THE ROYAL DIAMOND FAMILY
Parent & Dancer Commitment, Payment, Withdrawal, and Waiver Policy
The Royal Diamond Family is a competitive dance organization built on teamwork, consistency, and season-long commitment. When families join our program, we work together to provide training, performance opportunities, costumes, choreography, and overall dancer development throughout the season.
This policy helps ensure clarity, fairness, and consistency for all families.
⸻
Financial Commitment
By enrolling in The Royal Diamond Family, families agree to support the full financial commitment associated with their dancer’s participation.
Monthly tuition and program fees support:
* Instruction and coaching
* Studio and rehearsal operations
* Choreography and music development
* Competition and performance registrations
* Costumes, apparel, and team materials
* Administrative and program expenses
Maintaining an up-to-date account is required for continued participation in all classes, rehearsals, and events.
⸻
No Refund Policy
All payments made to The Royal Diamond Family are final and non-refundable.
This includes, but is not limited to:
* Tuition
* Registration and audition fees
* Competition fees
* Costume fees
* Apparel and travel wear
* Tickets and event fees
* Workshops, camps, and special programs
* Fundraising or program-related payments
This applies regardless of attendance, participation level, injury, scheduling conflicts, relocation, withdrawal from the program, or removal from the company.
⸻
Withdrawal Policy
We understand that circumstances may change during the season. If a family chooses to withdraw, we ask that a written withdrawal notice be submitted via email on the last day of a calendar month.
Once a withdrawal notice is received, one additional month of tuition will remain due. This allows us time to properly close enrollment and manage staffing, choreography, and team planning.
Examples:
* If a withdrawal email is submitted on November 30, December becomes the final month of enrollment and December tuition remains due.
* If a family decides mid-month (for example November 13), the withdrawal request should still be submitted on November 30. December tuition would remain the final payment, and enrollment would end December 31.
Failure to attend classes or events does not replace an official written withdrawal notice.
⸻
Program Planning & Roster Commitment
Each dancer placed on our roster represents a committed position within the team. When we build our season, we plan staffing, choreography, costumes, and competition opportunities based on the full roster.
This structure allows us to maintain consistency and provide the best possible experience for all dancers.
⸻
Attendance & Participation
Consistent attendance supports dancer growth and team success. Families are encouraged to:
* Attend all scheduled classes, rehearsals, and events
* Arrive on time and prepared
* Communicate absences in advance when possible
* Remain current with all financial obligations
Participation in performances and competitions may be affected by attendance, readiness, or account standing.
⸻
Injury & Medical Acknowledgment (Release of Liability)
By enrolling in The Royal Diamond Family, parents and guardians acknowledge that dance is a physical activity that may involve the risk of injury.
Families understand and agree that:
* Participation is voluntary and at their own risk
* The Royal Diamond Family, its staff, instructors, and affiliates are not responsible for injuries that may occur during classes, rehearsals, performances, or related activities
* It is the parent/guardian’s responsibility to ensure their dancer is physically able to participate
* Any pre-existing medical conditions should be disclosed to the company in writing
In the event of injury, The Royal Diamond Family will make reasonable efforts to ensure the dancer receives appropriate care and support while participating in activities.
⸻
Photography & Videography Waiver
By enrolling in The Royal Diamond Family, families grant permission for their dancer to be photographed and/or recorded during classes, rehearsals, performances, competitions, and company events.
These images and recordings may be used for, including but not limited to:
* Social media content
* Marketing and promotional materials
* Website and advertising
* Internal training and documentation
Families understand that no compensation will be provided for the use of images or recordings, and all media remains the property of The Royal Diamond Family.
If a family does not wish for their dancer’s image to be used for public marketing, they must submit a written request prior to participation.
⸻
Outstanding Balances
Any remaining balances must be resolved according to the agreed payment schedule.
Program materials such as costumes, apparel, media, or participation in events may be held until accounts are current.
We aim to work with families in a respectful and supportive way to resolve any financial concerns.
⸻
Acknowledgment
By enrolling in The Royal Diamond Family, families acknowledge that they have read, understood, and agree to the policies outlined above.
We appreciate your trust and commitment and look forward to a successful season of growth, discipline, and excellence.
The Royal Diamond Family reserves the right to update policies as needed to support the success of the program and its dancers.
