Remain calm and try to work it out. Misunderstandings do happen, but can be resolved in a peaceful manner. Please direct all concerns to Adam or Kitty.
Discipline Procedures
Our disciplinary procedures have been outlined below. FLW Lab must protect the interest of all athletes and their ability to be in a fun and safe environment. We strive to not only train great athletes, but great people for life!
Athletes will be verbally warned and asked to correct the behavior in a nice and respectful manner.
If the athlete repeats the behavior, the coach will inform our management who will inform the parent about the behavior and the athlete may be asked to sit out or even go home for the remainder of the day.
If the behavior continues, a formal meeting between parent and our management will be scheduled to discuss strategies for correcting the behavior of the athlete. Our hearts become invested and we really do want to help and find out “why” this is going on.
If nothing else works, we reserve the right to suspend or expel the athlete from our program without a refund.
Dance Showcase & Costumes
Most dance classes will participate in our annual showcase.
Our spring showcase is held annually in May, sometimes early June.
Showcase Participation Fees and Costume Fees are non-refundable.
Showcase Participation Fees are separate charges from Costume Fees. Participation Fee payment does not suffice as a costume deposit.
Showcase Participation fees are due October 1st.
Costume payments are due January 1st.
Additional practice times may be required at no additional cost.
Timely payment is very important to ensure costumes are ordered and received as needed. Late or missed payments could prevent participants from being able to perform at Showcase(s).
You will be required to make payment in full for any fees which the due date has already passed upon late registration for that particular session/season.
Awards will be given at the annual Spring Showcase. Students who are hardworking, positive members of FLW Lab will be taken into consideration.

Valuables
It is not possible to monitor valuables brought into the FLW Lab facility. Please leave valuables at home. FLW Lab will not be responsible for any lost or stolen items.This may include, but is not limited to jewelry, cell phones, and other electronics.
Practices
All classes practice once per week unless specified otherwise.
Summer
FLW Lab continues almost all classes through summer (June-July). In addition, intensives, clinics, camps, and more may be offered. This allows our students to continue progressing and participate in additional events. We encourage all students to continue through these months.
Events
FLW Lab participates in many performances and events each year. Events may be found on our website and will be communicated in a timely manner. Not all athletes and classes will perform, but are encouraged to attend all performances, events, parades, etc. even if they are there just to support other FLW Lab athletes. Students are expected to be on their best behavior at performances and events. The director(s) have the right to pull an athlete from any performance at any time.
Private Lessons
Students are recommended to have private lessons to improve their skills if/when possible.
Privates are available for everything we teach.
Pricing can be found on our website.
All private lessons are to be scheduled through the front desk.
All private lessons are to be paid directly to the coach at the time of scheduling unless not possible.
A 24 hour notice is required to cancel a private lesson in order to retain the payment of the private lesson.
Unless specified otherwise, private lessons are non-refundable.
FLW Lab reserves the right to unapprove or change the coach for a private lesson if it is in the best interest of the student or if a substitute is needed. In this instance, FLW Lab will notify you prior to the lesson and a refund may be given if desired.
No private lessons will be allowed if the student's account has a negative balance.
Competition & Special Teams
Athletes that desire to be on a competition and/or special team must tryout/be evaluated. The director/coach(s) will make all decisions regarding team placements. Additional time and financial commitments are required which can be found in the information packet for the respective program.
Special Routines
Solos, duets/duos, trios may be requested at an additional cost. Only students who demonstrate hard work, dedication to their class/team, and excel in their class(s) will be allowed to perform a special routine. The group and team dances must always come first. It is at the coach's and/or directors discretion to allow or not allow a routine to be performed at any event. Fundraisers
Many fundraisers are organized throughout the year. Most are for everyone, however some are only for competition/special teams.
Sportsmanship
All FLW Lab staff, coaches, athletes, and parents are expected to display positive sportsmanship at all times. We take this very seriously. We believe in supporting not only our fellow team mates, but athletes we compete with and/or watch. Nobody accomplishes anything positive by tearing someone else down.
Demeanor & Work Ethic
Every athlete is expected to respect their coaches, teammates, and parents. Athletes should be on time, ready to work, and be focused so that each practice can be productive. Every athlete is expected to give 150% at EVERY practice and event. We are very proud of how hard our athletes train and expect every athlete to learn to love the work.
Conditioning
All athletes should be involved in some type of strength training and mobility activities outside of FLW Lab. It is not possible for an athlete to be in peak physical condition if their practice is the only physical activity in which they partake. Injuries are always a concern in our industry, and the best way to avoid them is through proper technique, mobility, strength. We take great pride in incorporating a very structured warmup, mobility, and strength training regiment in every class. Hard work pays off and great things don't come easy.
Nutrition
Caffeine, sugar, and heavy or greasy foods prior to practice, events, and/or a competition can, and often will inhibit an athlete from performing at their best. Please provide your athlete with the proper fuel to power them each day. We provide water at all practices, but athletes must bring their own container with a lid to drink from. Candy, energy drinks, high sugar drinks (like Icees), etc. will be discarded if brought into the FLW Lab facility.
Warm Ups & Other FLW Lab Gear
Athletes should wear their competition costume/uniform and only cover it up with FLW Lab gear including: warm up pants, warm up jacket, practice wear tops or bottoms, current season shirt, or other approved FLW Lab t-shirts/tops. If you do not have any of these items, the athlete may only wear solid black leggings/pants/jackets when necessary.
DO NOT eat or drink while in costumes and/or competition uniform (other than water) without covering it with an appropriate top as listed above. This is to help protect your athlete's costume/uniform.
All FLW Lab fans (family friends, etc.) are encouraged to purchase and wear FLW Lab shirts to show support for your athlete, their team, and our organization as a whole. Please do not wear generic cheer/dance mom shirts, including making your own.
Social Media Policy
Attending classes and/or competing for FLW Lab is a privilege. Athletes at FLW Lab are held in the highest regard and are seen as role models in our community. As leaders you have the responsibility to portray our facility, your team, and yourselves in a positive manner at all times. Sometimes this means doing things that are an inconvenience to you, but benefit the whole organization/class/team.
Social media is used by the majority of athletes here at FLW Lab in one form or another. Athletes should be aware that third parties - - including the media, school faculty, future college recruiting coaches, and future employers - - could easily access your profiles and view personal information. This includes pictures, videos, comments and posters. Inappropriate material found by third parties affects the perception of the athlete and FLW Lab. This can also be detrimental to an athlete’s future college options, or in other industries.
Consider how the above behaviors can be reflected in all social media. If you are ever in doubt of the appropriateness of your online public material, consider whether it upholds and positively reflects your own values and ethics as well as FLW Lab.
For your own safety, you should not post your email, home address, local address, telephone number(s), or other personal information as it could lead to unwanted attention, stalking, identity theft, etc.
If a student-athlete’s profile and its contents are found to be inappropriate in accordance with the above behaviors, he/she will be subject to the following penalties:
Written warning
A meeting with Owners/Operators/Director(s).
Possible removal from some or all FLW Lab programs.
Material Agreement
As a member of FLW Lab, any material (cheers, chants, pyramids, steps, stunts, transitions, dances, music, routines, etc.) may not be used or taught for any purpose, to anyone outside the FLW Lab. All material is owned by FLW Lab and may not be reproduced or taught in any manner without prior written consent from FLW Lab. Anyone violating this agreement may be immediately removed from the program.
Property Rights Agreement
FLW Lab is very proud of the routines, but please ensure all routines/choreography including music, cheers, dances, stunts, transitions, and tumbling are highly protected and shall not be shown with others. FLW Lab choreography should never be copied or taught to anyone without consent from FLW Lab ownership. This also includes any and all portions of music selections and editing. NO VIDEOS of routines, choreography or tryout material should not be uploaded to social media or other websites.
Performances recorded at a public event, such as local performances, competitions, etc. may be posted unless we communicate otherwise. Please share any video clips we might post. Pictures can always be posted. Please tag us @joinFLWlab and use #WeAreFLWlab
NO video will be allowed during open practice.
Outside Merchandise Sales
No spirit wear of any kind may be designed, purchased or distributed without prior written consent from FLW Lab. All team tees and spirit items will only be purchased through FLW Lab. This includes generic clothing such as “Dance Mom” shirts, etc.). We hope that you are proud of the facility you and your athlete are a member of and want to represent us in our gear. This does not include snacks, cakes, cookies or consumable goodie bag items. In addition, no solicitation of any items while at FLW Lab facilities will be allowed except in rare cases with written consent by FLW Lab.
