Dancing with Louise Policies
Radar Dance Limited (Company number 07060630) and affiliated entities trading under the name Dancing With Louise ("We") are committed to protecting and respecting your privacy. This policy (together with our terms of use and any other documents referred to on it) sets out the basis on which any personal data we collect from you through this website or otherwise, or that you provide to us, will be processed by us. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it. For the purposes of the GDPR (General Data Protection Regulation), the data controllers are Radar Dance Limited whose registered office is 28 Church Road, Stanmore, Middlesex, HA7 4XR and affiliated entities trading under the name Dancing with Louise, who will also have access to and the ability to process the data. 
PHOTOS/VIDEOS
Photographs / videos / audio recordings may be taken at any of our classes, camps, shows or exams. These may be used to publicise the classes to the community and a recording will be made of the end of year show. Should you prefer that you or your child does not appear in these photographs or in a video or DVD please advise DWL in writing. This may, however, result in your child being unable to perform or participate in certain classes or performances.
PAYMENTS
We have a membership scheme and full payment of the term must be received in advance to confirm a place. For the following term, your place will renew automatically approximately 4-6 weeks before the end of the current term. This means your space will be automatically be saved for you and payment will be taken using the card stored on your account, unless you notify us in writing BEFORE the payment is due that you wish to opt out of change courses.
New students will be required to pay a one time annual membership fee of £30 when joining MOUVE by Dancing with Louise. If you unsubscribe from any of our courses and re-enrol at a later date, this registration fee will be due once more to cover administrative costs. All MOUVE members will receive exclusive promotions and discounts for products or services throughout the year.
REFUNDS
All classes and courses are non-refundable. MOUVE by Dancing with Louise cannot offer a refund if you do not attend courses or individual classes. A full refund will only be given if the chosen workshop date / course is fully booked on receipt of payment or if we cancel a course due to insufficient participants. MOUVE by Dancing with Louise cannot take responsibility to compensate for classes cancelled for reasons beyond our control (eg: freak weather, road closures, flooding etc..) We will however, endeavour to hold a make-up class where possible. 
ATTENDANCE
Children must arrive and be collected promptly. It is very important that children arrive in time for their classes, preferably 5 minutes before the start. This allows the group time to settle from the moment the class starts. Latecomers will have to wait outside until an appropriate time to join the class. Children arriving after 15 minutes may be refused admission, as this may disrupt the professional attitude to classes we aim to foster. Where possible MOUVE by Dancing with Louise will aim to let people know of any changes in venue or class time at least one week ahead of schedule unless there is an emergency or a situation arises that is beyond our control.
ABSENSE
Any child missing for more than two classes per term without reason may not be able to join future courses. Class numbers are limited, and many have long waiting lists, so good attendance and commitment to the course is essential. Please inform us if your child is unwell or cannot attend for whatever reason.
ILLNESS/INJURY
Parents are not to allow their child to attend MOUVE by Dancing with Louise if they are feeling unwell or have a known injury which would prevent a student from fully taking part. This includes presenting any contagious illness including (but not limited to): Chicken Pox, Head Lice, Common Cold, Flu and, as of March 2020, symptoms of COVID-19. COVID-19: Parents are expected to follow government advice in relation to when to self-isolate. When signing up for class you will be required to complete a health declaration form beforehand. Membership may be frozen only in the event of illness or injury preventing attendance at classes for a sustained period of time at our discretion. In these circumstances, MOUVE by Dancing with Louise will only freeze the membership from the day we are notified in writing. A doctor's note may be required. 
UNIFORM
This is basic but essential and gives the students a sense of belonging, a sense of ritual and sense of dressing for something important - their class. Appropriate clothing as below is necessary for health and safety and child protection: Students must not wear their school uniform to any class - MOUVE by Dancing with Louise is not a school and wearing the correct uniform gives a sense of belonging, allowing all to feel equal, healthy and safe. All t-shirts, shoes and bags must be clearly labelled - lost property is donated to charity at the end of every term. Strictly no jewellery - no earrings (earrings are very unsafe during physical activity). Hair must be tied back from the face for all classes. 
Most Dancing with Louise Classes: 
Top: Dancing with Louise T-shirt must be worn by all students except our Ballet students. 
Bottom: Tracksuit bottoms or leggings must be worn in black. No jeans or trousers, skirts or dresses are to be worn to any class. Skirts that do not fall past the knee may be worn over leggings for Musical Theatre and Drama. 
Shoes: Black soft plimsolls (like those worn for school gym lessons) or black jazz shoes are to be worn. Strictly no trainers, crocs or sandals are allowed. Hiphop and Breakdancing students can wear trainers or jazz shoes. 
Tap class: Black tap shoes. 
Ballet:  leotard, short socks/tights, pink tone ballet slippers. Ballet skirts. Cardigans/Jumpers in a matching or complementary colour to the leotard may be worn in colder months. Refer to Uniform list for individual class colours.
RAD Ballet: RAD approved uniform is required for exams. 
CHILD COLLECTION
DANCING WITH LOUISE TEACHER POLICY AND PROCEDURE FOR YOUR INFORMATION 
Teachers must ensure that each child has left a session with an adult or older child (agreed in advance with parent at the time of registering). It is the parent/guardian's responsibility to ensure the child is collected punctually at the end of the class or session. If someone different is collecting your child who is not listed with us, you must notify us in writing at least 3 hours before the start of the class OR if after that time, you must call us on the office mobile so we can release your child to that person. 
Should a parent/guardian not turn up to collect a child on time - this is the procedure to follow: 
• Notify the Branch Manager or call the Dancing with Louise mobile number so our representative can contact the parent/guardian. 
• If no one is not available and does not answer the phone, contact Louise or Rachel.
 • If the office is closed, ask the child to contact the parent/guardian immediately. 
• If the child cannot call the parent/guardian, contact the parent/guardian directly to arrange collection. 
• If the parent/carer is not reachable, and you must leave, the emergency procedure is as follows: 
• Leave a message with the parent and contact the entire Dancing with Louise Management Team with all the information. Wait until another member of the team can arrive. 
• If the parent/guardian is not reachable and there is no adult available, you must take the child to the nearest police station. Inform the police of all contact details for the parent/guardian and notify the entire Dancing with Louise Management Team as above. Leave a message for the parent/guardian to say where the child will be. 
BOOKING
Dancing with Louise does not provide drop-in classes for children and young people on all term time courses. All courses must be booked in advance. New students may join courses during the term subject to availability and authorisation of the Dancing with Louise management team. If there are no spaces on a requested course when booking, then Dancing with Louise will aim to provide an alternative option where possible. 
WAITING LIST
Members on the waiting list will be contacted in order of the list. If members are unavailable, no message will be left. The next member will be contacted and the first to make contact will receive the place.
NON PAYMENT
Failure to make payment at the time the renewal email comes out may result in no place being available. If this happens Dancing with Louise will make every attempt to offer an alternative course or arrangement. If this is not possible then your name will be added to a waiting list. If payment is outstanding, Dancing with Louise reserves the right to withhold services. Every attempt will be made not to discuss monies owed with children, although in extreme circumstances (especially when children arrive without supervision) children may be turned away. Dancing with Louise may share data with debt collection agencies in order to re-coup monies owed. 
CANCELLATION
If a booking is cancelled, a minimum of 1/2 a term's notice should be given. Our classes are a commitment for the academic year and payment is split over 3 terms. Customers will be required to pay upfront for the following term when the bookings open 1/2 a term beforehand. This is taken automatically each term and you will be notified beforehand of this in writing in case you wish to stop attending our classes. In this instance, you must write to us to inform us of you leaving so your place can be offered to another student on the waitlist. Occasionally some courses may be cancelled due to circumstances beyond Dancing with Louise's control. The administration team will endeavour to contact paid customers and will either offer an exchange for the course or, in rare cases of a cancellation, a full refund will be given. Dancing with Louise reserves the right to cancel a course if there are insufficient participants and the above efforts will be made to place a student in an alternative course or offer a pro-rata refund where appropriate. 
If a single class does not take place due to circumstances beyond our control, Dancing with Louise will view this class as postponed and will reschedule only if circumstances allow. 
LOCALISED LOCKDOWNS and PANDEMICS
If Dancing with Louise cannot deliver classes due to force majeure or government directive, we shall implement online classes via video conferencing software as a replacement. No refunds or credit will be offered. If a child or household member is told to self-isolate by NHS Track and Trace (or equivalent service) where possible, an appropriate recording will be provided where possible. Alternatively, upon returning students may attend an additional make up class subject to availability. If the student is unwell and cannot take part, A) This will be classed as missed sessions and as per the below, no refund will be made. B) A make up session may be organised with the Dancing with Louise office at a different class during the first week the student can return to classes, subject to availability. 
DATA COLLECTION
We may collect and process the following data about you: Information that you provide by filling in forms on any of our sites which can be accessed from www.dancingwithlouise.co.uk or www.mydwl.com ("our sites"). We may also ask you for information when you report a problem with our site. Information that you provide to us by filling in forms in person. Information that you provide to us over the telephone which we then input on our database. Details of your visits to our site including, but not limited to, traffic data, location data, weblogs and other communication data. Our lawful basis for holding our clients and students information is of a legitimate interest. We will retain this information indefinitely or until you email info@dancingwithlouise.com asking for your information to be removed. If you do not allow us to keep a record of your data (this may include emergency contact number, email address) you will not be able to attend any of our classes, courses, camps and/or events. 
IP ADDRESSES AND COOKIES 
We may collect information about your computer, including where available your IP address, operating system and browser type, for system administration. This is statistical data about our users' browsing actions and patterns, and does not identify any individual. For the same reason, we may obtain information about your general internet usage by using a cookie file which is stored on the hard drive of your computer. Cookies contain information that is transferred to your computer's hard drive. They help us to improve our site and to deliver a better and more personalised service. You may refuse to accept cookies by activating the setting on your browser which allows you to refuse the setting of cookies. However, if you select this setting you may be unable to access certain parts of our site. Unless you have adjusted your browser setting so that it will refuse cookies, our system will issue cookies when you log on to our site. 
SECURITY 
We will do our best to protect your personal data once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access by outside parties. Unfortunately, the transmission of information via the internet is not always completely secure and therefore transmission is at your own risk. 
USES OF INFORMATION 
We use information held about you in the following ways: To ensure that content from our site is presented in the most effective manner for you and for your computer. To provide you by post or email with information or services that you request from us or which we feel may interest you. To carry out our obligations arising from any contracts entered into between you and us. To notify you by post or email about changes to our service. To carry out or process any instructions given by you to us. We may also use your data to provide you with information about goods and services which may be of interest to you and we or they may contact you about these by post or telephone. If you do not want us to use your data in this way, please inform us in writing or giving data over the telephone by confirming this to the telephonist. 
DISCLOSURE OF YOUR INFORMATION 
We may disclose your personal information to third parties: In the event that Radar Dance Ltd. or any affiliated entities (or any of our owners) sells or buys any business or assets (either as an asset purchase or share purchase) of any third party or of themselves, then we (or any of our owners) may disclose your personal data to the prospective seller or buyer of such business or assets and your personal data may be one of the assets transferred. If we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our terms of use or terms and conditions and other agreements; or to protect the rights, property, or safety of our customers. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction (including third parties who provide credit card collection services on behalf of us). 
YOUR RIGHTS 
You have the right to ask us not to process your personal data for marketing purposes. You can exercise your right to prevent such processing by checking certain boxes on the forms we use to collect your data. You can also exercise the right at any time by contacting us at info@dancingwithlouise.com Our site may, from time to time, contain links to and from the websites of our partner networks, advertisers and affiliates. If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data to these websites. 
ACCESS TO INFORMATION 
The GDPR (General Data Protection Regulation) gives you the right to access information held about you. Your right of access can be exercised in accordance with the GDPR. Any access request will be responded to within one calendar month as stipulated under the GDPR. 
CHANGES TO OUR PRIVACY POLICY

This is part of your agreement when joining Dancing with Louise. Membership is open to all subject to the following conditions: • Dancing with Louise accepts no responsibility for loss or damage of personal belongings while on the premises. • Dancing with Louise accepts no liability for any injuries sustained whilst participating in a class or on the premises. • Dancing with Louise Staff must be notified of any changes to the information provided on the Booking Form. 
STAFF/TEACHERS
All staff, including cover teachers (who may be brought in at short notice), are qualified, experienced and DBS checked. Volunteer class assistants and trainees on placements are all DBS checked. There is always a first aider on site. 
SUPERVISION WHILST ON SITE
Students must ensure they always get full permission from staff prior to leaving class. Toilet breaks will be supervised by either a member of staff or class facilitator and students will always be supervised whilst on site. 
BEHAVIOUR
Racist, sexist and other offensive language and behaviour is not tolerated, and we reserve the right to terminate membership without notice, the final decision being undertaken by the Board of Directors. Behaviour of staff, parents and students must always follow our code-of-conduct. Please note that under no circumstances are pets allowed on school premises due to Health and Safety reasons. 
SHOWS
We like to offer performance opportunities when possible either with our bi-anniual in house productions or other community collaborations or events. These are not compulsory and will not affect class participation or enjoyment if your child cannot participate for whatever reason. 
FOOD
Chewing gum/ fizzy drinks are strictly forbidden on the premises. No food is to be eaten in our studios or halls unless permission is given. If you are attending an after school club you may bring a quick, light snack and drink (not crisps or messy food) with you.
