1.0 - Studio Calendar, Attendance and Policies

Studio Calendar, Attendance, and Class Policies
Please review and make note of the key dates, attendance requirements, and operational policies for the 2026–2027 season.

Season Dates & Enrollment
Season Duration: Our 10-month season runs from August 10, 2026, through May 31, 2027.
Enrollment Commitment: Your enrollment binds your commitment to the studio from your initial registration date through May 31, 2027.

Next Season Preview: The subsequent 2027–2028 season is scheduled to begin on August 9, 2027.

Studio Closures & Holiday Schedule
Exceleration Studios will be closed on the following dates during the 2026–2027 season. The studio also reserves the right to close unexpectedly due to emergencies. Labor Day Weekend: September 4 – September 7, 2026
Halloween: October 31, 2026
Thanksgiving Break: November 23 – November 28, 2026
Winter Break: December 19, 2026 – January 2, 2027

Memorial Day Weekend: May 28 – May 31, 2027

Recitals & Summer Programming
Annual Recital: Performances will take place on Friday, June 4 and Saturday, June 5, 2027. Mandatory rehearsals will be scheduled during the week leading up to the recital.

Summer 2027 Workshops & Intensives: Summer programs will run across two weekly blocks: 6/21–6/25 and 6/28–7/2. Please check individual listings for specific class, workshop, or intensive meeting times.

Absences & Performance Eligibility
Reporting Absences: Please notify the studio via call or text if your recreational dancer will miss a class so we can alert their instructors.
Team Member Requirements: All competitive team members must submit the official attendance form to log any absences.
Recital Disqualification: Attendance is critical during recital preparation. If a student misses more than three (3) classes between March and May, they may be disqualified from performing. Exceptions are granted only for documented medical illnesses.

Scheduled Makeup Classes
14-Day Window: Classes missed due to illness, injury, or vacation may be made up within 14 days following the absence.
Prior Notification Required: You must contact the studio before the absence occurs to remain eligible for a makeup.
Email Approval Required: To prevent classroom overcrowding, all makeups must be requested, scheduled, and approved exclusively via email.
Class Restrictions: Makeups are subject to space availability and must take place in an equivalent class of a similar age group and skill level.
Spring Cutoff: There are no makeup classes permitted after March 1, 2027.

Low Attendance & Class Cancellations
Reduced Class Time: If fewer than three (3) students arrive for a scheduled class, the duration of that specific class session will be reduced by 50%.
15-Minute Lateness Rule: If no students arrive within the first 15 minutes of the scheduled start time, the class is officially canceled for the day.
Minimum Enrollment: Exceleration Studios reserves the right to cancel any permanent class on the schedule if it fails to maintain an enrollment of at least five (5) children.

Refunds and Credits for Missed Classes
Strict No-Refund Policy: There are no refunds or credits provided for classes missed due to personal vacations, holidays, scheduling conflicts, injury, or illness.
Studio-Initiated Cancellations: If Exceleration Studios cancels a class for reasons other than a scheduled holiday or emergency, a makeup session or account credit will be issued.

Rules, Policies, and Non-Discrimination Agreement

1.1 - Tuition, Payment, and Enrollment Agreement

Tuition, Payment, and Enrollment Agreement
Exceleration Studios uses Dance Studio-Pro to process all registrations and payments. Enrollment in Auto-Pay is strictly required for all registered students.

Tuition Payment and Schedule
Tuition Posting: Tuition fees are posted to your account on the 25th of each month.
Auto-Pay Execution: Automatic payments are securely processed on the 1st of the following month.
Tuition Amount: Monthly tuition remains identical regardless of whether a month contains three, four, or five weeks. Fees are calculated evenly based on the total weeks in the full August–May season.

Portal
Payment Updates: Changes to your enrolled Auto-Pay payment method can be made directly in Dance Studio-Pro.
Portal Access: You can access your account via the Portal - to register, see classes, messages and make payments. Link: https://app.gostudiopro.com/online/excelerationstudios
Credit Expiration: Any promotional or operational credits applied to your portal balance will permanently expire after 1 year.

Payment by Cash or Check
Check Deadline: Check payments must be received by the studio on or before the 25th of the month.
Backup Billing: If a cash or check is not received by the 29th, your card on file will be automatically charged on the 1st.
Returned Checks: A $25 fee applies to any returned check. After two returned checks, your account will permanently require credit or debit card payments through Dance Studio-Pro.

Late Fees and Penalties
Late Fee: A $25 late fee will be automatically applied on the 5th of the month if an account is not paid in full.
Class Suspension: Students will be asked to sit out of classes and or rehearsals if an account balance remains unpaid by the 10th of the month.

Enrollment for Season and Attendance
Financial Commitment: Once registered, student class placement is considered reserved for the season (providing tuition is paid on time) and it is expected to be a financial commitment for the season.
Progress and Attendance: Students are expected to prioritize their scheduled classes to develop skills alongside their peers. If classes are consistently missed due to conflicting external activities, the student's spot in the class cannot be guaranteed—this is especially critical during recital preparation.

1.2 - Performance, Recital, and Costume Policies

Performance, Recital, and Costume Policies

Exceleration Studios, Inc. provides multiple opportunities throughout the season for students to showcase their progress. Our season highlights include our Contemporary Showcase and our Annual Recital(s).

Performance Rules & Rehearsals
Performance Agreements: A dedicated Performance Agreement will be distributed for each individual showcase opportunity. This agreement must be completed to secure participation.
Contemporary Showcase: We host a dedicated Contemporary Showcase in January to highlight and present the specific techniques, skills, and dances students have been learning in their weekly classes.
Annual Recital: Our definitive showcase event is the Annual Recital at the end of the season in early June.
Mandatory Rehearsals: All performance participants are strictly required to attend all scheduled dress and technical rehearsals during the week leading up to each show.
Attendance Disqualification: Attendance is critical during performance preparation. If a student misses more than three (3) classes between March and May, they may be disqualified from the June recital. Exceptions are granted exclusively for documented medical illnesses.

Fees and Show Tickets
Recital Fee: A mandatory Recital Fee is due in January to secure your student's participation in the June Recital.
Performance Fees: A performance fee will be collected for each showcase to cover venue rental. For recital: This fee includes unlimited photo access and a digital download of the production.
Account Status Requirement: Your studio account balance must be completely current and in good standing to receive digital showcase or recital download links.
Admission Tickets: Show tickets for audience entry are not included in tuition, performance fees, or recital fees, and must be purchased separately.
Non-Refund Policy: All collected performance and recital fees are non-refundable.
Inability to Participate: In the event that a student is unable to participate in the Contemporary Showcase or Annual Recital due to personal travel, injury, or scheduling conflicts, all fees incurred or paid remain completely non-refundable.

Costume Guidelines
For Contemporary Showcase: We may ask each dancer to wear a certain color of dancewear. You may be required to purchase items to meet the costuming requirement.
For Recital: We order costumes for each dancer for each dance. Each costume has a fee.
Payment Schedule Options: All recital costume fees must be paid before a student's costume is ordered. Families may choose to pay the costume fee in one single installment or split it into two equal payments in March and April.
Footwear Exclusions: Costume payments do not cover necessary performance footwear or shoes.
Hair/Makeup Exclusions: Costume payments do not cover necessary performance hair supplies or makeup.
Sizing and Alterations: Costumes are manufactured to standard size charts and are not custom-made. Staff will measure each student, but families are responsible for minor personal alterations if needed (such as hemming pants or tightening straps).
No Costume Refunds: Once billed or ordered, there are absolutely no refunds issued for costume fees, regardless of the student's ultimate participation status.

1.3 - Communication

Communication Policy
Exceleration Studios uses email, text, phone, and third-party applications to keep families informed. By agreeing to this waiver, you consent to communication through these platforms and accept responsibility for monitoring them.

Email (Primary Official Communication)

* Official Channel: All official notifications, including absences, illnesses, and injuries, must be sent to info@excelerationstudios.com.
* White-list Address: Save info@excelerationstudios.com to your contacts to prevent missed updates.
* Studio Management Portal: Automated system emails are sent from no-reply@dancestudio-pro.com. Please add this address to your safe-senders list.

Text & Phone Communication

* Standard Texting: We use Studio Hub software for text messaging. You can text us directly at 818-722-6291.
* Opt-Out Restriction: Text communications cannot be blocked or opted-out while you have a dancer actively enrolled.
* Emergency Blasts: In the event of emergency closures, we reserve the right to send automated text and phone blasts to the primary contact on the student profile.
* Voice Calls: For direct phone inquiries, call our main office at 818-843-9235.

Team Requirements

* BAND App: All competitive team members must download and use the third-party BAND mobile application for team-specific updates.

1.4 - Withdrawal & Refunds

We understand that schedules change and you may need to withdraw from our dance classes. To ensure a smooth transition and maintain accurate class rosters, please review our official withdrawal and refund process outlined below.

1. Studio Season & Programming

Official Season: Our dance season runs from August through May.

Recital & June Programs: Our annual recital(s) takes place in June.

Workshops & Intensives: In June, we offer specialized Workshops & Intensives. These summer programs require a completely separate registration and are not included in or covered by regular monthly tuition.

2. Official Withdrawal Process

Written Notice Required: All withdrawals require an official Withdrawal Request Form to be completed and submitted to the studio. This form can be found on our website and the portal (in waivers).

Two-Week Notice: The form must be submitted with a minimum of two weeks' notice prior to your final desired class date.

Notice Timeline: Your required two-week notice begins on the exact day you submit the Withdrawal Form.

Tuition Obligation: All tuition payments must be paid and remain active during this mandatory two-week notification period.

Attendance Is Not Notice: Simply stopping attendance, skipping classes, or abandoning your spot without completing and submitting the official form is not considered proper notice for withdrawal. Your billing will continue automatically.

No Pausing or Freezing: Studio accounts and tuition payments cannot be paused or frozen at any time. If you need to stop classes temporarily, you must officially withdraw.

Verbal Notice Ineffective: Phone calls, emails, or telling your instructor in person does not constitute an official withdrawal.

3. Processing Schedule

Withdrawals and account adjustments are officially processed after the 25th of each month.

Any notices of withdrawal received before this date will be held and evaluated during the end-of-month processing period.

4. Refund & Prorating Structure

Withdrawals submitted between the 1st and 15th of the month: May be entitled to a prorated tuition refund for the remainder of the month following the two-week notice.

Withdrawals submitted after the 15th of the month: No tuition refunds will be issued for the current month.

Recital & Costume Fees: All recital fees and costume fees are strictly non-refundable, regardless of when the withdrawal form is submitted.

Refund Issuance: Any approved tuition refunds will be issued within 30 days of your official withdrawal date.

5. Account Inactivity & Re-registration

Account Status: When a student withdraws, they are completely unenrolled from classes and their studio account becomes inactive.

Re-registration Fee: If you decide to return to the studio later in the season, a new registration fee will be incurred to reactivate your account.

Outstanding Balances: Any existing balance on your account or unresolved fees must be paid in full before you can re-register or enroll in future classes.

2.0 - Liability Waiver and Release of Claims

Liability Waiver and Release of Claims

By checking the box below, I acknowledge and agree that my dependents and/or I (collectively referred to as "we") assume all risks associated with participating in any activity, class, physical exercise, or event hosted by Exceleration Studios, Inc.

Assumption of Risk: We are voluntarily participating in activities and utilizing the facilities, premises (including the parking lot), and any off-site venues where we represent Exceleration Studios, Inc. We assume total liability for any injury, illness, damage, theft, or loss to our persons or personal property.

Scope of Coverage: This consent, liability release, and assumption of risk statement definitively covers every class, rehearsal, performance, or event sponsored or organized by Exceleration Studios, Inc.

Release of Liability: I agree to release, discharge, and hold harmless Exceleration Studios, Inc. (along with its affiliates, employees, agents, representatives, successors, and assigns) from any and all claims, liabilities, or causes of action—known or unknown—arising from ordinary negligence.

Waiver of Legal Action: I acknowledge that I have read this Waiver and Release in its entirety and fully understand its terms. I am explicitly waiving any legal right to bring a claim or lawsuit against Exceleration Studios, Inc. for negligence.

Severability Clause: If any provision or portion of this agreement is found to be invalid, illegal, or unenforceable by a court of competent jurisdiction, the remaining sections will continue in full force and effect.

2.1 - Contagious Disease and COVID-19 Liability Waiver

Contagious Disease and COVID-19 Liability Waiver

By checking the box below, I acknowledge that an inherent risk of exposure to COVID-19 and other contagious illnesses exists in any public facility. By attending classes, rehearsals, or events at Exceleration Studios, Inc., or representing the studio at external venues, my dependents and I voluntarily assume all risks associated with exposure.

Liability Release and Assumption of Risk
Assumption of Risk: I understand that exposure or infection may result in personal injury, severe illness, permanent disability, or death. We voluntarily accept this risk upon entering the premises.
Acknowledgment of Sources: I recognize that the risk of exposure can result from the actions, omissions, or negligence of myself, my dependents, or others, including studio employees, volunteers, students, and families.

Release of Claims: I agree to release, discharge, and hold harmless Exceleration Studios, Inc., along with its employees, agents, contractors, subcontractors, and volunteers, from any liability related to illness or injury.
Waiver of Legal Action: I confirm that I have read this release in full. I explicitly waive my right to bring legal action or assert a lawsuit against Exceleration Studios, Inc. for negligence regarding contagious diseases.

2.2 - Emergency and Natural Disaster Policy

Emergency and Natural Disaster Policy

By checking the box below, I acknowledge that Exceleration Studios, Inc. may be forced to temporarily close its physical facilities due to an emergency or a natural or man-made disaster.
Operational Continuity & Liability Terms
Immediate Transition to Zoom or equivalent: In the event of a forced physical closure, all classes will immediately transition to a virtual format via Zoom or equivalent and will continue online until the studio is permitted to reopen.

No Refunds for Digital Continuity: Because instructional classes will continue to be provided online, Exceleration Studios, Inc. will not issue refunds, credits, or fee adjustments under these circumstances.

Waiver of Legal Action: I confirm that I have read this emergency policy in full. I explicitly waive my right to bring legal action or assert a lawsuit against Exceleration Studios, Inc. for negligence regarding facility closures or disaster-related operational changes.

2.3 - Medical Release and Emergency Authorization

Medical Release and Emergency Authorization

By checking the box below, I grant permission to the staff of Exceleration Studios, Inc. to act on my behalf in a medical emergency involving my dependents or myself.

Emergency Protocols and Financial Liability
911 Authorization: I authorize any designated Exceleration Studios, Inc. staff member to call 911 and arrange emergency medical transportation in the event of an urgent medical situation.

Travel and Off-Site Events: This emergency medical authorization explicitly extends to all off-site travel, including but not limited to performances, conventions, workshops, and competitions where dancers are representing Exceleration Studios, Inc.

Consent to Treatment: If a parent or legal guardian cannot be reached immediately—whether at the main studio or while traveling—I hereby give consent for any emergency medical or dental care prescribed by a licensed physician or dentist. This care may be administered under any conditions necessary to preserve life, limb, or well-being.

Financial Responsibility: I accept sole and full financial responsibility for all costs, fees, and expenses resulting from medical care, ambulance transportation, or emergency treatments. Exceleration Studios, Inc. is not liable for any medical bills.

Waiver of Legal Action: I confirm that I have read this medical release in full. I explicitly waive my right to bring legal action or assert a lawsuit against Exceleration Studios, Inc. for negligence regarding emergency medical interventions, travel incidents, or treatments.

Medical Disclosure & Unaccompanied Minor Travel
Parental Responsibility: It is your sole responsibility to provide the studio with updated, relevant medical information regarding your dancer, including all active medications, medical conditions, and life-threatening allergies.

Unaccompanied Minor Travel Requirements: Any minor student traveling to an off-site event without a parent or legal guardian present must complete and submit a separate travel waiver prior to departure.
Mandatory Travel Documentation: Unaccompanied minor dancers must provide verified proof of current medical and dental insurance coverage, alongside a fully completed and notarized physical Consent to Treatment form.

3.0 - Student Rules and Code of Conduct

Student Rules and Code of Conduct

To maintain a safe, respectful, and productive learning environment, all students at Exceleration Studios must adhere to the following classroom and facility rules.

Classroom Respect and Etiquette
Focus on the Instructor: No talking while the teacher is speaking. This includes keeping tap shoes completely quiet during instruction.
Active Participation: No sitting down during class unless explicitly permitted by the instructor.
Personal Space: Keep your hands and feet to yourself at all times.
Water Breaks: Students should keep them brief and return to class promptly.
Bathroom Breaks: Students must always ask the instructor for permission before leaving the studio to use the restroom.
Gratitude and Respect: Dancers are expected to show appreciation for their education by thanking the instructor at the conclusion of each class session.

Mixed-Age Class Placement
Floor Positioning: In classes with mixed age groups, older dancers should position themselves at the front of the classroom, and younger dancers should position themselves at the back. This structure ensures all students can view the instructor clearly and follow along safely.

Shoes and Dress Code
Floor Protection: Street shoes are strictly prohibited on the dance floors.
Outside Shoes: Dance shoes must never be worn outside. Students must arrive and depart in regular street shoes and change into their dance shoes inside.
Dress Code: Students are required to follow the specific dress code designated for each individual class.

Care of Facilities and Safety
Studio Care: Do not touch, lean on, or smudge the studio mirrors or windows. Hanging, pulling, or playing on the ballet barres is strictly forbidden.
Facility Safety: Running is completely prohibited inside the studios, hallways, and lobby area. Jumping on or off any furniture in the halls or lobby is strictly banned.
Waiting Policy: For student safety, dancers must remain entirely inside Exceleration Studios until their parent or guardian arrives to pick them up.

Electronics, Food, and Drinks
Devices: All electronic devices, including smartphones and smartwatches, must be turned off or silenced and put away inside dance bags during class.
Food & Drink: Food and drinks are entirely prohibited inside the studios and lobby, with the exception of bottled water. Chewing gum is strictly banned anywhere on the premises.

Permission to Leave During Breaks (Middle & High School)
Mandatory Permission Form: Dancers in middle and high school who wish to leave the studio premises between scheduled classes and/or rehearsals must have a completed Permission to Leave Form on file. Link: https://forms.gle/TLG4o6UbemTg3oiT8
Front Desk Check-In/Out: Eligible dancers must physically notify the Front Desk immediately upon leaving the building and immediately upon their return.
Punctuality Responsibility: Dancers are entirely responsible for tracking their time and returning to their designated studio promptly before their break concludes.

3.1 - Student Safety and Pick-Up Policy

Student Safety and Pick-Up Policy

Exceleration Studios prioritizes the safety and security of every student. Parents and guardians must cooperate with the following safety protocols and strict pick-up timelines.

Drop-Off and Facility Safety
Verified Entry: When dropping off your child, you must ensure they safely enter the building of Exceleration Studios before you leave the premises.
Prohibited Activities: Children are strictly forbidden from running, playing, or loitering in the hallway, lobby, outside walkway, or parking lot.
Property Care: Touching, leaning on, or banging on the studio viewing windows is entirely prohibited.
Railing Restriction: No climbing is permitted on any outside architectural railings or barriers.

Late Pick-Up Fees
Prompt Pick-Up Required: For your child's safety and out of courtesy to our teaching staff and subsequent sessions, you must pick up your child promptly when classes or rehearsals dismiss.
10-Minute Grace Period: A late pick-up window of 10 minutes is permitted following the end of the scheduled class or rehearsal.
Per-Minute Late Fees: If you are more than 10 minutes late, a late penalty of $1.00 per minute will accumulate immediately from the time the class or rehearsal ended.
Late Pick-Up Fee Billing: All accrued late pick-up fees will be automatically applied to your next month's tuition balance.

3.2 - Studio Etiquette and Conduct Policy

Studio Etiquette and Conduct Policy

To maintain a safe, focused, and professional learning environment, Exceleration Studios requires all students, parents, and visitors to adhere to the following behavioral standards.

Punctuality and Attendance
Early Arrival: Students must arrive 5 to 10 minutes prior to their scheduled class time to prepare.
Instructor Discretion: Teachers reserve the right to deny classroom entry to any student arriving late to prevent class disruption.
Strict 15-Minute Rule: If a student is more than 15 minutes late without prior notice, they will not be allowed to participate in class, and no makeup session will be granted.

Food, Drink, and Distraction Restraints
Water Only: Chewing gum, food, and beverages other than water are strictly prohibited inside the studios, lobby, and restrooms. This rule applies to students, siblings, and adult visitors. All eating must take place outside the building.
Toys and Costumes: Please do not send young students to class with toys or non-regulation costumes. This maintains classroom fairness and upholds the studio dress code. The exception is Halloween week.
Observation Etiquette: To maximize student focus, parents and guests must not distract the dancers. Parents/caretakers of young children are discouraged from gathering at the studio viewing windows, as this disrupts the instructor's authority, breaks student concentration, and can trigger separation anxiety.

Supervision and Safety
Adult Supervision: All young children must be directly supervised by a responsible adult while on the premises.
Liability Limits: Exceleration Studios, Inc. assumes no responsibility for personal injuries or for children left unsupervised before or after their designated class times.
Restroom Preparation: Parents/caretakers must ensure their young children use the restroom immediately before class begins to avoid instructional interruptions.

Communication Protocols
Administrative Channels: We welcome your feedback, questions, and concerns. All inquiries should be directed to the administrative staff at the front desk.
Teacher Contact: Parents/caretakers and students must not approach instructors directly with grievances or administrative questions before, during, or between classes. Please go through proper administrative channels.

3.3 - Pet and Live Animal Policy

Pet and Live Animal Policy

For the health, safety, and comfort of our students, families, and staff, Exceleration Studios maintains a strict animal-free environment.

Animal Restrictions
No Animals Permitted: Pets and live animals of any kind are strictly prohibited from entering any indoor areas of Exceleration Studios.
Restricted Zones: This ban applies to all interior spaces, including the Lobby, Studios, and Restrooms.

4.0 - Cameras / Recording Devices

Camera and Recording Policy
Exceleration Studios utilizes video surveillance to ensure the safety, security, and well-being of all students, families, and staff members. By agreeing to this waiver, you acknowledge and consent to the recording and monitoring of any individuals entering monitored areas.

Monitored Areas
Interior Spaces: Continuous camera surveillance is active in the Lobby, Studio C, and Studio D.
Exterior Spaces: The Parking area is monitored by building-provided security cameras.

Purpose of Surveillance
Safety Monitoring: Minimizing security risks and ensuring a safe environment.
Classroom Checks: Periodically reviewing active classes and lobby activity to ensure operational quality and safety compliance.
For privacy and safety, live streams are not publicly available.

Photo and Media Release Waiver

By checking the box below, I grant consent for images, video footage, and audio recordings of my dependents and/or myself to be captured during studio activities and events.

Media Usage & Liability Terms

Permitted Scope: I grant Exceleration Studios, Inc. full permission to utilize these photographs and videos for educational, instructional, marketing, and promotional purposes. This includes, but is not limited to, print materials, social media, the studio website, and promotional displays.

No Compensation: I acknowledge that these images are the property of Exceleration Studios, Inc., and I waive any right to financial compensation, royalties, or inspection of the final media products.

Release of Liability: I confirm that I have carefully read this Photo / Image Release Waiver and fully understand its terms. I agree to release, discharge, and hold harmless Exceleration Studios, Inc. from any and all claims or causes of action arising out of ordinary negligence.

Waiver of Legal Action: By agreeing to these terms, I explicitly waive any legal right to bring a lawsuit or assert a legal claim against Exceleration Studios, Inc. regarding the collection, distribution, or use of this media.

5.0 - Dress Code for Classes

HAIR
BALLET CLASSES: Hair must have a tight & secure bun. If hair is too short to be in a bun, it must be pulled or pinned back - away from face. Any loose hair should be pinned or sprayed back. This means no loose hair or curtain bangs, use pins or clips to keep hair off of face.

ALL OTHER CLASSES: Hair must be securely pulled back in a ponytail for every class. If hair is too short to be in a ponytail, pull or pin back - away from face. Any loose hair should be pinned or sprayed back. This means no loose hair or curtain bangs, use pins or clips to keep hair off of face.
JEWELRY
No watches, smartwatches, necklaces, bracelets, rings or earrings (other than studs). Any facial jewelry other than studs need to be removed for classes.
