1. Scope and Our Commitment
Cre8 Dance Academy ("Cre8," "we," "us," or "our") is committed to protecting the personal information entrusted to us by students, parents and guardians, adult participants, prospective families, website visitors, employees, contractors, volunteers and others who interact with us.
This Privacy Policy explains how we collect, use, disclose, retain and protect personal information when you register for or participate in our classes, camps, workshops, private lessons, examinations, competitions, performances or events; use our Wix website or Studio Pro registration account; make a payment; communicate with us; receive studio communications; purchase products; or otherwise interact with Cre8.
"Personal information" means information about an identifiable individual. It does not include information that has been anonymized or aggregated so that an individual can no longer reasonably be identified. We collect only information reasonably necessary for the purposes described in this Policy and handle it in accordance with applicable Canadian privacy laws.
Providing personal information acknowledges that you have had an opportunity to review this Policy. Where consent is required, we seek it in a form appropriate to the sensitivity of the information and the circumstances. Nothing in this Policy limits any rights available under applicable law.
2. Personal Information We Collect
The information we collect depends on your relationship with Cre8 and may include:
Identity, contact and account information: student and adult participant names, date of birth, age, voluntarily provided gender or pronouns, parent or guardian details, addresses, email addresses, telephone numbers, emergency contacts, authorized pickup information, family relationships, account usernames, account preferences and credentials managed by Studio Pro.
Program and participation information: enrolment, schedules, attendance, dance experience, skill level, auditions and placement assessments, instructor observations, progress and achievements, examinations, competitions, performances, routines or music information, and costume, shoe or uniform sizing.
Health, accessibility and safety information: allergies, medical conditions, injuries, physical limitations, relevant medications, accessibility needs, emergency instructions and other information reasonably required for safe participation. Please provide only what is relevant. We treat this information as sensitive and restrict access to those who need it for safety or accommodation purposes.
Billing and transaction information: billing contact details, tuition and account balances, transaction amounts and dates, payment status, invoices, receipts, credits and refunds. Online payments are processed by Stripe through Studio Pro. Cre8 does not store complete payment card numbers, CVV codes or payment authentication credentials on its own systems.
Communications and service records: emails, contact forms, registration-platform messages, telephone or text communications where used, social media messages, inquiries, feedback, complaints, survey responses and other correspondence.
Photographs and recordings: photographs, video, audio or other media created during classes, rehearsals, recitals, competitions, workshops and studio or community events, subject to the consent and use terms in Section 6.
Video surveillance information: images of individuals and activities captured by security cameras in or around Cre8's premises, together with associated date, time and location information, as described in Section 7.
Website and technical information: IP address, browser and device type, operating system, language and general location settings, pages viewed, access dates and times, referring pages, search terms, cookies, analytics, security logs and diagnostic data collected through Wix, Studio Pro or integrated services.
We generally collect information directly from you or from a parent or guardian, through Studio Pro, our website, communications and in-person interactions. We may also receive limited information from event organizers, service providers or other parties where you have authorized it or where permitted by law. We do not intentionally collect highly sensitive information unrelated to our programs. If unnecessary information is provided, we will limit its use and retention where reasonably possible.
3. How We Use Personal Information
We may use personal information to:
create and manage student or family accounts; process registrations, enrolments, transfers, withdrawals and waitlists; place students in appropriate classes; maintain attendance and participation records; and administer schedules, costumes, examinations, competitions, performances and other events;
support instruction, assess placement and progress, record achievements and provide appropriate educational or accessibility support;
protect health and safety, inform authorized personnel of relevant concerns, contact emergency contacts, assist first responders and respond to incidents;
use proportionate video surveillance to help protect students, families, personnel, visitors and property; deter and investigate unauthorized access, theft, property damage, misconduct and safety incidents; and support insurance or legal claims;
send registration confirmations, schedules, closure notices, safety alerts, policy updates, tuition information, event details and other service-related communications;
process payments, credits and refunds; issue invoices and receipts; manage payment plans; resolve billing questions; and meet accounting, tax and record-keeping obligations;
respond to inquiries and complaints, provide customer service and maintain appropriate business records;
operate, secure and improve our programs, website, registration process and customer experience; monitor service quality; analyze enrolment or website trends; and develop new offerings, using anonymized or aggregated information where practical;
meet legal, insurance, contractual and regulatory obligations; investigate incidents or suspected misconduct; prevent fraud; enforce studio policies; and protect the rights, safety, property and operations of Cre8 and others; and
send promotional communications or use identifiable media for promotion where permitted by law and with consent where required.
We will not use personal information for a materially new purpose without providing notice and obtaining additional consent where required by law.
4. Consent and Information About Minors
Consent may be obtained electronically through Studio Pro, in writing, verbally where appropriate or by another legally recognized method. Certain information is necessary to register a student, administer a program, process payment, communicate essential information and protect health and safety. If required information is not provided, we may be unable to complete registration or continue providing some services.
Because many of our students are children or youth, a parent, legal guardian or other legally authorized adult normally registers a minor and provides the necessary information and consents. By registering a minor, the adult confirms that they have authority to do so. Where appropriate, we explain privacy choices to older youth in clear, age-appropriate language and consider their maturity and reasonable expectations.
Optional choices, including promotional media and promotional email consent, are presented separately where practical. Declining an optional use will not affect eligibility for regular classes. Consent may be withdrawn by contacting us, subject to reasonable notice and legal, contractual, safety or operational limits. Withdrawal does not affect uses or disclosures that lawfully occurred before it was received. If withdrawal prevents us from safely or effectively providing a program, we will explain the consequences where practical.
5. When We Share Personal Information
Cre8 does not sell, rent or trade personal information. We disclose only what is reasonably necessary for the purpose and may share information with:
Authorized Cre8 personnel: administrators, instructors, teaching assistants, employees, contractors or volunteers who need the information to perform their responsibilities. For example, an instructor may need an attendance list, emergency contact, allergy or accommodation information.
Service providers: organizations supporting registration and studio management (Studio Pro), payment processing (Stripe), website hosting (Wix), email, cloud storage, accounting, information technology, security, costumes, photography or videography, competitions, examinations, events and other business operations. We limit information provided to what is reasonably necessary and seek appropriate privacy and security commitments where practical.
Event and program organizations: competition, convention, examination, performance or venue organizers that require a participant's name, age, date of birth, category, level, routine or music details, studio affiliation, emergency information or other registration data.
Emergency and safety recipients: emergency contacts, first responders, hospitals, venue operators, event organizers, law enforcement or others where disclosure is reasonably necessary to protect a person's health or safety.
Legal and business recipients: courts, regulators, insurers, government authorities, professional advisers or other parties where required or authorized by law, or where reasonably necessary to investigate an incident, prevent fraud, enforce an agreement or protect legal rights. If Cre8 undergoes a sale, merger, financing, reorganization or similar transaction, information may be transferred as permitted by law, subject to appropriate confidentiality and continued protection.
Some providers may process or store information outside Ontario or Canada, including in the United States. Information in another jurisdiction may be accessible to courts, law enforcement or national-security authorities under that jurisdiction's laws. Cre8 remains accountable for personal information under its control and takes reasonable steps to select providers and arrangements that offer appropriate protection.
6. Photographs, Recordings and Communications
Promotional media
Participation in a program does not by itself grant Cre8 permission to use an identifiable student's image for promotion. Where reasonably practical, we request separate consent before using identifiable photographs or recordings on our website, social media, advertising, brochures, flyers, newsletters, studio displays, promotional videos or community publications. Declining promotional media consent will not affect regular participation.
With appropriate consent, we use student images respectfully and in a manner consistent with our studio values. Parents, guardians and adult students may withdraw future promotional media consent in writing. We will make reasonable efforts to stop new promotional use within a reasonable period, but withdrawal may not require removal of material already lawfully printed, distributed or published, archived posts where removal is impractical, competition programs, or recordings made by independent third parties.
Cre8 may also create limited recordings for legitimate educational or operational purposes, such as choreography review, instructor feedback, recital planning, competition preparation, performance review or studio archives. Access and use will be limited to the relevant purpose.
Recitals, competitions, festivals and other public events may be photographed or recorded by audience members, organizers, venues or media that Cre8 does not control. We cannot guarantee that a participant will not appear in third-party recordings, but we will communicate known recording arrangements where practical.
Operational and promotional communications
Operational messages - including registration, schedules, closures, safety notices, tuition, account, costume, examination, competition, performance and policy information - are necessary to provide our programs. Enrolled families cannot opt out of essential operational communications while continuing to participate, although we will make reasonable efforts to respect communication preferences.
Promotional electronic messages about new programs, camps, workshops, events, merchandise or offers are sent in accordance with applicable law. Where required, we obtain consent, identify Cre8 and provide a working unsubscribe method. You may unsubscribe using the link in a message or by contacting us. Unsubscribing from promotions does not stop essential operational communications.
7. Video Surveillance and Security Cameras
Cre8 uses overt video surveillance in selected areas in and around its premises, which may include building entrances and exits, reception and common areas, hallways and dance studios. Cameras are used only where Cre8 considers them reasonably necessary and proportionate for safety and security, including to deter or investigate unauthorized access, theft, property damage, misconduct, injuries and other incidents; verify relevant events; assist emergency response; enforce applicable studio policies; and support insurance claims, legal proceedings or other lawful obligations.
Security-camera footage is separate from the photographs and recordings described in Section 6. It is not collected for promotional use and is not posted publicly. Cameras will not be installed in washrooms, change areas or other locations where individuals have a heightened expectation of privacy. Camera locations and viewing ranges are limited as reasonably practical to the areas relevant to the identified safety and security purposes. The cameras record video only and do not record audio.
Cre8 provides notice of video surveillance through this Policy and appropriate signage at or before monitored areas. Parents and guardians should understand that students, including minors, may appear in security footage while entering, leaving or participating in activities at the studio.
Access to recordings is limited to authorized individuals who require access for an identified purpose. Cre8 may disclose relevant portions to law enforcement, first responders, insurers, legal advisers, security or technology providers, regulators or other parties where reasonably necessary for an incident, claim, investigation or legal requirement. Disclosures are limited to what is reasonably necessary and documented where appropriate.
Recordings are safeguarded against unauthorized access, use, copying, alteration and disclosure. Routine footage is retained only for the shortest period reasonably necessary under Cre8's retention practices and is then overwritten or securely deleted. Footage relating to an incident, complaint, investigation, insurance claim or legal matter may be isolated and retained longer while reasonably required for that purpose.
Subject to applicable legal exceptions and the privacy rights of others appearing in the footage, an individual may request access to security-camera images relating to them by contacting the Privacy Officer under Section 11. Cre8 may verify identity and may blur, redact, restrict or refuse access where reasonably necessary to protect another individual, preserve security, avoid interfering with an investigation or comply with law. Cre8 periodically reviews whether its surveillance remains necessary and whether less privacy-intrusive measures could reasonably meet the same purposes.
8. Website, Cookies and Third-Party Services
Our principal online providers are:
Wix, which hosts our public website and may collect technical, cookie, security and website-usage information;
Studio Pro, which provides registration, scheduling, account management, communications, invoicing and payment-access functions; and
Stripe, which securely processes online payment transactions integrated through Studio Pro.
Our website and online services may use cookies, pixels, local storage and similar technologies. These may be:
essential, for security, authentication, sessions, fraud prevention and basic functions;
functional, to remember language, accessibility, display or other preferences;
analytics or performance-related, to understand traffic, navigation and service performance; or
third-party, placed by integrated registration, payment, video, map, social media or analytics services.
Most browsers allow you to view, delete or restrict cookies. Blocking some cookies may reduce website or registration functionality. Because there is no universally accepted standard for browser "Do Not Track" signals, our services and providers may not respond consistently to them.
Wix, Studio Pro, Stripe, social media platforms and linked external websites maintain their own privacy policies, terms and security practices. Interactions with those services, including information you post publicly on social media, may be governed by their policies. Cre8 is not responsible for the independent practices or content of third parties outside our reasonable control, and we encourage you to review their policies.
9. Safeguards and Privacy Incidents
Cre8 uses reasonable administrative, physical and technical safeguards appropriate to the sensitivity of the information. These may include need-to-know access, confidentiality expectations, staff guidance, secure storage and disposal, password-protected systems, authentication controls, reputable cloud services, software updates, and security features provided by Studio Pro, Wix and Stripe. Access to health, safety and other sensitive information is restricted as much as reasonably practical.
Account holders are responsible for protecting their Studio Pro credentials, using strong passwords, logging out of shared devices and notifying us promptly of suspected unauthorized access. Email is not always secure, so please avoid sending highly sensitive information by ordinary email unless necessary or contact us first to discuss an appropriate method.
No security system can eliminate all risk. If a privacy incident occurs, we will take reasonable steps to contain and investigate it, assess affected information and risks, cooperate with relevant service providers, reduce harm, document the incident and improve safeguards. Where required by law, we will keep breach records and notify affected individuals, the Office of the Privacy Commissioner of Canada or other authorities, including when a breach creates a real risk of significant harm.
10. Retention and Secure Disposal
We retain personal information only as long as reasonably necessary for the purposes described in this Policy or as required or permitted by law. The period varies based on the type of record, the student's or family's relationship with Cre8, safety, insurance, accounting and tax obligations, dispute-resolution needs and other legitimate operational or legal requirements.
Student and participation records may be kept for a reasonable period after withdrawal or completion to confirm enrolment, respond to inquiries, support future placement, resolve disputes and meet insurance or legal obligations. Financial records are kept for applicable accounting and tax periods. Lawfully created media may remain in studio archives, subject to the consent terms in Section 6. Security-camera recordings are retained as described in Section 7.
When information is no longer required, we securely dispose of or anonymize it using methods appropriate to its format, such as shredding paper, deleting electronic records or destroying storage media, so it cannot reasonably be reconstructed or accessed.
11. Access, Correction and Privacy Choices
Subject to applicable legal exceptions, an adult may request access to personal information about themselves, and a parent or legal guardian may request access to information about a minor for whom they are authorized to act. Requests must be made in writing and include enough detail to identify the records. We may verify identity and authority before responding.
We will respond within the period required by applicable law. Access may be limited where disclosure would reveal another person's information, compromise safety or security, affect an investigation or legal proceeding, disclose protected information, or where another legal restriction applies. If access is refused, we will explain why to the extent permitted by law.
You may ask us to correct information that is inaccurate or incomplete. Routine contact, emergency and account details may also be updated directly through Studio Pro where available. Families and adult students should promptly update contact information, authorized pickup or custody details, health and safety information, emergency contacts and billing details. Accurate information is especially important for safe participation and emergency response.
To access or correct information, withdraw consent, change optional communication or media choices, ask how information has been used or shared, or raise a concern, contact the Privacy Officer using the details below.
12. Changes, Questions and Complaints
We may update this Policy to reflect changes in our programs, technology, providers, practices or legal obligations. The revised Policy will be posted on our website and may also be provided through Studio Pro or another appropriate method. The "Last Updated" date will show when changes took effect. If a change materially affects how we collect, use or disclose personal information, we will provide additional notice and obtain consent where required.

We will review privacy concerns and respond within a reasonable time. If you believe a concern has not been resolved, you may contact the Office of the Privacy Commissioner of Canada or another privacy authority with jurisdiction.
