Waiver and Policy Agreement: Participants and/or parents, by completing registration agree that they accept the terms and conditions outlined above and below by Karin Hobby Dance Academy Inc. (Hereafter referred to as KHDANCE).
REGISTRATION & REFUNDS: Registration with processed payment is required to secure a space in class subject to availability, and prerequisites/conditions as applicable. Tuition and other applicable fees are payable to Karin Hobby Dance Academy Inc. An administration fee, the annual registration fee (full year programs) and applicable taxes are non refundable. Tuition may be refunded excluding the aforementioned amounts if requested before the start of classes. All payments and applicable taxes are non-refundable once the session has commenced. (See below for full year payments) The full year school programs run from September to May with the exception of Mini Dance, Adult Dance Programs and new sessions which may be introduced through the school year based on space and demand. Payment for full year programs is accepted for the school year in full or in 2 installments. When payment has been divided between the 2 terms, the second payments are due November 30, of the registration year. Installment fees are added when payment is divided. When the full year payment has been made but the student, for whatever reason, must withdraw from the second term, a refund may be issued for the second term tuition on the basis of the installment amount for the first term and the applicable administration fee and taxes.
Sessional programs including The Mini Dance and Adult 8 Week Sessions run as blocks from the start date to the end date. Participants must register for the subsequent session, space permitting, in order to continue. Unattended classes in any session are forfeited and are not refunded, without exception regardless of reason. There are no guaranteed make-up classes for student absences. Admission to other same level classes if available for full year students, within the same week must be approved by the Director and teacher, to ensure compatibility with class numbers and the class work being taught. For 8 week sessions, there are no extensions or make–ups for missed classes as a spot has been held in that session and the class still runs. Please discuss preplanned extended absences at the time of registration to determine if it can be accommodated and best options. Purchased drop-in classes cannot be refunded, and are forfeited if not attended. Any request to defer a purchased drop-in class to another date (if available and occurring within 4 weeks), must be made no less than 24-hours before the original class time. If your level of class has been discontinued or replaced for any reason, participants will be offered an equivalent or refunded as determined by the school. Class times and days may be subject to change. There is a $25 fee for returned cheques in cases where cheques were used as the form of payment. The cheque amount and returned cheque fee will still then be owing. Transfers between classes will be permitted when space and level of training allows and when advised. For those students who are wait-listed for in-studio classes, a spot will be offered when it becomes available. Participants must be signed in for each class. In the case of a discrepancy regarding attendances, studio records will be deemed correct. It is understood that failure to abide by studio policies and the conditions of enrolment may result in discontinuation of studies at KHDANCE and forfeiture of the remainder of paid tuition. Disrespectful behaviour and breach of policies included in this waiver on the part of participants or parents, will be grounds for disallowing continuation of studies at KHDANCE as noted above. Private lessons which are booked must be cancelled 24 hours in advance or payment will still be due.
Dance schools pay the music licensing fees for music used in class and in performances through student tuition.
Summer, and March Break Dance Camps and PD Days as well as summer sessional programs register separately and time frames and fees may differ. All conditions of this agreement still apply. There are minimum and maximum requirements to run these events.
HEALTH & SAFETY: Parents and the participant acknowledge that dance is a physical activity and the potential risk for physical injury therefore does exist. Our goal is to minimize this risk. However, not all injuries are preventable. Acknowledging this, parents and participants will not hold Karin Hobby Dance Academy Inc., KHDANCE, its owner, faculty, staff, volunteers, facilities or venues responsible for any injuries, illnesses, or damages which may occur in that regard. Students must not attend if symptomatic or ill. Students and families are encouraged to have their own medical coverage in the event of injury or illness. There is a parent waiting area but please respect the privacy of others while waiting. It is understood that parents of children with severe allergies must remain on site during their child’s class. KHDANCE, its teachers, owner, staff and volunteers will not be held responsible for any illnesses which occur as a result of incidental exposure at the studio. Registrants accept that reasonable precautions are being taken and agree to abide by recommended protocols within the studio. Cold packs may be offered to students if they have sustained some minor injury and would like one. We will always ask but we appreciate being informed if there are contraindications to the use of ice. Students who become ill or report feeling ill while at the studio, are coughing excessively, or demonstrating other concerning symptoms such as excessive coughing with no known underlying condition which would explain it, will be asked to rest with supervision until parents can be contacted to consult with or to take the student home. Please note on your form if there are any allergies etc. that cause a regular cough for example, of which we should be aware. Mask wearing for dancers and staff is optional but will be encouraged for coughing individuals while on the premises unless allergy etc related. The school strives to be a nut free environment and students are asked to refrain from bringing nuts and nut containing products onto school premises. We also have mango, kiwi, and fish allergies, but we cannot account for all potential allergens so clean hands and careful eating in our space remains important. Food products should not be put into garbage receptacles in bathrooms or studios but should be kept in lunch bags to return home. Hand washing is encouraged. Relevant medical information that staff should be aware of, should be communicated to school staff with whom it remains confidential, but it is important to acknowledge that the staff are not medical practitioners in their role at the school and participants must seek appropriate advice from their own health practitioners with regards to their participation in our dance programs and in any injury management. Dance is a physical activity and to be safe in performing movements, correct posture and alignment is important. Teachers strive to provide positive information to students verbally to help them achieve safe dance technique over time. Should the teacher feel some physical correction would help the student in understanding or achieving this and if it is verbally agreeable to the dancer, light intentional, safe, physical correction in order to help assist the student with alignment may be used. No student will have physical pressure applied to get into the splits. Safe dance practice is very important to RAD trained teachers and police safety checks are standard practice. If, in any situation, a parent or student wishes to have an absolute no-contact condition for their dancer, please inform us in writing. We can support the students and parents in whatever their level of comfort is, as long as it is formally communicated to us so we know! Students will also be involved in some contact at times, with their class participants in paired or group work. In cases where hair is not safely secured for the dance class, assistance may be offered by staff or assistants to secure the hair for example into a bun. Concerns must be brought to the attention of the school staff/Director. Parents are encouraged to view any class they need to know more about. It is important that dancers and parents respect the school uniform requirements as well.
COMMUNICATIONS & MARKETING EMAILS: In providing contact information, consent to receiving emails, phone calls, texts, Zoom invites, and other communication from and regarding KHDANCE is given. Any concerns will be brought forward to the School Director. Information we collect is not sold or shared with third parties other than staff and companies who manage our registration and accounting data. Credit card information is not stored. Clients must not share their credit card or other confidential information over email or do so at their own risk. Health information provided is shared only with staff involved with teaching and interacting with the students. By providing your email address, this acts as consent to receive email communications from Karin Hobby Dance Academy Inc. including newsletters, updates, information re merchandise sales, costumes, school shows, recitals, performances, pictures, community events etc to the provided email account. Class time changes, cancellations etc will be posted when possible on the website to ensure this information is available although this cannot always be guaranteed.
ONLINE CLASSES: It is acknowledged that full security and privacy of online platforms cannot be guaranteed. In signing up for online class, the registrant accepts this risk. If there are public health restrictions imposing a lock down at any point during the year by the provincial or federal government, we will continue classes through the online platform. Online classes, if and when offered, are run through the Zoom Platform or other, and cannot guarantee full security. However, we do lock meetings, do not allow screen sharing by participants other than the host and utilize the waiting room to admit only registered participants.
RECITALS & EXAMINATIONS: Please note that we do not charge “recital fees” as an entity. There will be non-refundable costume fees for recitals due in January of the year of the recital. Tickets must be purchased, closer to the public performances/events, from the Theatre/Eventbrite by parents in order to attend the performance and these help cover the costs of Theatre rental, library production staff in the Theatre, KHDANCE staffing and music licensing. We are a small community school and parental support of the venue is required in order to be able to run these events. It is understood that there will be costume fees for dancers in the end of year show if applicable. Recitals cannot be guaranteed and are for those students who are eligible and/or have been participating regularly over the full term. Examinations may be offered to students deemed eligible by the director, and they must study at least 2 classes per week up to Grade 5 and 3 classes minimum in the higher levels in order to have sufficient physical training to achieve the standard required. Pointe students must study 3 dance classes per week for safety. Individual circumstances may be discussed with the School director and teachers involved. Examinations are optional, are not right for every student and not required to progress.
PHOTOGRAPHY RELEASE and TERMS: Completion of registration establishes parental consent for your child or yourself as the registered participant being photographed and or digitally recorded in class and school performances/activities by photographers assigned by the school. Select photographs and recordings may be used for KHDANCE promotional displays, testimonials and school promotional material and social media now and in future. There is no remuneration due any student who appears in school promotional material. This also establishes your acknowledgement that your own photographing of other KHDANCE students is not permitted without their own consent and the consent of KHDANCE, both in class, studio and in performance. This protects you, your child and other students in the class from inadvertently being photographed or filmed without their consent and prevents stress in their learning environment. Recitals are generally filmed by the school and shared with families of students involved. Unauthorized client video/digital or other recording, or posting on social media of KHDANCE performances by clients is not permitted due to copyright, licensing and privacy laws.
Any concerns must be brought forward to school staff and preferably to the director. You are welcome to wait quietly in the waiting area provided during the class.
