HISTORICAL INFORMATION
The Casper Children’s Chorale was founded in 1979. Membership is open by audition to children in 4th through 8th grades. The primer choir, Bel Canto, includes children in 2nd - 5th grades. We are also excited to boast our newest addition to the Chorale family, Resonate, which is open to singers who are 16+. The goal of these choirs is to provide a positive and challenging choral educational and performance experience, and to encourage singing!
Over the past 40+ years, the Chorale has presented hundreds of concerts for school and community audiences. Our Casper singing ambassadors have performed in Anaheim, Billings, Boise, Bozeman, Cheyenne, Chicago, Colorado Springs, Denver, Los Angeles, New York City, Orlando, Philadelphia, Portland, Rapid City, Salt Lake City, San Antonio, Seattle, Spokane, Washington, D.C., Vancouver BC, and in nearly every town in our state, sharing their love of music and their pride in Wyoming. The Children’s Chorale was awarded the prestigious Wyoming Governor’s Arts Award, has been selected to perform at state, regional, and national music conventions, and is the only Wyoming group ever chosen to appear for an American Choral Directors (ACDA) National Convention (Los Angeles & Dallas). In 2012, CCC was selected as the opening featured choir for the National Children’s Chorus Festival, Carnegie Hall, New York City. Chorale continually improves by working with outside adjudicators and by performing with other choirs from around the nation. Chorale received top ratings, and singular outstanding choir award, at a 2019 World Strides Music Festival in San Antonio, Texas, and enjoyed a choir exchange with the Children’s Chorus of San Antonio.

REHEARSALS
Seven instructors interact with singers during rehearsals: 20 minutes of small group sectionals, 65 minutes of large group instruction, and the imperative COOKIE break!
The calendar at the back of this handbook includes a schedule for each singer to provide cookies, or drink and cups, for rehearsal twice annually. Please bring 7 dozen cookies, or 2 gallons of drink (juice or kool-aid) with 6 dozen SMALL (7-8 oz.) cups. (One singer brings drinks, but two singers bring cookies so everyone can have TWO cookies!). Cookies can be sugar, oatmeal, chocolate chip, oreos, or rice krispie treats—but no nuts or peanut butter based cookies please. Thank you!
Rehearsals move very quickly. Each instructor has a copy of the day’s schedule, organized into 5-10 minute blocks. This may sound regimented, but good planning fosters effective teaching and learning, and singers who are actively participating and progressing usually have a great time. Excellence can be fun, and music is AWESOME!
Example of a Typical Tuesday Rehearsal:
4:30-4:40 WARM-UPS (ear-training, vocalization, movement, vowel shaping)
4:40-4:45 COOKIE BREAK (food, drink, and social time!)
4:45-5:00 LARGE GROUP REHEARSAL (approximately 2-3 songs)
5:00-5:10 SECTIONAL REHEARSALS (learning the notes)
5:10-5:25 LARGE GROUP REHEARSAL (2 more songs)
5:25-5:35 SECTIONAL REHEARSALS (learn more notes—change rooms)
5:35-6:00 LARGE GROUP REHEARSAL (2 more songs)
Singers may arrive at the church after 4:10pm and should be picked up by 6:10pm, at which time the church is locked and adult supervision ends. Singers enter and exit through the red door off the parking lot. The front door to the church will remain locked. Thursday rehearsals are at a different time: 5:00-6:30 p.m. Please don’t arrive before 4:45pm or pick up later than 6:35p.m. It is SO important that children are picked up on time! The staff departs, the church is locked, it’s dark and cold outside, and St. Mark’s is a downtown church with considerable homeless traffic and a very busy apartment building across the street. Safety is a real concern.
WHY CAN’T PARENTS ATTEND REHEARSALS?
We really aren’t hiding anything; we just want total concentration from the singers. The physical setup of our rehearsal hall prohibits satisfactory observation. However, if grandma and grandpa are visiting from out of town and can’t make a concert, just e-mail Mrs. Zavodny and she will cheerfully make special arrangements for observation!
ATTENDANCE POLICY
We have a very strict attendance policy, which is part of why we have such an excellent group! Singers should always attend rehearsals when able. Singers are responsible for approximately (check your calendar) 5 rehearsals each month. This gives you a bit of freedom in your scheduling to balance other activities and illness. Be sure to check your handbook calendar and count the rehearsals required in order to perform in each concert.
Every rehearsal counts exactly the same!! We realize that some rehearsals must be missed, but we do not perform our best unless everyone attends rehearsals and knows their part.
If singers arrive late or leave early, the rehearsal will be counted as half a rehearsal. Late arrival or early departure is anything within 10 minutes of designated rehearsal time (ex. 4:30 - 6:00 pm).
Missing even ten minutes of rehearsal time means the singer has missed warm-ups, which is when concentrated vocal instruction happens, or the end of rehearsal, when crucial choreography tends to occur. It is also a disruption to the rehearsal. Repetitive absences/tardies/early-outs can result in dismissal from Chorale. Please be in attendance.
If your singer is going to be absent, please go to one of the weekly parent emails and use the link to complete the absence form. This helps me keep all absences in ONE location and less emails to keep track of. You do NOT need to email me when your child has an absence.
If your child is absent from Chorale, you will receive an email from us. This is to make sure attendance is marked correctly and your singer has every opportunity to perform. Please watch for these and reach out if you think any absences are marked incorrectly.
We WILL help out for academic, music, and sport culminating events. YOUR job is to communicate as soon as you anticipate major conflicts.
All singers are expected to perform and travel. If you have questions concerning the number of rehearsals your child has attended, please talk to Paige Ellbogen. You can speak with her before or after rehearsals, or you reach her through our email: cccsings307@gmail.com.
You need 17.5 of 21 rehearsals to participate in the Holiday Concert. This must include the dress rehearsals. (The final rehearsal before a major concert is always mandatory for concert participants.) The Spring Concert requires 15 of 18 spring semester rehearsals, including the required dress rehearsal. Make EVERY rehearsal you can so if you have an unexpected absence you will still have enough rehearsals to perform.
If you have school concerts (especially in December), we will dismiss you early to be on time.
We are aware that Chorale attracts very outstanding students and that participation in a variety of activities is one of the reasons these students are so exceptional. Middle School athletic practices require that you plan ahead, especially if you do not get your sport practice schedule until Mondays. This is our 48th year of scheduling for the Chorale and we know that music can be scheduled along with sports, but it takes communication and planning. We count on every singer and it affects everyone when a singer has to miss a performance. Careful, long-range planning and COMMUNICATION avoids most conflicts. If you MUST miss a performance, let us know as far in advance as possible. Please don’t make us waste precious performance or rehearsal time re-arranging singing and riser order for 60+ singers due to an unexpected absence!
STUDIO PRO
We’re excited to share that we’re introducing a new software program this year! We believe it will help streamline many of our processes, making things easier for both families and staff.
As with any new system, there may be a few bumps along the way. We appreciate your patience as we all learn how to navigate this together. If you have questions, notice an error, or run into an issue, please don’t hesitate to reach out.
Each family will have access to a Parent Portal. This will be your central hub for information, payments, news, schedules, and more. Please take a few minutes to explore the portal and ensure all your information—and your singer’s information—is complete and up to date.
We’re truly excited about the potential of this program and the ways it can benefit our community. Thank you for growing and adapting with us!
All families should soon receive an email to set-up your Parent Portal. If you set up a Portal last spring or this summer, please know we are sending out all new links, which means your password will have to be reset. Thank you for understanding.
FINANCES
BUDGET: Our yearly budget includes staff salaries, rehearsal hall rental, piano tuning, sheet music (up to $3.50 per copy!), office supplies, insurance, programs, concert hall rental, postage, risers, riser trailer, etc.!
TUITION: Tuition must be current in order for your child to perform at any concert. Payments should be made one of the following ways:
Full year tuition of $400, due Sept. 9th
2. Semester tuition of $200, due Sept. 9th and January 20th
MONEY: ABSOLUTELY NO CASH! Payments should be paid through Studio Pro or
via check - in an envelope marked with your singer’s name. Again, please note that all checks are brought in an envelope with the CHILD’S name and the PURPOSE of the payment (dues, trip, etc.) written on the outside of the envelope.
Thank you for sending checks or money orders only—NO CASH! Statements will be emailed to you the last Tuesday of the month, but your current balance should be available via Studio Pro, at any time. Please write separate checks for separate functions. No combinations. NO CASH.
Thanks to generous donors and grants, we have tuition assistance available for so Chorale is available to everyone. The application will be shared out via email. Applications are due August 26th and families will be contacted by September 5th.
***For fundraisers, people may write checks to CCC, instead of to you, ONLY if you include a record of all check numbers. You are responsible for insufficient funds checks.
TRIP: Singers/Families are required to submit a $100 non-refundable down-payment for the spring trip. This payment must be a personal payment, and should not be subtracted from fundraising earnings. This is simply so every trip participant has buy-in. This is due by the date listed on the Chorale calendar. Singers/Families must also submit any/all forms required for the trip commitment.
Trip payments are due on the dates as listed on the Chorale calendar. If for some reason your singer(s) needs to withdraw from the trip, your down-payment of $100 will not be refunded. Any trip payments paid through fundraising efforts cannot be refunded. All other payments will be refunded on a sliding scale.
TRIP PAYMENT CANCELLATION SCHEDULE
25% per person of total tour costs ................. Penalty begins: October 15
50% per person of total tour costs ................. Penalty begins: January 10th
100% per person of total tour costs ............... Penalty begins: February 5th
The amount penalized is % of the total tour cost, not % of what has already been paid.
This payment schedule is necessary, as Casper Children’s Chorale has to pay deposits to concert venues, hotels, coach company and/or airline, tour guides, restaurants, etc. to secure and reserve their services for the tour. Casper Children’s Chorale cannot make deposits to secure these critical services if they do not have money collected for the tour. A delay in payment may compromise services provided, including (but not limited to) transportation costs, venue availability, and hotel location. Punctual payments will contribute to the overall success of the tour.
TRIP EXPENSES
Fundraisers are available to finance costs and are added to your child’s individual income ledger sheet.
Many children earn their entire trip or tuition costs through the Holiday Raffle.
By signing up for a Casper Children’s Chorale trip, you acknowledge the following, and you agree to timely compliance with the payment schedule as outlined in the Trip Payment Section of this Handbook and all other trip paperwork required by the Casper Children’s Chorale.
You agree that if any payments are missed for any reason, you or your traveler shall be subject to removal from the tour and forfeiture of all monies paid.
You understand that the tour pricing is based on the number of participants stated in the tour conditions, and that the prices may change up or down with increases or decreases in the number of participants.
You also understand that other events or criteria could impact the tour price, thereby increasing or decreasing your trip cost.
You agree that in the event that the trip cannot occur due to cancellation or unavailability of said services, Casper Children’s Chorale reserves the right to make substitutions of features of equal value.
UNIFORMS
We wear polo shirts, black tux pants, and often a cowboy hat. Singers will also need to purchase a t-shirt that can be worn throughout the year, as they please, for more informal performances, and on the trip.
Performance attire orders/measurements will take place on Sept. 9th and all items, with the exception of the cowboy hat should be immediately available on Sept. 9th. These charges will vary, depending on what costuming items your singer needs to purchase. If past members do not need items, this fee will be adjusted. We will measure all singers on Sept. 9th at registration. Anyone having gently used hats, pants or polos they would like to donate, please contact me so they can be ready on 9/6.

Each singer is provided with a trip shirt, cinch bag (for their cowboy hat) and a travel pouch as a part of their trip gear.
Singers are responsible for:
1. Closed-toe black dress shoes - No heels, no tennis shoes, no bling. No big buckles or bows. ALL BLACK, either tie or slip-on, with a non-marking sole.
2. Black, tall socks that cover your ankle-no white socks, black peds, or tights. (It shows on risers!)
3. NO jewelry, thick watches, wristbands, or colorful hair ties.
4. CLEAN hair OFF the face—let’s see eyebrows!
FUNDRAISERS
In general, if you decide to participate, profit goes directly to your child’s account and can be used for the trip. However, if you pay for things up front and then MAKE more $$, there is no refund.
Fundraising may NOT benefit a chaperone account.
All fundraisers must be approved by the Casper Children’s Chorale Board of Directors, including individual fundraisers. Singers/Families may not organize/hold any fundraiser without prior approval from the Board.
We offer fundraisers that are “tried and true”. If you would like to introduce a new idea, the policy on establishing new fundraisers includes the following:
The idea will be presented and approved at a regularly scheduled Board Meeting.
You assume responsibility for securing a chairman for the fundraiser.
The chairman adheres to Board rules for accountability on fundraisers.
“PUMPKIN and A SONG”
This is a fundraiser AND an excellent way to build new friendships in Chorale. It includes our first full group performance, featuring fall music that will then be “put away” until spring. Thus, we encourage EVERYONE to participate in this activity! Casper community members have learned to anticipate and support it over the past 25+ years. Profit averages $9-10 on a $15 pumpkin, but involves TIME & PARENTAL INVOLVEMENT. Parents work together to schedule and drive groups of 4-6 singers to deliver pumpkins. Experienced Chorale parents know that 10 sales or less per singer are plenty—that can add up to 40+ deliveries per car (that’s “a-plenty”!). We encourage singers to join in the fun even if they don’t sell. This is easy—we get paid for what we do best… SING! Check your calendar for detailed pumpkin dates.
HOLIDAY RAFFLE
The major money maker for our singers. This is a cash raffle where we offer up big CASH PRIZES of up to $1,000 for the 1st place winner! EVERY singer is REQUIRED to fund our prizes. After the initial tickets are sold, your singer gets $10 (that’s 100% profit) for every ticket they sell. You are not required to participate, outside of the required tickets. Our VP of Children’s Projects heads up this activity and always needs a few helpers.
Plan Ahead. There are NO REFUNDS of $ if you “over earn”—and it can happen here!
SPRING TRIP
The Children’s Chorale has toured extensively throughout Wyoming and across the nation. Our trip is the highlight of the year! The Chorale has some very young singers, but we have experience from many (40+) years traveling with children. Our trips are well planned and well chaperoned (one adult in each room of three singers). Ask an “old” Chorale parent if you have apprehensions about your child joining us or come along yourself! Trips are the best part of the year--group building, artistically rewarding, educational, and just great fun for singers and chaperones alike!
This season we are going on what we call a “big trip” year, because we get to FLY! We will be traveling to Nashville, TN April 16-19th, 2026. We work hard to keep the trip affordable, as well as offering fundraising options. We will have a trip estimate for you at the first parent meeting. Please plan to attend our trip meeting at 6:00 pm on Oct, 7th. The meeting will include information on the costs, agenda, chaperoning, etc.
CHAPERONES: Chaperones are very special people ☺. They love being around children, are firm yet flexible, and enjoy long bus rides with “G” rated movies. And… they get to pay their own travel expenses to enjoy the experience! Only singers and chaperones are allowed on our tours--no siblings. If you would like to be considered as a chaperone, please attend the Oct. 7th meeting, where we will answer questions. $100 trip payment is due October 14th.
We must ask that only chaperones accompany the Chorale. In other words, non-chaperoning parents are very welcome to travel parallel to us, on your own, to watch performances, but please do not intersect/interrupt our travel, expecting to join us at our activities or meals or hotel. This creates situations difficult to handle fairly (and safely) for our staff, paying chaperones, and traveling musical community. Parallel and intersecting travel will be more clearly defined on the CCC Chaperone/Parent Trip Guidelines below.
CCC Chaperone/Parent Trip Guidelines
Many of the practices and protocols for Chorale trips have developed over the decades, through trial and error, and frankly our experience shows that they work! First and foremost, the rules are in place to maintain the highest level of supervision and safety for our singers. They are also in place to help build the incredible friendships and connections between the children, which makes the Chorale experience so unique.
WHAT IS PARALLEL TRAVEL? (worth the time to read)
Parallel travel has always been permitted for Chorale trips. Parallel travel is when a parent or guardian travels to the same location as the Chorale but are only permitted to interact with the singers at performances. Several parents often plan on traveling with the Chorale and we think it is fantastic! But parallel travel means just that, parallel, NOT intersecting. The trip chairpeople work tirelessly to secure transportation, lodging, meals, and activities for our spring trip. When making those arrangements, consideration is given to the time available within the Chorale schedule, the capacity of the venue to handle such a large group, and assurances from said venues that their establishments can get the Chorale in and out according to schedule. When “parallel parents” intersect with the Chorale during meal times or for activities, it significantly interferes with these plans and can result in a singer getting the short end of the stick because a “parallel parent” (or sibling) takes a slot reserved for a singer or a chaperone.
Chaperones
Chaperones undertake an incredible array of responsibilities on a Chorale trip. The safety and security of your children is their paramount concern, but they are also focused on ensuring that your children have a positive experience on the trip. Chaperone selection is a very involved process as is the pairing of singers with chaperones. Chaperones agree to follow a very strict set of guidelines for Chorale trips and the singers make similar agreements. It is only through these agreements that the Chorale can maintain the highest level of safety for our traveling singers. When parents request Chorale staff and/or chaperones to deviate from these established agreements, it seriously jeopardizes our ability to meet such standards. The chaperones know they are responsible for their singers, and the singers know they are accountable to their chaperones. While it is perfectly acceptable for parents to make contact with their child and give them hugs after a performance, it is problematic when a parent requests to take their child away from their chaperone during a free time period or to accompany their child on various outings. When this has happened in the past, it creates confusion for the singers, as they don’t know if they are accountable to their chaperone or to their parent, and the chaperone does not know if they or the parent are still responsible for the singer. Such requests also have impacted the other singers being supervised by the chaperone in a negative way. Accordingly, such requests by parents are STRONGLY discouraged.
Contact with Third Persons
Contact between singers and third persons during Chorale trips is prohibited. Again, this is a safety issue, but a safety issue of much greater importance than the ones previously outlined. Our pledge to parents and singers is that there is CONSTANT adult supervision on the trip. There have been instances in the past where a non-custodial parent has initiated contact with a singer during a Chorale trip without prior permission. These situations were handled according to established Chorale guidelines by prepared chaperones and safety was maintained for all within the chaperone/singer groups. This was possible because all involved understood clearly what was expected of them. There are often requests by parents to deviate from the third person contact guideline during spring trips. These requests are mainly to allow contact between singers and extended family/friends, but are also STRONGLY discouraged. However, in an attempt to accommodate the requests, consideration is being given to the development of a written consent which will be required prior to our departure. The consent would require a specific time and place for the proposed contact (which would not require any deviation from the trip schedule), and the third person would have to provide photo identification to Chorale staff and/or the chaperone prior to the contact, as the third persons are in almost all instances complete strangers to staff and chaperones. The proposed contact would, again, require approval prior to trip departure. Under NO CIRCUMSTANCE will any singer be allowed to leave with the third person and the contact will be supervised at all times by the chaperone. It is anticipated that this contact would be brief. A quick hug and short conversation is acceptable, but a Chorale trip is not the place for a family reunion. Also please keep in mind that contact with a third person, if allowed, inevitably makes the chaperone and the other singers under the chaperone’s supervision have contact with the third person, and it is quite frankly very unlikely that the other singers want to spend an extended amount of time with the third person.
We understand CCC trip rules may seem overly restrictive or uncompromising. We ask for your patience, understanding, and trust that they are born of necessity and they have served the Chorale very well over the years. We sincerely appreciate our amazing parental support in the Casper Children’s Chorale!

You will receive a weekly email, no later than Sunday evening, each week, beginning in early August. These emails contain important, relevant, and often time-sensitive information. It is imperative that you read them each week. If you miss this email, it can be accessed on the website. Please use email rather than phone or text, and do not use this as a group address. Please also remember to check your other folders, as sometimes our emails seem to have a mind of their own and randomly find their way to the junk or promotions folders!

Please be sure to add the Remind app to your phone or go to https://www.remind.com/join/ccc307 to join our Chorale messaging system. This will allow us to send out important updates that often relate to weather, quick reminders, etc. Please sign-up by 8/26.

We have 3 meetings that happen at 6:00pm, as listed on your calendar. Please make them a priority.
Trip Chaperones will have a couple of additional meetings (as listed on your calendar). These are REQUIRED for all trip chaperones.

PICTURES
Our group picture will be scheduled late September or early October. This photo is taken in our formal concert uniforms. You have the opportunity to purchase this formal photo, which is used in our concert programs, annual fundraising and advertising.
RETREAT
We are excited to host our annual Chorale retreat on October 11th. This will be a no cost, one-day event where we will sing, play games, and get to know each other. A detailed schedule for the day will be shared with parents closer to the event. We will be asking for a few parent volunteers throughout the day. The retreat will run from approximately 10:00am-4:00pm.
The Chorale Retreat does count as a rehearsal as we will rehearse several times throughout the day.
SCHOOL MUSIC PROGRAMS
We depend upon teacher relationships. Be loyal & responsible to your school programs. For example, if you have a Thursday night school concert at 7 p.m. and you are expected to arrive by 6:30, please let your section leader know and we will dismiss you 15 minutes early.
SOCIAL EVENTS
We are excited to offer social events throughout the year to help the singers get to know one another and spend time together outside of rehearsal. The dates can be found on the calendar. While these dates are NOT required, they are STRONGLY suggested, as they will be beneficial for the singers. This is a great time for them to grow in friendships and get to know each other outside or rehearsal. These dates are also meant to be a celebration of each singer and the hard work they contribute to our groups.
