1. DEFINITIONS
In this document:
“We”, “Us”, “Our”, “Ikin Dance” refer to Ikin Dance Pty Ltd.
“I”, “Me”, “You” refer to the enrolling parent/guardian, student and/or the person financially responsible for fees.
2. STUDIO HYGIENE & SAFETY CODE OF CONDUCT (2026)
To maintain a safe, hygienic and positive environment for all students, staff and families, the following rules apply at all times:
2.1 Arrive Prepared
(a) Students must arrive on time, dressed and ready for class.
(b) Changerooms are limited and should be used only when absolutely necessary.
2.2 Personal Belongings
(a) Only essential items may be brought into the studio.
(b) All belongings must be clearly labelled.
(c) Ikin Dance accepts no responsibility for lost, stolen or damaged items.
2.3 Hygiene Standards
(a) Hands must be sanitised on arrival.
(b) Students must follow basic hygiene practices including covering coughs and sneezes and disposing of tissues appropriately.
2.4 Food & Allergies
(a) Eating inside studios is discouraged and permitted only in designated areas.
(b) Food and drinks must not be shared.
(c) Ikin Dance is a strictly nut-free studio. Nuts and nut products are prohibited on the premises at all times.
2.5 Illness
(a) Anyone displaying signs of illness must stay home until fully recovered.
(b) Ikin Dance reserves the right to request immediate collection of any student deemed unwell during classes.
2.6 Drop-Off, Pick-Up & Access
(a) Parents/guardians are encouraged to drop off and collect students outside the studio where possible.
(b) Parents, family members and friends are not permitted beyond reception/waiting areas unless invited by staff.
(c) Congestion in waiting areas must be avoided at all times.
2.7 Compliance
All students and visitors must follow studio signage, traffic flow and staff instructions. Failure to comply may result in removal from class for safety reasons.
3. GENERAL CODE OF CONDUCT
(a) Respect toward staff, students and families is mandatory at all times.
(b) Bullying, harassment, exclusion, aggressive or disruptive behaviour will not be tolerated and may result in immediate dismissal without refund.
(c) Defamatory, harmful or negative commentary on social media toward Ikin Dance, its staff, students, clients or partners may result in immediate termination without refund.
(d) Ikin Dance reserves the right to remove any student for behaviour deemed unsafe or unacceptable.
(e) Attendance is essential for inclusion in performances and events.
(f) Students represent Ikin Dance at all performances and must behave appropriately at all times.
(g) If a student is injured or deemed unfit, Ikin Dance may withdraw them from participation for safety reasons.
4. FEES, PAYMENTS & MEMBERSHIP
(a) Fees are based on hours enrolled and are payable monthly in advance by Direct Debit.
(b) Annual Membership Fee: $75 per year.
(c) Ikin Dance may adjust fees with 8 weeks’ written notice.
(d) Payments are paused during the Christmas break. Re-enrolment is required for the following year.
5. EVENTS, CONCERTS & COSTUMES
(a) Mid-Year Showcase: $50 fee debited with 1 May fees.
(b) End-of-Year Concert costumes: $100 per class, debited with 1 September fees.
(c) Concert Video Levy: $40 per family, debited with 1 September fees.
(d) Costumes remain the property of the family unless hired. Shoes and (some) accessories are not included.
6. CANCELLATION, AMENDMENT & SUSPENSION
6.1 Cancellation
(a) Ages 7+: 8 weeks’ written notice
(b) Ages 6 & under: 4 weeks’ written notice
6.2 Amendments
(a) The same notice periods apply for downgrading classes.
(b) Upgrades require notice prior to the next debit.
6.3 Suspension
(a) Ages 7+: Up to 4 weeks
(b) Ages 6 & under: Up to 2 weeks
(c) Medical documentation may be required.
6.4 Cooling-Off After Suspension
If cancellation follows suspension due to injury or emergency, only the remaining notice period is payable.
6.5 Written Notice Requirement
All cancellations, amendments and suspensions must be submitted in writing via email to: contact@ikindance.com
7. LATE FEES & ARREARS
(a) Failed payments incur a $15 processing fee.
(b) Accounts overdue beyond 14 days may incur a 10% late payment fee.
(c) Credit/surplus balances are non-refundable and remain on the account for future fees.
8. HOLIDAYS & MAKE-UP CLASSES
(a) Classes generally run during school holidays.
(b) No classes are held on public holidays.
(c) Make-up classes must be used within the same calendar year.
(d) No refunds or credits are provided for missed classes.
9. MEDICAL AUTHORITY & RISK ACCEPTANCE
(a) In a medical emergency, I authorise Ikin Dance to obtain emergency medical treatment and accept full financial responsibility for all associated costs.
(b) I acknowledge that participation in dance involves inherent physical risks, including injury.
(c) I voluntarily assume all risks associated with participation.
10. INDEMNITY
To the extent permitted by law, I release and indemnify Ikin Dance, its directors, staff, contractors and venue partners from any claims, liabilities, losses or demands arising from participation, except where liability cannot legally be excluded under Australian law.
11. FORCE MAJEURE
Ikin Dance is not liable for closures, interruptions or cancellations due to events beyond its control, including but not limited to pandemics, natural disasters, government restrictions, venue closures or power outages. No refunds apply in these circumstances.
12. DIGITAL COMMUNICATION & CYBER CONDUCT
Harassment, abuse, threats or inappropriate conduct toward staff, students or families via any digital platform will result in immediate termination without refund.
13. PRIVACY & DATA COLLECTION
All personal information is managed in accordance with the Privacy Act 1988 (Cth). Failure to provide accurate and current information may limit service delivery.
14. MEDIA CONSENT – EXPRESS CONSENT BY SIGNING
14.1 By enrolling and signing this waiver, I give express consent for myself and/or my child to be photographed and filmed during Ikin Dance activities for use across:
(a) Social media
(b) Website
(c) Advertising & marketing
(d) Studio communications
(e) Training & education
14.2 This consent remains valid unless revoked in writing via email.
If revoked, Ikin Dance will:
(a) Cease future use
(b) Remove existing content where reasonably practicable
(c) Allow continued participation without disadvantage
15. FINAL ACKNOWLEDGEMENT
By signing this waiver, I confirm that:
(a) I have read and understood all policies
(b) I accept all risks associated with participation
(c) I agree to comply with all studio rules
(d) I understand all payments, cancellations, suspensions and fees
(e) I provide express media consent unless revoked in writing
