Confidentiality & Communication Policy
Upon registration, all families must supply Impact Dance complex with a phone number and email of a parent and/or guardian as email is the primary method of communication.

It is understood that families are to read all emails from Impact Dance Complex in their entirety to ensure all information is communicated.

All personal contact information will remain strictly confidential with Impact Dance Complex and will not be shared.

Conduct:

Negative and inappropriate behavior (deemed by Impact Dance Complex) which can include gossiping, bullying, physical altercations or negative comments will not be tolerated and may result in removal from a routine, the competitive company, or expulsion with no refund of tuition.

At Impact Dance Complex., our goal is to provide a fun and positive learning environment for children where they can express themselves through the art of dance. We will provide high-quality training with educated and experienced teachers. We hope to instill and teach work ethic in our dancers so that they can feel and be proud of their successes.

Our students and parents - without exception - are expected to treat each other and their teachers, their parents with the highest level of respect.

Dancer’s must abide by the dress code. Dancers who do not abide by the dress code will not be allowed to participate in class. More than two instances of failure to comply will result in disciplinary action.

Dancer’s must keep their belongings organized and clean and to leave all areas in the same condition or better than they found it at classes, rehearsals and performances.

Dancers must report any injury occurring while in class, at rehearsal, or at all performance immediately to their instructors, or whoever is in charge of them at the time.

All dancers must be toilet-trained, unless participating in a class where they are accompanied by a parent/guardian.

Prohibited items are jewelry, chewing gum, perfume/cologne, snacks with peanuts, nuts or nut products, offensive language or innuendo on clothing.

Requirements of Participation in Activities Policy
Dancers must meet the minimum age requirements.

Dance instruction requires that the dancers are physically capable of moving, capable of following instructions and communicating.

Impact Dance Complex reserves the right to request that students who do not participate in class, are habitually late or habitually in violation of the dress code or other studio rules, withdraw from the studio.

All dancers must be physically capable to participate without danger to themselves or others.

## Hygiene and Protection Policy

As we enter flu season, it is crucial to prioritize the health and safety of all dancers, staff, and families and wanted to share a friendly reminder of our Hygiene and Protection Policy. The following hygiene and protection protocols must be strictly adhered to at all times, including when in the lobby and common areas.

**Open Wounds, Cuts, or Sores**

All open wounds, cuts, or sores must be securely covered before entering the studio. This is essential to prevent potential infections.

**Illness**

If you are feeling unwell or are showing symptoms of illness, stay home. You can always catch up on choreography through the videos provided. Dancers who arrive sick will be sent home immediately. Prioritizing rest will ensure a faster recovery and reduce the risk of spreading illness to others.

**Warts**

Dancers with warts must wear grippy socks at all times, including in the lobby and during class. In jazz classes, turners must be worn over non-grippy socks. This prevents potential spread and protects the well-being of other dancers.*Non-compliance will result in being sent home for the day.*

These policies are non-negotiable and **apply to everyone in the studio.** While these situations may be uncomfortable, they are necessary for maintaining a safe and supportive environment. Your cooperation is not only appreciated but required for the continued success of our **shared space.**

Liability Release and Waiver Agreement
Release of Liability Policy

This policy also contains a Waiver, Release, and Indemnification section relating to your participation in, and use the Impact Dance Comple's Classes and Facilities. Please read it carefully.

Voluntary Assumption of Risk

You acknowledge that dancing is a physical activity that involves jumping, kicking, rotation, and coordinated body movements. You agree that your / your child’s participation in activities with Impact Dance Complex involves inherent physical risks and your child and you agree to and voluntarily assume the full risk of any bodily injuries (including death), damages, or loss which your / your child may sustain as a result of any activities arising out of, connected with, or in any way associated with your / your child's participation in activities with Impact Dance Complex. You certify that your / your childs present level of physical condition is consistent with the demands of active participation in dance.


Waiver

By signing up for and/or attending classes, events, activities, and other programs and using the premises, facilities and equipment, including but not limited to, the use of facilities at IMPACT DANCE COMPLEX you acknowledge on behalf of yourself, your heirs, personal representatives and/or assigns, that there are certain inherent risks and dangers in dance and in using exercise equipment in association with the classes and facilities. You acknowledge that some of these risks cannot be eliminated regardless of the care taken to avoid injuries. You also acknowledge that the specific risks vary from one activity to another but range from (1) minor injuries such as scratches, bruises, and sprains; (2) major injuries such as joint or back injuries, heart attacks, and concussions; and (3) catastrophic injuries including, but not limited to, paralysis and death. At all times, you shall comply with all stated and customary terms, posted safety signs, rules, and verbal instructions given to you by staff. If in the subjective opinion of the IMPACT DANCE COMPLEX staff, you, or the individual you are signing on behalf of, would be at physical risk participating in IMPACT DANCE COMPLEX’s Classes, you understand and agree that you, or the individual, may be denied access to the Classes and Facilities until you furnish IMPACT DANCE COMPLEX with an opinion letter from your medical doctor, at your sole cost and expense, specifically addressing IMPACT DANCE COMPLEX’s concerns and stating that IMPACT DANCE COMPLEXs concerns are unfounded.

Release and Indemnification

In consideration of being allowed to participate in and access the classes and facilities of IMPACT DANCE COMPLEX you hereby (1) agree to assume full responsibility for any and all injuries or damage which are sustained or aggravated by you in relation to the Classes and Facilities, (2) release, indemnify, and hold harmless IMPACT DANCE COMPLEX from any and all responsibility, claims, actions, suits, procedures, costs, expenses, damages, and liabilities to the fullest extent allowed by law arising out of or in any way related to your participation in the activities or use of the facilities, and (3) represent that you, or the individual you are signing on behalf of, (a) have no medical or physical condition that would prevent you from properly using any of IMPACT DANCE COMPLEXs classes and facilities, (b) do not have a physical or mental condition that would put you in any physical or medical danger, and (c) have not been instructed by a physician to not participate in physical exercise. You acknowledge that if you have any chronic disabilities or conditions, you are at risk in using IMPACT DANCE COMPLEXs Classes and Facilities and should not be participating in any Classes.

Your agreement to indemnify IMPACT DANCE COMPLEX means you will be responsible for any costs, including but not limited to reasonable legal fees, associated with any of the claims listed in this section. This includes, but is not limited to, any claims made by a third party due to or arising from or relating to your use of the facility and participation in classes.

Further, as the legal parent or guardian, you release and hold harmless Impact Dance Complex, its owners, operators, and staff from any and all liability, claims, demands, and causes of action whatsoever, arising out of or related to any loss, damage, or injury, that may be sustained by the participant and/or the undersigned, while in or upon the premises or any premises under the control and supervision of Impact Dance Complex, its owners, and operators or in route to or from any of said premises.


General

You acknowledge and declare that You have been provided with the opportunity to discuss and review this Agreement before signing it and you freely and voluntarily signed this document with a full understanding of the agreements, acknowledgements, representations and declarations contained herein. You further agree and acknowledge that you have been provided a reasonable period of time within which to review the terms of this Agreement.

If any provision of this Agreement, or the application thereof to any person or situation shall be held invalid or unenforceable, the remainder of this Agreement, and the application of such provision to persons or situations other than those to which it shall have been held invalid or unenforceable, shall continue to be valid and enforceable to the fullest extent permitted by law.

This Agreement shall be interpreted under and construed in accordance with the laws of the Province of Ontario.

Classes that fall on a statutory holiday will not be made-up.
Classes not attended due to dancer illness or otherwise will not be made-up.
Classes cancelled due to inclement weather will not be made-up. Families are notified of cancelled classes by email. Cancellations are also posted on our social media pages.

A legal parent or guardian must agree to allow and give permission to Impact Dance Complex to use any photos or video footage of their child/children (ie. class instruction, rehearsals, or performances) for promotional, social media, and advertising use and purposes, should Impact Dance Complex choose to do so in regards to the advertising of Impact Dance Complex.

Exceptions can be made, please contact Miss.Linnea if you would like your family to be excluded from promotional material.

All dancers in the full year program will be automatically signed up for the recital unless they opt-out.

If you would like to opt out, you MUST do so by filling out the opt out form by January 15, 2027.

A fee of $185 + HST will be charged to the card on file for each dancer on January 15. This covers their costume, dress rehearsal and recital fee and the digital recital video!

If your dancer is in more than one class, an additional fee of $95 + HST will be added for each subsequent class.

Summer Classes, Programs, Camps & 8-Week Sessions : Full payment is due at the time of registration. No refunds will be issued for cancellations made less than 30 days prior to the program start date. If you are cancelling before the 30 days, a 30% deposit will be held as a credit on your account and 70% will be refunded.

FULL YEAR CLASSES

Registration / Administration Fee

A non-refundable $32 + HST registration fee applies once per year, per dancer.

Families pay a maximum of $50 + HST per year (regardless of the number of dancers).

This fee applies only to full-year recreational classes (September–June) and does not apply to summer programs, camps, or workshops.

Season Commitment

Classes run from September through June, following the school year.

Registration is a commitment for the full season.

Payment Plan

All families must provide a pre-authorized payment method (Debit, VISA, or MasterCard) through the Parent Portal at the time of registration.

Tuition for the full season (September–June) is divided into 10 equal installments, unless paid in full upfront.

The first installment is due upon registration and secures your dancer’s spot.

Remaining installments are automatically charged to the card on file on the 1st of each month (October 1 – June 1).

Important Notes:

Monthly installment amounts are equalized across the season; they do not vary by the number of classes in a given month.

Payments continue until written notice of withdrawal is received.

Failure to attend class does not constitute withdrawal.

There are no refunds for missed classes or partial months.

Late Payments

Payments more than 10 days overdue will incur a $20 late fee per payment.

Dancers with unpaid balances may be removed from their class or program until the account is brought up to date.

This policy is strictly enforced.

WITHDRAWAL POLICY

By enrolling at IMPACT Dance Complex, you are committing to a space in your selected class(es) for the full season. The studio makes financial and scheduling commitments based on registrations, including staffing, facility planning, costuming, and choreography. To keep our programs sustainable and fair for all families, the following withdrawal policies apply.

Notification Requirement
All withdrawals must be submitted in writing using the official IMPACT Withdrawal Form by the parent or guardian whose name is on file. Verbal, text, or email notifications will not be accepted as official withdrawal. Tuition fees remain payable until the written withdrawal form is received.

Tuition and Refunds
Monthly tuition is non-refundable after the first business day of the month. Families must complete the withdrawal form a minimum of 7 days before the upcoming month to unenroll for the following month. Dancers may continue attending classes until the end of the month following withdrawal.

Withdrawal Fees
A withdrawal fee applies per class when discontinuing a program mid-season. This fee helps cover administrative costs and ensures classes remain financially viable.

Tiny Programs (30 min): $20 per class

Petite & Up Programs (45+ min): $30 per class

After 30 days from registration: $50 per class (all levels)

All fees are subject to HST.

Costume, Competition, and Additional Fees
Costume deposits and orders are non-refundable once placed. If a dancer withdraws after a costume has been ordered, the full costume balance will remain due and the costume will be distributed to the family. For competitive students, competition entry fees and choreography fees are non-refundable once paid or submitted. Any outstanding tuition, costume, competition, or additional fees will remain due in full at the time of withdrawal.

Late Season Withdrawals
Withdrawals made after March 1, 2026, will not be eligible for refunds or tuition adjustments for the remainder of the season. This policy ensures choreography, rehearsals, and recital preparations are not disrupted late in the year.

Short-Term Sessions, Camps, and Summer Programs
For 8-week sessions, summer classes, PD Day camps, and specialty programs:

Cancellations made more than 30 days before the start date will receive a 70% refund, with 30% retained as a non-refundable deposit or held as credit if requested.

Cancellations made within 30 days of the start date are non-refundable.

No refunds or credits will be issued for missed classes, early withdrawals, or no-shows once the session begins.

Acknowledgement
By signing the registration agreement, families acknowledge that they have read and agree to follow the IMPACT Dance Complex withdrawal policy. Failure to follow the withdrawal procedure does not relieve families of financial responsibility for tuition and associated fees.

Occasionally, you will receive brief announcements from us regarding the studio. We HIGHLY discourage unsubscribing as it will lead to you missing out on important information like class cancellations, payment notifications etc.
