TRIAL CLASSES
Ultra Dance Academy offers one complimentary, no-obligation trial class. If you remain undecided after the first trial, you may attend a second trial, which will be paid. The payment for the second trial must be made in person at reception prior to the class.

REGISTRATION
An annual, non-refundable registration fee is required to secure your child’s place for the year:

$35 per student or
$70 per family (for families with three or more children).
This fee is due before the student’s first lesson following their free trial or upon registration.

INVOICES & PAYMENTS
Invoices are issued quarterly (per term) via email, one week before the term begins. Payment must be made in full within 14 days of receiving the invoice.
Mid-term enrolments will be invoiced on the day of enrolment, with the same 14-day payment deadline.
Late Payment Fees: A 5% late fee will apply to overdue invoices after the first week, with an additional 5% charged each subsequent week. If payments are delayed for more than six weeks, the student’s class attendance will be suspended.
Payment Options:

- Online via DanceStudio Pro
- Bank Transfer (please include your child’s name and term number as the reference)
- In person at reception (cash or EFTPOS)
- Please ensure payments are sent to the correct account, as we are not liable for misdirected funds. Unpaid invoices, regardless of error, will remain due and subject to late fees.

DEBT COLLECTION
Ultra Dance Academy reserves the right to forward overdue accounts to a debt collection agency, including any associated costs.

ANNUAL CONCERT
Participation in the annual concert is optional but highly encouraged. This event provides students with an invaluable opportunity to showcase their skills, build confidence, and celebrate their hard work.

- Notify us by July 1, 2025, if your child will not participate.
- Failure to notify by this date will be considered consent for participation.

CONCERT FEES
(1 off fee that covers concert video download for both preschool and recreational, trophy/medal, music licensing fees and extra rehearsal at the venue)
Family with 1 child: $55
Family with 2 children: $70
Family with 3 children: $85

COSTUME LEVY
For concert participants, a costume fee of $105 per costume, per class applies. This fee is invoiced in Term 3.

Exceptions: Ready Set Dance and Mini Combo students only require one costume.
Costumes must be paid in full prior to the concert. Unpaid costumes will prevent the student from performing.
Opting out of the concert after July 1, 2025, does not exempt you from costume fees as costumes are ordered in advance and are non-refundable.

REFUNDS & CANCELLATIONS
Class fees are non-refundable, even for absences.
For long-term absences (4+ weeks) due to illness or injury, please contact us to discuss options.
Enrolment continues automatically each term unless we are notified of cancellation.

MAKE-UP CLASSES
Available only for Preschool and Recreational students in Terms 1, 2, and 3.
Must be scheduled within three weeks of the missed class.
Make-up classes do not carry over to subsequent terms.

SAFETY PROCEDURES
We prioritise the safety and well-being of our students. Please adhere to the following guidelines:

- All children (including non-students) must be accompanied by a parent/guardian when arriving or leaving.
- Unwell students should not attend classes.
- Toilets are located near the reception area. Please ensure they are used responsibly.
- Students must not leave the hall without adult supervision.
- Food is only permitted in the waiting area, not in the studio. Nuts are prohibited due to allergies.
- Students are responsible for their belongings. Label all items to avoid loss.
- Prohibited: Smoking, alcohol, drugs, bullying, or disrespectful behaviour. Persistent misconduct may result in dismissal.

DROP-OFF & PICK-UP
Parents/guardians are responsible for supervising their children before and after class.

- Children will only be dismissed directly to a parent/guardian. Please do not wait in your car or ask your child to meet you outside.
- Inform administration if you will be late for pick-up.
- Students arriving early must wait quietly in the designated area under supervision.

INJURIES & LIABILITY
Participation in dance involves inherent risks. Ultra Dance Academy is not liable for injuries, illness, loss, or damage incurred during classes or activities.
In emergencies, we reserve the right to seek medical assistance and administer medication as authorized.

PHOTOGRAPHY & VIDEOGRAPHY
Ultra Dance Academy is authorised to use photos and videos of students for marketing and promotional purposes.

UNIFORM & SHOES
Students are required to wear the appropriate Ultra Dance Academy uniform and footwear for their classes. Uniforms are available for purchase at the studio reception.
