Lobby: We want our lobby to be a comfortable, safe, and peaceful space for everyone. To keep things running smoothly, please limit to one guest per dancer during class, as our lobby is small and we want to avoid overcrowding. Parents can enjoy watching their dancer through SPOTtv, which provides easy access to classes from your phone or tablet. Please remember that siblings must remain supervised—our staff cannot be responsible for unattended children. Keep conversations quiet and step outside for longer or louder calls so the lobby remains calm. Lastly, if you have a concern, please email us at admin@4pt0mvtstudios.org instead of addressing issues at the front desk, so we can give your concern the privacy and attention it deserves.
Parent Feedback: We value constructive feedback and always make decisions based on what’s best for the entire studio community. If you have a concern, please schedule a parent conference through the Parent Portal and email us within 24 hours outlining your topic; without an email, the appointment will be canceled. We also send out parent surveys to hear from everyone—our decisions are guided by common themes, not just the loudest voices. For those who want to be more involved, we encourage you to join our Plié T.A. (Plié Team Advocates) group to help welcome new families and share suggestions.
Fundraisers: As a non-profit, 4.0 Movement Studios relies on donors, grants, and fundraising to support our programming each year. Parents are strongly encouraged to participate in all studio fundraisers, which are organized and communicated through our Band group. These fundraisers are designed to benefit the studio community as a whole, and funds collected may be allocated either entirely to the organization or shared in part with participants. Participant balances must remain at a zero balance while waiting for any fundraiser profits to be applied. Please note: fundraising is not always dedicated to a single dancer. If you wish to raise money specifically for your child, you are welcome to seek sponsors independently—but not under the name of 4.0 Movement Studios.
Injuries: We will take every precaution to make sure your child is safe. However, accidents might happen. When they do occur, we will use our First Aid Kit & RICE method to help your child (Rest, Ice, Compress, Elevate). We will also document the incident on your portal and call/text you or your designated contact person to act on your behalf. If the accidents are minor, such as a scratch, a bite or a knot (depending on the extent of the knot), you will be informed upon arrival. MedicationsAntibiotics and over-the-counter medications such as cough syrup, aspirin, or cold medicines CANNOT be administered by 4.0 team members.
Program Withdrawal: A written request made within 30 days of the intended drop date is required for program withdrawal. Parents are responsible for all current and past due fees. Fees will not be refunded for participation, competition, or costumes when a student decides to withdraw. If a student is dismissed from classes, a notification period is not required. 4.0 Movement Studios may withdraw a child for any reason deemed necessary, such as: Non-payment of fees, Repeated failure of parents to pick up the child from the program on time, failure to provide the site with current emergency/medical information, continuous disciplinary problems, inappropriate conduct of parent or guardian, tarnishing company name, families/Students who don't align with our mission and/or program goals. If a child is dismissed from the program, he/she is not eligible for re-enrollment.
Tuition: Tuition rates are for the full season (August to May, including studio holidays), not by the number of classes in a month. Rates begin at $60/month for 1 hour per week, with each additional hour increasing tuition by $60 up to 3 hours, and then by $30 per hour beyond that (e.g., 4 hours = $210/month, 5 hours = $240/month, 6 hours = $270/month). Tuition is billed on the 15th of each month and is due by the 25th of each month. Personal checks and ACH payments are not accepted. Zelle is available for payments of $500 or more and should be sent to admin@4pt0mvtstudios.org.
Dance Attire & Costumes: Costumes range from $85- $100 for each class and are due September 5th (MTSU), November 5th (Christmas Parade), February 5th (Spring Showcase), and April 5th (Summer Showcase). There is also a Summer Recital fee, which ranges from $125-$175/dancer, due May 25th. REGULAR TUITION IS NOT CHARGED IN MAY.
Late Charges: There is a $25 late fee applied to all payments made after the 25th of each month. An additional $10 is added for every 7 days past the due date. If payment is not made by the 15th, your child will not be allowed to attend class, competitions, or any 4.0 events. There is a $1/minute fee after a 15-minute grace period for late pick-ups. Late fees will be added to your account and are to be paid by the 15th of the month, or your child will not be permitted into class.
Failed Payment: If your autopay is declined, you will be charged a $25 late charge (if applicable), and a $25 return fee will be charged to your account.. You will be removed from auto-pay after your payment method is declined three times, resulting in the auto-pay discount being removed.
Rollover Registration: For your convenience, and to reserve a space for the following season, your current class tuition will be automatically charged on June 15th and debited from your account on June 25th unless an exit survey is submitted by June 15th. Students will be automatically enrolled in their “suggested classes."
Refunds: 4.0. does not offer refunds on tuition, registration fees, classes, workshops, costumes, performance tickets, merchandise, or any other services. In the event of a withdrawal, students may complete the number of classes already paid for within the current season or attend make-up classes, when available. Credits may be issued at the discretion of our administrative staff in cases of emergencies; however, credits are non-refundable, non-transferable, and must be used within one year of the issue date. Please note that no refunds will be given on account credits, nor can payments be transferred to another student or family member for unused classes
Discounts: Be sure to take advantage of our semi-annual and annual pay-up-front discounts. Families receive a 20% by paying for the full season in advance and a 9% discount for paying by semester. Please note that discounts do not apply to tuition or fees for competitive team rehearsals, workshops, or entry fees.
Absences: If your dancer must miss a class or rehearsal, please put the absence in using your parent portal (calls and emails are not needed). Visit portal and click Attendance > Attendance Log > Report Absence. It is the dancer’s responsibility to learn any missed choreography or class material before returning. Consistent attendance is key to growth and success.
Dress Code: We follow a color-coded dress code by age group to help dancers look and feel confident in class. Each level has its own assigned color: Yellow (Tinies), Blue (Minis), Pink (Petites), Teal (Juniors), and Black (Tweens/Teens). Dancers should wear flesh-tone tights with the appropriate dance shoes for their classes (ballet, jazz, tap, or hip hop). Until official attire is purchased, dancers should wear all-black dancewear. Dress code items can be ordered through ShopNimbly and Blendz (tights, ballet, and jazz shoes), which also offers inclusive shade options. To maintain professionalism, no jewelry in class, and hair must be pulled back neatly. Dancers who consistently follow the dress code are eligible for class rewards!
Communication Policy: At 4.0. Movement Studios, our Band app, is the primary form of communication with families. Parents are responsible for checking Band regularly to stay informed about studio updates, class information, and events. If email or text is your preferred communication method, please be sure to turn on Band push notifications and/or connect Band to your email so messages are delivered straight to your inbox. Please note that choosing not to check Band is choosing to be uninformed. For parents who prefer in-person updates and conversation, we also host Coffee & Conversations nearly every month through a Saturday morning Zoom session. We encourage all families to attend and stay connected to the 4.0. community.
Billing to Accounts: If your child would like to purchase anything, she must 1) have money on her account or 2) be enrolled in the auto-pay program, or 3) pay at the time of purchasing.
Logo Usage: The 4.0 Movement Studios logo and name cannot be replicated. If we see any attire not purchased through our online store, with our logo or studio name on it, we will automatically place a $50 fee on your account. If it happens again, we will place a $100 fee on your account. If it happens a third time, we will ask that you no longer participate in our program since there continue to be clear violations against the rules.
Studio Parking: Parents must park in marked parking spots, not in front of the door or self-created parking spots on the side of the building. If my car is parked in an area not designated for 4.0 Movement Studios parking, I realize that my car could be towed at my expense.
Private Instruction: To keep things consistent and fair for all families, all private lessons and tutoring sessions must be booked through the Parent Portal and take place at 4.0. Movement Studios. This process ensures that scheduling, billing, and space use are handled correctly. Parents may not contact instructors directly to arrange lessons. Any lesson scheduled outside of the Parent Portal and off-site is considered a violation of our employee contracts. Employees who participate in such arrangements risk termination of their employment with the studio.
Parent Conferences: Parents may not stop instructors or walk into Studio A or Studio B during any class. If you have specific questions about your child's performance, you will need to send an email, schedule a conference, or wait until after the class is over to briefly ask your question (outside of Studio A or Studio B).
Social Media: You, as a 4.0 Movement Studios parent, always represent our program. This includes your pictures and words on social media. If we feel that you, or your dancer, are representing 4.0 Movement Studios in a distasteful way, we will ask that you remove the content. This includes posting injuries or sharing videos of our routines. If the post is not removed, you understand that your dancer could be removed from the team without any refunds and/or exchanges.
Bullying: 4.0 Movement Studios does not tolerate drama, bullying, or any other form of trouble. If you are found to be the source or if you participate in the studio, you will be asked to leave the program without a refund or exchange of any funds paid.
Auto-Pay: I represent and warrant that if I am purchasing something or paying for a service from this facility or other merchants through this facility (i) any credit card or bank account draft (ACH Draft) information I supply is true and complete, (ii) charges incurred by me will be honored by my credit card company or financial institution, and (iii) I will pay the charges incurred by me at the posted prices, including any applicable taxes, fees, and penalties. I hereby authorize (if online payment is made or autopay information is provided) this facility to charge my ACH draft or credit card account. I understand that a 30-day written notice is required to terminate billing, and I am responsible for payment, whether or not my student attends classes, until I notify this facility in writing to drop my student from class(es). Should I dispute a charge through my financial institution, this will constitute a breach of contract, possibly resulting in, but not limited to, penalties, additional fees, collection, legal action, and/or termination of any and/or all current and future services. Agreeing to these policies means that if this account is not paid when due, and the account holder should retain an attorney or collection agency for collection, I agree to pay all costs of collection, including court costs, reasonable interest, reasonable attorney's fees, and reasonable collection agency fees.
Prorated Tuition: 4.0. Movement Studios does not pro-rate tuition. Our tuition is structured as a 10-month installment plan, meaning payments are divided evenly across the season regardless of holidays, studio closures, or the number of classes in a given month. This system ensures consistency and fairness for all families while allowing us to provide high-quality instruction and programming year-round.
Make-Up Classes: 4.0. Movement Studios does not offer make-up classes for missed lessons. Consistency in attendance is an important part of a dancer’s progress, and we encourage families to make every effort to attend their scheduled classes. Please note that missed classes, regardless of reason, are non-refundable and cannot be credited toward future tuition or services.
By signing, I am indicating my agreement to all policies and procedures indicated above and put into place by 4.0 Movement Studios. I understand that breaking any of these rules listed above, or in the handbook.
