EASTSIDE DANCE POLICIES, RELEASE, AND WAIVER
PARTICIPATION & ATTENDANCE POLICIES
DRESS CODE: Our dress code is designed to keep dancers safe and distraction-free by having proper, well-fitting footwear and attire. Dancers must adhere to the dress code found here: https://eastside-dance.com/what-to-wear. Dancers without proper dance shoes or attire will be asked to watch class.
TRIAL CLASSES: Each new student may book up to 2 trial classes per year. A trial class booking does not guarantee a spot in that class. If the class is filled before your trial class date, you will need to enroll in a different class. Your trial class may also be rescheduled to another day/time. If you would like to book additional trial classes, you will be charged a $30 drop-in fee.
WAITLISTS: If a class is full, please sign up for the waitlist. When a spot opens, you will receive a text and email notification that a spot is available and a link to register. Registration for the open spot will be first-come, first-serve. To remain on the waitlist, students must reply to text or email.
MAKE UP CLASSES: Enrollment reserves your dancer’s spot in class. Regular attendance is important for progress. As a courtesy, we offer up to 6 make up class sessions during the School Year Session and 3 make-up classes during the Summer Session, per enrolled class, if space is available in a similar class. Make up classes must be completed within the same session in which the class is missed.
Make up classes are not guaranteed, non-transferable, and not available:
- During the first two weeks of a session
- During Watch Weeks
- After March 15th
- After unenrolling
- For missed camps or camp days
LATE ARRIVAL: Please arrive on time for class. Students arriving more than 10 minutes late may be asked to observe from the side, at the teacher's discretion. This decision prioritizes student safety, as each class starts with a crucial warm-up that helps prevent injuries.
LATE PICK-UP & PARENT RESPONSIBILITY OUTSIDE PROGRAM HOURS: A late fee of $2 per minute, per child will be applied to your account starting 10 minutes after the scheduled end time of a camp or class. For instance, if a class finishes at 12 PM and your child was picked up at 12:15 PM, the late fee will amount to $10. This fee compensates our staff for their time spent waiting with your child.
- In case of a late pickup, Eastside Dance staff may provide reasonable supervision and assistance to students before or after scheduled program times when circumstances require, including trying to reach the parent/guardian or emergency contact on file.
- Eastside Dance requires at least one current emergency contact who can be reached during program hours. Parents/guardians are responsible for ensuring emergency contacts remain current and available.
- Parents and guardians retain responsibility for students before class begins, after class ends, and during any time a student is not actively participating in a supervised Eastside Dance program.
- If contact cannot be made after 45 minutes, the police may be contacted for assistance and safety. Continued late pickups or failure to pay late fees may result in removal from the studio.
EMERGENCY/WEATHER CLOSURES: Eastside Dance uses the Lake Washington School District (LWSD) emergency and severe weather closures as a guideline; however, we will always assess if we can safely operate. When a decision has been made to close the studio, we will email and text all impacted families and update our website homepage. If classes must be cancelled due to emergencies/weather/power outages; please contact the studio at a later date to schedule a complimentary make up session in any other class that is appropriate for your dancer's age/level.
ILLNESS & COMMUNICABLE DISEASE: Students who are experiencing symptoms of illness, fever, vomiting, diarrhea, contagious conditions, or any condition that may place others at risk should remain home until it is safe to return to activities. Absences due to illness, quarantine, injury, or other health-related circumstances are considered missed classes and are subject to the studio's Make Up Class Policy. Refunds, credits, tuition reductions, or extensions will not be provided for missed classes, rehearsals, performances, camps, or other programs due to illness or injury.
LOW ENROLLMENT CANCELLATIONS: All classes and camps are subject to cancellation if the class or camp has fewer than 3 students enrolled. If your class or camp is canceled, we will make every attempt to find a comparable class/camp at a suitable day and time. If your schedule does not allow for a change, you will be refunded for the remaining classes or camp sessions. If a class has fewer than 3 students, a teacher may elect to shorten the class if all the material has been taught.
STUDIO FACILITIES & RESOURCES
NUT-FREE STUDIO: For the safety of our community members with severe nut allergies, we kindly request that you refrain from bringing nuts or food containing nuts to Eastside Dance.
SHOE BORROW BIN: Our borrow bin shoes are available for camps, trial classes, or if you forget your shoes. However, please remember they cannot be used weekly as we may not always have your dancer's size. It is essential to have the proper footwear to participate in class; dancers without the correct shoes will not be able to attend the session. If you are experiencing financial constraints, we may be able to provide your dancer with a pair of quality used shoes, subject to availability. For more details, please refer to our dress code at: https://eastside-dance.com/what-to-wear.
LOST & FOUND: Lost and found items will be donated to a local charity regularly. Eastside Dance is not responsible for lost, stolen, damaged, or misplaced personal property, including but not limited to dancewear, costumes, shoes, electronics, jewelry, bags, and personal belongings.
LOBBY LIBRARY: Our lobby library provides dance books for checkout. Dancers who are enrolled in school year classes can check one book at a time. There are no checkouts during our summer session (camps and classes). Dancers have one week to return their books. Books four weeks overdue will automatically be charged a $20 replacement fee to the card on file.
PERFORMANCE POLICIES
PERFORMANCE ELIGIBILITY & ENROLLMENT: Performance is an integral part of the dance curriculum. Eligibility to participate in Eastside Dance performances varies depending on the performance type (e.g. a Company Performance vs. Spring Performance). Participation in an Eastside Dance performance is at the sole discretion of the Director of Eastside Dance, who reserves the right to revoke any participant’s eligibility to perform, at any time, for any reason.
- Dancers enrolled in any school year classes will automatically be enrolled in the Spring Performance. If a family does not want to participate, they must opt out.
- Participants must remain in good standing with Eastside Dance to maintain performance eligibility. Eastside Dance reserves the right to revoke performance eligibility, withhold performance-related goods or services, and/or remove a participant from a performance if any tuition, fees, costume charges, taxes, penalties, or other amounts owed to Eastside Dance remain unpaid.
- If a dancer withdraws from Eastside Dance, is unable to perform for any reason, including injury, illness, emergency, or unpaid balances, or is otherwise deemed ineligible to perform by Eastside Dance, no performance-related services or goods will be rendered after that point, including costumes, photos, videos, or performance participation.
INFORMATION & COMMUNICATION RESPONSIBILITY: Every student will receive information packets and other communications about their performance and the programs they participate in via email and other communication methods (e.g. Band App). The packets and communications can always be found in the Eastside Dance Class Portal (https://dancestudio-pro.com/online/eastsidedance) and by request at the front desk.
- It is the responsibility of the participant and their guardian to read the packets and all information thoroughly as it contains all details about the performance or program.
- Families are responsible for maintaining current contact, emergency contact, and payment information and for reviewing communications distributed through email, text message, the Parent Portal, performance packets, and other communication methods used by Eastside Dance.
- Eastside Dance is not responsible for missed communications resulting from inaccurate account information, full inboxes, spam filtering, unsubscribes, blocked messages, or a failure to review studio communications.
- Exceptions to studio policies, registration deadlines, attendance requirements, performance requirements, fees, or refunds will not be granted due to missed communications under these circumstances.
PERFORMANCE CLASS ENROLLMENT & ATTENDANCE: Enrollment and regular attendance in your Eastside Dance class(es) associated with the performance are required to participate in the performance. This allows your dancer to build their strength and stamina for the performance and learn requirements, skills, and/or choreography for the performance.
- If a dancer misses 3 or more classes and the instructor/choreographer determines the dancer will not be prepared for the performance, they will be removed from the performance.
- If a dancer unenrolls from class(es) associated with the performance, they will be removed from the performance. This includes Company rehearsals.
IN-STUDIO REHEARSAL ATTENDANCE: Attendance is mandatory for all performance rehearsals. Families may communicate their absences to the performance manager in advance. We will make every attempt to film and share missed rehearsals; however, it is the dancer's responsibility to learn any choreography they missed before their next rehearsal.
- If a dancer misses 3 or more rehearsals and/or the instructor/choreographer determines the dancer will not be prepared for the performance for any reason, they may be asked to be an understudy for that act or may be deemed ineligible to perform.
IN-THEATER REHEARSAL (DRESS REHEARSAL) ATTENDANCE: For the dancer’s safety, attendance is mandatory for all in-theater rehearsals, including, but not limited to, dress rehearsals, tech rehearsals, and run-throughs. Attending in-theater rehearsals allows dancers to practice moving in their costumes and to get used to the stage, wings, and stage lights.
- In-theater rehearsal dates and times vary with each performance. If a dancer misses any in-theater rehearsal, for any reason, they will be deemed ineligible to perform.
COSTUMES: Eastside Dance will fit and provide a costume for each dancer/student for Spring Performance (excluding non-performing class dancers). The costumes selected are at the sole discretion of the instructor/choreographer and studio director. There are no costume returns or exchanges.
- At our studio, we prioritize inclusivity and are dedicated to ensuring that costumes are suitable for students of all genders, identities, and abilities. If a dancer has specific costume requirements related to their gender, identity, or disability, please inform the performance manager. Examples of such requirements may include the need for a costume to accommodate a religious head covering, a colostomy bag, or the preference for attire traditionally associated with a different gender identity.
- Dancers must provide dance shoes for all performances.
COSTUME FITTINGS & PICK-UP: Eastside Dance will have dancers fitted for their costumes during their scheduled class time. Participants and their Guardian will be notified when the participant’s costume is ready to pick up at Eastside Dance. The Guardian must sign the Costume Pick-Up Form to pick up the participant’s costume if the participant is 13 years old or younger. If the participant is 14 years or older, they may sign the Costume Pick-Up Form and pick up their costume(s).
LOST/DAMAGED COSTUMES: Once costumes have been signed for and picked up, they are the sole responsibility of the performer. If a costume or part of a costume is lost or damaged, please let your performance manager know immediately. If the costume (or similar item) can be replaced, the dancer’s card on file will be charged the total cost for the costume, rush shipping, and a $150.00 replacement fee to cover the staff time required to find the costume/alternative item and process the order with the supplier.
CONDUCT & TECHNOLOGY POLICIES
SOCIAL MEDIA POLICY: Parents and students agree to use social media respectfully and responsibly when posting about the studio. Content should be appropriate, respectful, and not disclose confidential information. The studio reserves the right to address any posts that are harmful, discriminatory, or violate privacy.
- Families may not post, livestream, distribute, or commercially use images or recordings of students other than their own child without appropriate permission.
NO PHONE POLICY: To maintain a safe, respectful, and focused learning environment, students are not permitted to use mobile phones or other electronic devices during class, unless expressly permitted by the instructor. This includes texting, calling, recording, and social media use.
- Phones must remain silenced and stored away during class time.
CODE OF CONDUCT: At Eastside Dance, students, parents, guardians, family members, guests, and spectators are expected to treat staff, instructors, volunteers, students, peers, and other families with respect and abide by all studio policies. Failure to adhere to these guidelines may lead to the dismissal of the student or family from the studio. Students who disrupt others during class or camp will not be permitted to continue participating. In some instances, a parent may be contacted for early pick-up. Please note that there will be no refunds or credits for missed classes or camps due to disruptive behavior.
- Verbal or written harassment, discrimination, bullying, abusive language, threatening behavior, intimidation, retaliation, or repeated violations of studio policies may result in suspension or dismissal from Eastside Dance without refund.
RIGHT TO REFUSE SERVICE: Eastside Dance reserves the right to refuse, suspend, or terminate enrollment, participation, performance eligibility, attendance, or services at any time for any reason.
PAYMENT POLICIES
REGISTRATION FEES: An annual non-refundable Registration Fee of $50 per family is due at registration. The fee is renewed every September. Registration fees cover our music licensing fees, insurance, and studio equipment maintenance, which increases in cost with each student. Registration fees are good for the school year (September 1st - August 31st).
TUITION: Monthly class tuition is calculated based on the number of classes a dancer is enrolled in each week and is automatically charged upon registration and on the 1st of each month thereafter. Families are responsible for maintaining valid payment information and ensuring all tuition, fees, taxes, and other charges are paid on time. Eastside Dance will make reasonable efforts to notify families of failed or declined payments; however, failure to receive or review such notification does not relieve the account holder of their financial obligations.
- Accounts must be paid in full by the 5th of each month to remain in good standing. Any account with an outstanding balance may be subject to immediate suspension of enrollment privileges, class attendance, performance eligibility, costume distribution, ticket distribution, participation in rehearsals, registration for additional programs, and access to other Eastside Dance services until the balance is paid in full.
- Students may not attend class if an account is past due.
- Continued non-payment may result in removal from classes and programs, collection efforts, and the termination of current and future services.
- Camps, Events, Intensives: Tuition is due in full upon registration. Prorated tuition for these programs is not available.
AUTOPAY: Enrollment in autopay in the Class Portal is required for all Eastside Dance families, regardless of method of enrollment. All tuition, fees, taxes, and penalties will be charged to the card on file.
NON-REFUNDABLE: All tuition, fees, taxes, and penalties are non-refundable.
WITHDRAWING ENROLLMENT: To withdraw from a class, a Drop Request Form must be completed. The form is available here and on our website: https://form.asana.com/?k=GC6tb5PlWXupkgRZUZkq-w&d=1206913764404411. Important: The form must be submitted by the 25th of the month to allow for sufficient processing time and facilitate a smooth withdrawal process. Failure to submit the form by this date will result in continued billing for the upcoming month. All billed tuition is non-refundable.
PAYMENT AUTHORIZATION: By making an online payment or providing autopay information, whether directly or through other merchants facilitated by Eastside Dance, I hereby authorize Eastside Dance LLC to process charges using the credit/debit card information on file for all outstanding fees and I affirm that:
- All credit card or bank account draft (ACH Draft) information provided by me is accurate and complete.

- I am accountable for payment regardless of my student's class attendance, and all tuition, taxes, fees, and penalties are non-refundable.
- Withdrawal from all Eastside Dance programs through the Drop Request Form is required to cease billing.
- A charge dispute through my financial institution constitutes a breach of contract. Such a breach may lead to penalties, additional fees, collection efforts, legal action, and potential termination of any current or future services offered by Eastside Dance. Customers agree to first contact Eastside Dance regarding billing concerns before initiating a chargeback or payment dispute.
