CROSSGATES SCHOOL OF WORSHIP ARTS POLICIES

Any and all references to Crossgates School of Worship Arts in the policies below will be listed as SWA.
REGISTRATION:
-Each student will need to register online through the SWA website at swa.crossgates.org.
-Registration for the new school year opens to the general public on July 1.
-Returning students have the opportunity to pre-register for the new school year beginning June 15 or at an alternative date decided by the SWA Director. Returning students who do not register prior to July 1 will not be guaranteed a spot for the new school year.
COMMUNICATION:
-Email is the main form of communication for the administration of SWA. Family contact must include a current email address for SWA communications.
-Instructors and responsible party of student may communicate by text, phone, or email regarding closures, missed lessons, etc.
ATTENDANCE:
-Students are expected to attend class regularly and arrive in a timely manner prepared to begin on time.
-SWA requires a 24-hour notice of cancellation with the exception of illness. Lesson cancellation for illness that occurs the day of the lesson should be communicated to the instructor as soon as possible.
-Students are advised not to attend their lesson/class when ill including but not limited to fever of 100 degrees F or higher or symptoms such as sore throat, vomiting, or diarrhea.
-Makeup lessons/classes will be scheduled as needed when regularly scheduled lessons/classes are missed due to campus closures for holidays, inclement weather or instructor is absent.
-SWA will offer one (1) makeup lesson/class per student per semester during the week following the end of the regular semester. Students needing to makeup a lesson/class will come during their normal lesson/class time unless otherwise instructed by their instructor.
TUITION & FEES:
-Payments can be made online or by phone with a credit or debit card or with check payable to SWA or cash.
-When paying with check or cash, SWA advises placing the payment in an envelope marked for SWA along with student's name.
-Payments made in person with check or cash can be given to the instructor, the receptionist, the SWA Director or the SWA Administrative Assistant. Payments made after hours may be placed in the dropbox located on the outside of the building to the left of the Fellowship Hall doors. Be sure payment is placed in an envelope marked for SWA along with the student's name.
-Receipts will be issued for check and cash payments made in person.
-All payments are due on the 5th of the applicable month. For example:
o First payment of the semester is due August 5th, January 5th, and June 5th accordingly.
o Monthly payments are due by the 5th of each month, August-November, January-April, and June-July.
-Payments not made by the 10th of the month will be assessed a $15 late fee.
-An annual registration fee is due in August for each student and for new students enrolling in the spring semester.
-The registration fee is $40 for the first family member and $20 for each additional family member.
-The registration fee is nonrefundable. This registration payment is due upon registration and covers from registered season through the summer season.
-This fee will be included in the online registration process and is due when tuition is paid in full or with the first month's tuition at the beginning of the semester.
-Payments for Recital Fees (Ballet, Dance, Receptions) are due April 5 prior to recitals. Ballet and Dance costumes will be held until Recital Fee is paid.
-Delinquent accounts will result in student not being allowed to continue lessons/classes.
-SWA will not issue refunds for missed lessons/classes.
-Tuition does not include teaching material such as books and instruments or ballet/dance attire and costumes.
DISCOUNTS:
-An Early Bird Discount of $20 per student per lesson/class is available when an account is paid in full by August 5 for the fall semester and January 5 for the spring semester. The summer semester is not eligible for the Early Bird Discount.
-If the account is paid in full after 11:59pm on August 5 or January 5 for the applicable semester, the Early Bird Discount will not be given.
-At this time, SWA does not offer discounts for multiple lessons/classes or family members.
PARKING:
-SWA students/families should use the side parking lot beside the church. If full, park across the street and use the crosswalk closest to the Fellowship Hall entrance. Temporary changes issued by church personnel should be followed.
-Only use handicap parking spaces if you have a handicap decal or tag.
-Refrain from parking in the covered drive through for more than five minutes. This is reserved for assisted drop-off and pickup, deliveries, emergency vehicles, etc. Using this area for a prolonged period of time is problematic.
ACCESS Codes:
-Upon registration, the student will be issued an access code allowing entry into the Crossgates building. The student's instructor will give the student/parent the card within the first two weeks of the semester or first two lessons if the student has a late start.
-Access codes must be used at all times.
-All SWA students and instructors will use the Fellowship Hall door entrance.
WAITING AREAS:
-Use fellowship hall to wait during the student's lesson time.
-Refrain from waiting in the main hallway near the elevator and upstairs restrooms. We have other events scheduled in the building throughout the week and need for the hallways to be kept clear.
-For safety reasons, keep other children in the waiting areas rather than allowing them to roam the building.
