Studio Policies
At Apex Dance Complex, we strive to create a positive, professional, and encouraging environment.
Dancers are expected to:
- Arrive on time and in dress code
- Show respect to instructors, peers, and staff
- Keep personal belongings neatly stored during class

Communication will be sent via email and Dance Studio Pro. Please check frequently for updates.
We reserve the right to adjust class schedules or instructors as needed.

Holiday Schedule
Apex Dance Complex follows the Garland Independent School District (GISD) calendar for major
holidays and school breaks, including Thanksgiving, Winter Break, and Spring Break. If GISD is
closed for a holiday, the studio will also be closed unless otherwise noted in advance. A full list of
closures will be published at the start of each season.

Dress Code & Studio Etiquette Policy
All dancers must follow the posted dress code for each class. Hair must be secured away from the
face. No gum, jewelry, or cell phone use is allowed in the studio. Repeated dress code violations
may result in removal from class that day.

Class Observation Policy
Classes are closed to observers unless otherwise announced. Parent Watch Weeks will be held
during designated times each season. We appreciate your understanding in maintaining a focused
learning environment.

Lost & Found Disclaimer
Apex Dance Complex is not responsible for lost or stolen personal items. Please label all dance
shoes, bags, and water bottles clearly with your childs name.

Registration & Payments

Payment Agreement
- Tuition is due on the 1st of each month.
- A $15 late fee applies after the 5th.
- Tuition is non-refundable and not prorated for absences or holidays.
- All accounts must keep a valid payment method on file.
- Costume and competition fees will be billed separately and due by their deadlines.

Registration Fee Policy
Registration fees are non-refundable and due upon enrollment. Space is not reserved until payment
is received.

Returned Payment / NSF Fee
A $25 fee will be charged for all returned checks or declined automatic payments. Accounts must be
brought current before the dancer may return to class.

Credit Policy
Any credit issued to a dancers account (e.g., for overpayment, canceled classes, or approved
refunds) must be used within 12 months from the date of issue. Account credit is non-transferable
and cannot be exchanged for cash. Credit may be applied to tuition, costume fees, or other studio
charges. It is the responsibility of the parent/guardian to monitor and use credit before expiration.

Credit Withdrawal Policy
Credits placed on a dancer's account cannot be withdrawn, transferred, or refunded at any point. By
enrolling at Apex Dance Complex, you acknowledge and accept that any credit issued may only be
applied toward active studio charges, such as tuition, costume fees, or other program-related
expenses. Requests for credit refunds or withdrawals will not be granted under any circumstances.

Account Credit Policy
A 30-day written notice is required for all withdrawals. Tuition will be charged during the 30-day
period, regardless of attendance. All balances must be paid before withdrawal is processed.
Registration, costume, and competition fees are non-refundable. If a credit remains on the account
after withdrawal, it will not be refunded or converted to cash. Credit does not roll over or remain
saved in the systemany unused balance will be forfeited at the time of withdrawal.

Attendance & Scheduling

Class Cancellation & Inclement Weather Policy
Apex Dance Complex reserves the right to cancel or reschedule classes due to inclement weather,
emergencies, or low enrollment. Missed classes are not guaranteed to be rescheduled or refunded.

Make-Up Class Policy
Dancers may attend a make-up class within 30 days of a missed class if space is available and with
prior approval. Make-ups are not offered for company rehearsals or specialty classes.

Withdrawal Policy

Trial Class Policy
One free trial class is allowed per dancer per season. Pre-registration is required for trial classes.
Trial class availability is subject to class capacity and instructor approval.

Programs & Participation

Competition Team Agreement
I understand that competition team dancers are expected to:
- Attend all required rehearsals and events
- Maintain consistent attendance
- Meet all financial deadlines

Failure to meet expectations may result in removal from routines or the team.

Recital Commitment & Fees
Recital participation is optional but must be confirmed by the published deadline. Recital fees and
costume fees are non-refundable once submitted, regardless of participation. All balances must be
paid in full to participate in the year-end recital.

Private Lesson Policy
Private lessons must be scheduled in advance and paid prior to the session. Cancellations must be
made at least 24 hours in advance to reschedule. Missed lessons without notice will not be refunded
or rescheduled.

Non-Compete Clause for Company Dancers
Company dancers may not compete with or rehearse for another studio or competitive team without

written permission from Apex Dance Complex. Doing so may result in dismissal from the company
program.

Behavior & Conduct

Parent Code of Conduct
We are a supportive community. As a parent, I agree to:
- Refrain from gossip, negative behavior, or public criticism
- Communicate directly and respectfully with staff
- Support all dancers and uphold studio values

Violation may result in restricted access to events or dismissal from the program.

Dancer Code of Ethics
Dancers are expected to show respect to instructors and peers, maintain a positive attitude, and
represent Apex Dance Complex with integrity at all times. Bullying, gossip, or disrespectful behavior
will not be tolerated and may result in removal from class or team activities.

Disciplinary Action Policy
Dancers are expected to follow studio rules and uphold our code of ethics. Behavior or attendance
violations may result in the following actions: 1) verbal warning, 2) parent conference, 3) removal
from class or routine, and 4) dismissal from the program. Actions taken will be based on severity

and frequency at the discretion of the director.

Legal & Safety

Liability Waiver
I acknowledge that dance is a physical activity and comes with the risk of injury. By enrolling, I
release Apex Dance Complex, its staff, and affiliates from any liability due to injury during classes,
rehearsals, performances, or events held on or off the premises. I confirm that my child is physically
able to participate in dance activities.

Emergency Contact & Medical Authorization
In the event of a medical emergency, I authorize Apex Dance Complex staff to seek emergency
medical treatment for my child if I cannot be reached. I agree to hold Apex Dance Complex, its staff,
and affiliates harmless for any decisions made in good faith during an emergency situation. It is the
responsibility of the parent/guardian to provide updated medical and emergency contact information
as needed.

Photo/Video Release
I grant permission for Apex Dance Complex to use photos or videos of my child in studio marketing,
including social media, programs, and promotional materials. No names will be published without
additional consent.

Opt-Out Option: If you prefer your dancer not be included in photos/videos, please notify us in
writing.

Social Media Tagging Consent
I give Apex Dance Complex permission to tag my childs name and/or public social media handle in
photos, videos, or promotional content. This is optional, and you may opt out by notifying us in
writing or through the parent portal.

Force Majeure & Refund Exceptions
Apex Dance Complex is not responsible for refunds or credits in the event of cancellations due to
circumstances beyond our control, including but not limited to weather, natural disasters, health
crises, or government-mandated closures. We will make every effort to provide virtual class options
or reschedule sessions whenever possible.
