TM Dance Complex Autopay Policy
To ensure smooth and timely tuition payments, TM Dance Complex requires all families to be enrolled in our Autopay system. Please review the following terms:
1. Enrollment in Autopay
• All families must keep an active debit or credit card on file.
• Tuition will be posted to accounts by the 25th of each month.
• Payments will be processed automatically on the 28th of each month (or the prior business day if the 28th falls on a weekend/holiday).
2. Convenience Fees
• A 3% convenience fee will automatically be applied to all credit and debit card transactions processed through Autopay. And a 1% convenience fee will be automatically applied to ACH transactions.
• To avoid this fee, families may pay tuition in advance by Zelle no later than the 25th of the month. If tuition is not received by then, Autopay will run on the 28th and the convenience fee will apply.
3. Declined or Failed Payments
• If a card is declined, a $25 failed payment fee will be added to the account.
• Families will be notified immediately and must update their payment method within 48 hours. If payment is not resolved, the student may be withheld from class until the account is current.
4. Additional Fees
• Any late tuition not paid in full by the 1st of the following month will result in late fees every week that it’s late.
5. Changes & Updates
• Families are responsible for keeping card information current (expiration date, billing address, etc.).
• TM Dance Complex reserves the right to adjust tuition rates or fees with 30 days’ written notice.
TMDC reserves the right to run your card for any overdue/outstanding balances.
1. Tuition Due Dates
Tuition is due on the 25th of each month for the following month. (example: August 25th is the due date for September tuition)
Accounts are considered late after the 1st of the month.
2. Late Fees
A $10 late fee is automatically added to any account not paid by the due date and each week thereafter.
3. Auto-Pay Requirement
All families must keep an active card on file.
Declined payments will result in a $25 failed payment fee.
4. Communication Attempts
Before an account is escalated to collections, the studio will make:
1 email reminder
1 text or phone call
1 final notice (email)
No response or payment after these attempts moves the account into the next step.
5. Suspension of Participation
If an account becomes more than 14 days past due: the dancer may be temporarily removed from class, may not participate in rehearsals, performances, competitions, team events, or private lessons until the balance is paid.
6. Collections Threshold
If an account remains unpaid after 30 days, the account will be sent to an external collections agency. A $50 administrative fee will be added to cover processing and collections transfer costs.
7. No Refunds / No Credits
Once tuition is charged, no refunds or credits are issued for missed classes, withdrawals, or dropped enrollment, whether voluntary or due to non-payment.
8. Payment Plans
Payment plans may be offered only before an account becomes delinquent. Once an account is past due, payment plans are no longer available.
9. Returned or Disputed Payments
Returned payments incur a $25 fee.
Chargebacks/disputed payments will result in an immediate account hold until resolved.
10. Responsibility
Parents/guardians are responsible for: ensuring payment information is up to date, monitoring monthly invoices, responding promptly to communication about overdue balances
All payments, including but not limited to registration fees, tuition, costumes, competition fees, choreography, private lessons, and merchandise, are non-refundable under any circumstances. This is including but not limited to, voluntary withdrawal, injury, illness, schedule conflicts, or dissatisfaction with services. There will also be no prorating tuition for any reason.
TM Dance Complex – Withdrawal Policy
We understand that circumstances may change, and a dancer may need to withdraw from classes. To ensure fairness and transparency for all families and staff, TM Dance Complex has established the following withdrawal policy:
Notice Requirement
All withdrawals must be submitted in writing (via email)
Notice must be received at least 30 days in advance of the intended withdrawal date.
Verbal notice to instructors or staff is not considered valid.
Financial Responsibility
Tuition and any associated fees are non-refundable and non-transferable, regardless of attendance.
Families who are non-competitive members are responsible for all tuition and fees due within the 30-day notice period, even if the dancer does not attend.
If a dancer is part of a team, performance group, or competition program, the family remains financially responsible for ALL fees for the FULL season, including choreography, costumes, competitions, and reblocking fees if applicable.
Mid-Season Withdrawal (Competitive Members)
Competition team members who withdraw mid-season will incur a $50 reblocking/rechoreography fee PER routine (i.e., if your dancer is in 3 routines, reblocking fees are $150). NON NEGOTIABLE.
All gear, costumes, and materials must be paid in full before release.
Dancers with outstanding balances will not be eligible to register in the future until the account is brought current.
Final Note
We strongly encourage families to reach out if facing challenges—communication is key. While we are unable to waive the policy terms, we are always here to support our dancers and their families.
Free Trial Class Policy
Free trial classes are offered as an opportunity for new students to experience our beginner-level classes before enrolling. Please review the following guidelines:
1. Eligibility
Free trial classes are available for beginner-level classes only. Intermediate and advanced classes are not eligible for free trials.
2. Intended Enrollment
Free trials are reserved for students who are genuinely interested in enrolling in the class on a weekly basis. They are not intended for casual participation or one-time attendance.
3. Drop-In Students
Drop-in students are not eligible for free trials. Anyone attending on a drop-in basis must register and pay the regular class rate.
4. Registration
All trial classes must be scheduled in advance through our online registration system. Walk-ins will not be accepted for trial classes.
5. One-Time Offer
Each student is limited to ONE free trial for eligible class types.
6. Instructor Approval
Instructors reserve the right to determine whether a student’s level is appropriate for the class before approving the trial.
• Pre-Registration Required: All drop-in students must register and pay for class online prior to arrival. This ensures we can manage class sizes, communicate updates, and maintain accurate attendance records.
• Payment Authorization: By registering online, you authorize TM Dance Complex to charge the card on file for the drop-in fee. We reserve the right to run your card for the full class fee if you attend without completing online payment in advance.
• No Holds Without Payment: A class spot is not guaranteed until payment is processed.
• Cancellations/Refunds: Drop-in fees are non-refundable and non-transferable.
All students and the parent/legal guardians are aware of possible physical injury that may occur during dance/gym classes, performances, and/or rehearsals and are willing to assume those risks. It is agreed that students, and their parents/legal guardians will not hold TM Dance Complex, its directors, officers, and/or employees liable for injuries sustained while in attendance or while participating in any TM Dance Complex class or activity. I fully understand if my child is injured it is my responsibility to cover any medical bills which may occur. I have full medical insurance coverage of my child/children.
TM Dance Complex Liability Waiver & Release Policy
Participation in dance and physical activity involves inherent risk. At TM Dance Complex, we prioritize safety, proper training, and injury prevention, but we require all participants and their legal guardians to acknowledge and accept the risks involved.
Acknowledgment of Risk
I understand that participation in dance, tumbling, conditioning, and related activities involves a risk of injury, including but not limited to sprains, fractures, pulled muscles, and other bodily harm. I acknowledge that TM Dance Complex and its staff are not liable for injuries sustained during normal class participation, rehearsals, performances, or studio events, whether on-site or at external venues.
Waiver of Liability
By signing below, I release, discharge, and hold harmless TM Dance Complex, its owners, instructors, employees, volunteers, and agents from any and all liability, claims, demands, or causes of action related to any injury, illness, or loss incurred while participating in TM Dance Complex activities, both on and off studio premises. This includes, but not limited to, inside TM Dance Complex, outside of TM Dance Complex, all competition or showcase venues inside or outside.
This includes but is not limited to:
Accidental injury during class, rehearsal, or performance
Use of studio equipment or facilities
Participation in travel or off-site performances/events
Theft or damage to personal property
Medical Emergency Authorization
In the event of an emergency, I authorize TM Dance Complex staff to seek medical treatment for the participant and to contact emergency services if necessary. I understand that I am responsible for all medical costs and insurance coverage.
Responsibility of Care
I agree to inform TM Dance Complex of any medical conditions, allergies, or injuries that may impact my child’s ability to safely participate in dance classes. It is my responsibility to keep this information updated.
