POLICIES & PROCEDURES
Studio Communication Strategies
All announcements, communication for classes, cancellations, make-ups, etc will be communicated via email, BAND app and social media. Please verify the email on file for your account is correct. We will also post updates on our social media and website although our primary method of communication is via email. We will have designated office hours where you can call or stop in to register, purchase products which will be posted in our lobby, on our website and on social media. Please understand that all studio related conversations, questions, etc will be responded to/communicated during these office hours only.
Emergency (Health, Fire, Tornado, etc.)
In the case of an emergency, staff will communicate with parents via phone call, text or band app. For a fire emergency we will evacuate the building and meet at our safety location at the main door of Spencer Community Theater. In case of a tornado or hazardous weather we will bring the students into the most interior room of the building also known as Studio 1. When possible and in the case of advance notice we will cancel classes prior to students arrival at the studio. For general health and safety we have certified all of our staff in CPR and first aid. In addition, we have weekly cleaning schedules for the studio to keep the environment clean for all who participate. In the event that your child becomes sick during class we will call the parent/guardian on file for early pick up.
Grand Dance Academy follows the Spencer Community School district’s decisions regarding severe weather. If there is no school due to inclement weather the studio will be closed for the evening.
Student Drop off & Pick up
A parent or guardian must be present for drop off and pick up. Please arrive a few minutes before class begins and ends. Students may not be unattended in the lobby/waiting area under the age of 10. Students under the age of 10 are asked not to be left unattended, even in the lounge, as no staff will be present to supervise.
Tuition and fee due date, late fees, discounts, refunds, credits, payment methods

If you enroll mid-season we will prorate your tuition based on when you begin dancing with us. Tuition is not based on the number of classes in a month or on attendance. There is NO refund for missed classes. You may pay the entire season in full or pay it in monthly installments. The other installments are due the 1st of each month. September-May and will be automatically billed to the card on file on the 1st of each month.

Receipt of Payment: You will not receive a billing statement or invoice prior to any charges, however, you will receive a receipt of payment each month after the auto-draft.
Late Fee: If your card on file is declined, an alternate payment must be made within 48 hours. A $30 late fee will be charged for any payments not made in full by the 10th of the month. This includes declined charges for cards on file for any reason.

Payment Authorization: I hereby authorize Grand Dance Academy to charge my credit or debit card for all services and products related to my family’s enrollment in classes and activities at Grand Dance Academy including but not limited to tuition, supplemental materials, special events, costumes, concert/year-end show fees, accessories, etc. Fees are subject to change. If I elect to pay annual tuition via monthly installments, I understand that my credit or debit card will continue to be charged on the monthly, session or periodic basis unless I notify the studio in writing 30 days before intent to discontinue via email to info.granddanceacademy@gmail.com and receive an acknowledged returned response from Grand Dance Academy staff. I understand that it will not be sufficient notice to merely tell an instructor or other employee of our intent to discontinue. I have read this entire agreement and understand that I will be held fully responsible for its terms and conditions of service, including a 30-day written notice by email to Grand Dance Academy of any intent to discontinue. I understand that once the monthly installments for my annual tuition, my year-end show fee or my year-end show costume fee have occurred, there will be no refund given if I decide to discontinue. Communicating Absences & Dropping Classes
Please email info.granddanceacademy@gmail.com to communicate absences or to drop a class. Keep in mind we require a 30-day written notice via email to drop a class.
Attendance, Participation & Absences
Withdrawal Policy: We require a 30-day written notice via email if you need to withdraw from Grand Dance Academy. Please email info.granddanceacademy@gmail.com to withdraw from our 2025-2026 season. After the 30-day notice, we will terminate your monthly installment, or, if a full year was paid, we will refund the remaining installments minus 30%. This withdrawal policy remains in effect even if we have a shelter in place mandate from the federal, state or local government. In the event of a shelter in place, classes will convert to virtual classes and instruction will continue. There may be an approximate one-week transition period from the date of the shelter in place in order to allow us to implement our action plan. This brief time period, if needed, will be treated as inclement weather days, meaning your dancer can choose a convenient make-up class from an appropriate class on our schedule. No refunds will be given for this week. Please call or email to sign up for your make-up class. Remember that a 30-day written notice will still be required for withdrawal.
Make-up Classes: If your dancer misses class due to illness or other personal reasons there will be no discount or refund given.. There are no make-up classes missed when the studio officially closed for the holidays, etc. All classes missed when due to inclement weather will be made up at the instructor's discretion.

We all have to work together to make the studio a fun, safe and supportive environment for all!

Recital Costumes: Costume costs are generally $65-$100 per costume (you will receive the exact amount in November.) Costume fees will be invoiced and due in November. After this fee is processed in November, it is non-refundable for any reason. Any costume alterations needed will be the responsibility of the parent/guardian. If your dancer will not be participating, you are required to notify us by email to info.granddanceacademy@gmail.com no later than November 1, 2026.
